15.2 Terms of references The Council must specify terms of reference for its committees.
15.2.1 Curriculum Committee must be created to ensure strict implementation of the

curriculum and consider views and recommendation of students and parents.
15.2.2 Beautification Committee This committee is in-charge of the maintenance and

beautification of the school.
15.2.3 Ways and Means Committee will take charge of the minor problems that may
possibly arise in school particularly on management.
15.2.4 Project Implementation Committee This committee will implement, monitor and
assess projects.

I. Opening Prayer/ Call to Order
Chief Executive Officer Dr. Louwela P. Guerrero the order at exactly 3:oo p.m. in the
afternoon with an opening prayer led by Mrs. Merliza Flores
II. The following members were present throughout the meeting:

III. Reading and Approval of the Previous Minutes

There was a silent reading of the previous minutes of the meeting. After which ,it
was moved for the approval by Mrs. Lucenia Aragon and seconded by Mrs. Mrs.
Laarni Villarin.
IV. Business Arising from the Minutes
 No business aroused in the previous minutes
V. New Business
 Dr. Louwela P. Guerrero presented the body the awards and achievements
received by the school year 2018-2019.
 It was also discussed by Dr. Guerrero the contest joined by the school like
Brigada Eskwela wherein Cabancalan 1 ES represents Elementary Level in
the Division of Mandaue City.
 She congratulated the new set of officers for school year 2019-2020.
 Mr. Basilio Saberon, motioned to have the Oath taking on the 8 th day of July
2019 and Mrs. Rovelyn Montalvo seconded.
 Mr. Antonio Ong the president , motioned to have a gate pass as early as
possible for the safety of the pupils and the whole populace of the school.
 It was seconded by Mrs. Razel Cueva to implement the “No Gate Pass, No
Entry Policy”.
 The board agreed that Mr. Antonio Ong will canvass gate pass that is
cheaper and in good quality.
 Mr. Basilio Saberon announced that the school guard ask for another
increase but Mrs. Miraflor Pama contested that the idea is not good since
2018-2019 he was then increased and the new officers don’t have the
capacity to pay the said increase. The board decide that if the school guard
pursue on the said increase, the school will look for another guard.
 Mrs. Laarni Villarin informed the body that there were pupils who were not
fetched on time and up to 8 pm. She suggested that officers will inform the
parents or identify the pupil’s adviser for reminding to fetch early.
VI. Adjournment/ Closing Prayer

 The meeting ended at 5:25 pm with a prayer led by Mrs. Analyn Retiza.

moved for the approval by Mrs. Miraflor M. Pama and seconded by Mrs. Mrs.
Cesaria Dabon.
III. Business Arising from the Minutes

Mr. Antonio Ong presented the gate pass and agreed one color which is green for
the school year 2019-2020 .

IV. New Business
 Dr. Louwela P. Guerrero presented to the body the ESIP Projects with the 16 PIA’s
and the major problems that needs urgent response and action such as Grade Two
Building Emergency Exit Stairs, Exit Gate (beside seven-eleven), Clinic Expansion as
well as the development of the physical aspects of the school. Then, she announced
to the board if they agreed to have a fund raising.
 Viva voce was done and it was majority vote to have Fund Raising.
 Then, Mrs. Marebeth Berdin named the different activity which can raise fund.

This activity is not compulsory.
 Each participant will pay ₱ 100.00 in voluntary basis. Then, the sharing will be 20 for
the classroom improvement handed by the teacher with receipts and liquidation,
then 80 to the PTA. Then it was agreed that 30% of 80 will be for supplemental fund.

 The meeting ended at 4:40 pm with a prayer led by Mrs. Rovelyn Montalvo.

moved for the approval by Mrs. Cesaria Dabon and seconded by Mrs. Mrs. Leah
Frenandez.
III. Business Arising from the Minutes

Dr. Louwela P. Guerrero informed the board the amount raised during the
Lakandula/Lakambini.
IV. New Business
 Dr. Louwela P. Guerrero informed the board that she planned to hold a staff
meeting for austerity measures regarding the use of electricity. She encouraged
everyone to view the transparency board. Informed the body the following
expenses: Quarter 1 testpapers amounting ₱ 40, 000.00 as well as the liquidation of
the ₱ 91,000,00 MOOE.
 She cited there were 641 Lakandula/Lakambini particpants

20%----Supplementary budget
20%----Teacher’s Share (classroom improvement)
The amount of ₱ 40, 000.00 is for the project .
 Dr. Guerrero stated that realignment of funds need to make a new resolution.
 Looking for potential parents to do the costing of the exit gate and grade two
building’
 It was suggested by Dr. Louwela P. Guerrero to audit the check and balance of the
money by the auditor Mrs. Amita Villamor. It was also mentioned the evaluation of
the BE on the month of September no definite date. Encouraged everyone to
suggest.
 Future plans were mentioned by Dr. Guerrero on PWD with Mrs. Pama to attend the
Barangay session to ask bags of cement for the pavement improvement.
 It was suggested by Mam Guerrero to locate the septic tank for every building since
rainy days are coming and identifying areas for waste stockroom as well as water
improvement system.
 Dr. Guerrero discussed the performance and learning environment that needs
focus, safety of learners must be the first priority, taking care of the donated
facilities
 It was mentioned the same sharing for the UN Celebration 2 nd fund rasing.
 She planned to schedule a meeting with the board regarding ESIP.
 It was motioned by President Ong to give financial assistance (death aid) to the pupil
of Mrs. Pama who was a dengue victim, in lieu with the said motion Dr. Guerrero
suggested to make a resolution for the assistance. To craft by laws regarding the
aids.

 The meeting ended at 4:10 pm with a prayer led by Mrs. Lucenia Aragon.
