Printer Trouble Shooting Basics

Printer Connectivity •What type of printer is it exactly (i.e. Kyocera


Scanner/HP)?

•How is the printer connected to the till is it


with USB or Ethernet Cable (Local/Network)?

•Have you checked the cables?

•Have you restarted the printer?

•Is the printer listed under ‘Devices and


Printers’ If yes, is it greyed out or have an X or
anything on it or Offline?

•Are you able to print a Test Printout, If Yes,


and then try some other MS Office Product to
Print (To confirm connectivity and Driver
Installation)?

Overrule Application Issue •What exactly is not printing, and have you


tried to print just a word doc to find if it is
something in report not printing?

•have you restarted spooler (Printer is hung


state as multiple documents are in queue)?

To clear prints stuck in the print queue To prevent a buildup of prints on the print
queue, please complete this daily routine:
•Press the start button on the PC
•Select devices and printers on the right-hand
side
•Right click the printer and select see what’s
printing
•Select the print with your username next to it
and press delete
•Press F5, this should refresh the queue and
the print should be cleared

The printer is not turning on/Power issue •Check power cable going into the back of the
printer is secured
•Check that it is plugged in to the wall properly
and switches are on
•Unplug the printer for a few seconds, then
plug back in and try the power on button
•If these steps haven’t worked, we can do a
power drain. You just need to unplug the
printer and leave unplugged for about 1 hour,
then plug back in and press power on and it
should work.

Print head error •Restart the printer, remove power cable from
the back and leave out for 60 seconds and plug
back in. Try again to print and go to next step if
error persists
•Take the ink cartridges out of the print
carriage, and then check the printer control
panel or computer for an error message
•If the printer is still showing the error, then
call the Printer Service desk

Paper Jam •Open the input tray where the paper is fed
from, check the back of this and remove any
paper that may be stuck
•If you find there is no paper stuck in the tray,
then it may be near the ink cartridges. Turn the
printer off and open the door to access the ink.
Remove any paper from behind the ink, close
the door and turn the printer back on
•Check the output area, just before the paper
is completely out and check that there is no
paper stuck here
•If the error is still here and you are sure there
is no paper left, please restart the printer

Scanner To use HP Scan, there is an application on


your PC that will enable you to scan and save
to the PC. If you are having issues scanning,
please take the following steps:
•If you want to scan to the PC, you will need
to use HP Scan. To use this, you will need to:
•Press start on your PC
•Type Scan into the search
•Select the program HP Scan
•This should then open
•You will then need to select the format to
scan to, usually this is PDF.
•Press scan
•The document will then scan and you can
save a copy
•To scan to print directly, there will be an
option or a button on your printer to scan and
print.
•if any of these steps do not work or you are
getting errors from these, you will need to call
the Travelex IT Service Desk on 0845 300 6369

Ink Printer HP OfficeJet Pro 8730 Check the ink levels frequently. Once levels
are too low, the printer will stop working.
•Order ink cartridges from Office Needs when
required
•Check you are ordering for the correct model
•If you’re printer is being changed to the new
model due to a fault, you should order ink
immediately as install cartridge will only last a
few days.

Ink printer HP OfficeJet Pro 6970 Check the ink levels frequently. Once levels
are too low, the printer will stop working.
•Order ink cartridges from Office Needs when
required
•Check you are ordering for the correct model
•If you can’t find the ink on the Office Needs
page under the model, search using text
903XL
•If your printer is being changed to the new
model due to a fault, you should order ink
immediately as the install cartridge will only
last for 300 prints max.
