as follows: For a group of up to 50 guests, staying from 12 h midnight until 3 h a.m.: we charge PHP 5,877.

The banquet department must be informed about an alteration of the participants´ number by an increase of
more than 5%, and this at the latest 5 working days before the organization´s start. Such an alteration
requires the hotel´s consent. A reduction of the participants´ number from the customer´s part by maximum
5% will be acknowledged in the hotel´s calculation. Should the number of participants additionally vary,
the originally agreed participants´ number minus 5% will be the basis of calculation. In case of an increase
in the participants´ number the actual number of participants will be calculated.

of the event. Also, the event has already paid 50% of down payment to prepare and serve the food
for 400 people. The amount being paid is not refundable because it was already planed and
contracted by the event organizer and the venue host. Therefore, there is no backing up. The event
organizer is definitely required to pay the full amount of the banquet meal that will consume by
the present 50 participants in the first day of the conference to avoid such consequence in
conducting the event inside the hotel venue and the event organizer during the conference is being
held.
➢ What concessions can the event organizer request from the hotel?
Answer: I think the event organizer should ask for a discount fee in the hotel since the expected
target participants of the conference event did not reach it minimum and or maximum participant
that arrive in the venue. The organizer should as for some consideration since there are only 50 or
less attendees and far from expected calculation of 400 to 700 participant. And because there is
strong typhoon this kind of calamity is uncontrollable and unexpected to happen since it is natural
kind of disaster. Giving event organizer a little discount will be a big help for him to save a little
for its big loss in the conference budget.

➢ Answer: Yes. Because the venue has already use by the present 50 participants as they arrive the
conference event and the food good for 400 people is already prepare base on the negotiation
contract of the hotel and the event organizer.
