The system has been developed to look into the management of customers booking cars starting from the booking the car to paying the hire fee included with the personal information. The system will prove useful in showing its capabilities in data input, data processing and report generation in the areas needed in expertise of the system.

INTRODUCTION

Car management system is a computerized system that has been designed to manage customers who would like to have the car, those who would also like to give out their cars to be hired too with the car details.

It is user friendly software that subjects to the objectives required of it.easy to go abou the system itself.

CHAPTER TWO PROBLEM DEFINITION

OVERVIEW OF THE SYSTEM

The development of car booking management system marks out the problems associated with older/traditional methods of handling data, which looks at;

INPUT

Use of files to store records, most written and kept into shelves as important records. The records kept in files are entered by personnel, which is susceptible to human errors.

DATA MANIPULATION

Data manipulation is carried by use of calculators across ledgers when tabulating information. Calculators are electronic but depend on human input to be carried out.

The use of calculators reduces errors as compared to basic calculation that ensures reduction in errors availed within the data manipulated for statistical use.

OUTPUT

The output of records is mostly in form of documented receipts and reports that are signed for authenticity and eligibility as proof.

When output is to be presented for statiscal analysis, drawn charts and diagrams are used that are seen to be bulky, most of the data is not well diagrammatically presented as some are manually drawn.

DISADVANTAGES OF CURRENT MANUAL SYSTEM

1. The use of files in customer registration may lead to poor storage due to wear and tear of the files. 2. There is the duplication of tasks, may occur when using file in recording data, this may not prove useful. 3. There could be loss of files and records of the customer and other data haven't been kept, since they are very vulnerable to theft or damage. 4. There may be errors during data input, that may be during entering records, and errors lead to false output when reporting data.

ADVANTAGES OF COMPUTERISED SYSTEM

1. There will be better records management; since all data is stored in the computer hence there's reduced use of stationery saving on the costs of stationery that would have incurred had they not considered this option. 2. There is proper security of data as the data stored in computers can be easily password protected to avoid cases of theft. 3. Here human errors are reduced since the input of data is computerized hence mistakes are not easily made once most staff have done IT training in obtaining computer skills. 4. There is proper output of data hence all records can be easily accounted for in printed reports hence ensuring proper accountability and transparency of data.

SOLUTION TO CURRENT MANUAL SYSTEM

SYSTEM REQUIREMENTS

-Staff training to be computer literate.

-Purchasing of good computers.

SECURITY REQUIREMENTS

-Enforce use of passwords in computers and applications.

OUTPUT SPECIFICATIONS

For the development of this computerized system the following outputs are required;

i. List of customers to hire ii. List of cars to be hired iii. List of customer with personal information. iv.

Fee paid by the student The outputs will be recognized as tabulated data; also reports can be taken up to trace all needed output to ensure accountability of the computerized functions of the system.

HARDWARE AND SOFTWARE REQUIREMENTS

The best of the best would be required in running this computerized system. In hardware options the following would be considered;

All the customers also have the mandate to fill in their personal information for security purposes and for the easy tracking down in case of a missing car.

The customer is required to have their cars payment information after every service.

STARTUP

ADD NEW CLIENT

This will allow you to add client information like the name, adm, age,dob,course,level,gender,year of admission, intake and many many more.

ADD CAR DETAILS

Add the car or information is a recommended way of protocol in an institution for either the report incase of a car emergency or incase of an indiscipline ;case within or it could me a missing person.

CHAPTER FIVE

CONCLUSION

The proposed system is of significance to users of car booking management system. The system has fulfilled all the objectives set out in the requirements specifications despite the challenges passed.

The achievements outlines that computers are much faster than manual operations initially done by the staff and hence faster speed of processing ensured efficient workflow.
