About This Document
This guide provides information on how to install, configure and report monthly usage of Veeam Rental licenses,
as well as on licensing terms including exemptions, grace periods and more. For more details on Perpetual and
Subscription license types, see Veeam Licensing Policy.

The Rental type is available exclusively to cloud and managed service providers. This license type allows you to
protect third-party data based on Pay As You Grow (PAYG) payment plans.

The guide explains the following:

• How Veeam licensing works for various workloads and solutions.

• How to manage licenses using Veeam Veeam Cloud Service Provider (VCSP) Pulse ProPartner Portal.

• How to create accurate usage reports each month.

Overview of VCSP Rental Pricing and
Licensing
Veeam offers the following to Backup as a Service (BaaS) and Disaster Recovery as a Service (DRaaS) provider
partners:

• Expanded capabilities of license usage rights to manage and protect third-party data with Veeam.

• Pay-as-you-grow pricing plans that offer consumption-based licensing to facilitate onboarding of


customers and workloads.

• Portable licenses for data protection and value-added services for any customer, any workload, across any
cloud.

• Automatic license update capabilities to maintain license distribution, purchase license extensions and
increase license size at scale.

• Purpose-built products and partner portals designed to quickly onboard customers, and facilitate monthly
usage reporting.

Expanded Usage Rights
Per the Veeam End User License Agreement (EULA), licenses may not be used to process third party data. This
restriction is lifted by leveraging Rental licenses through the VCSP program, allowing for the expanded usage
rights to provide commercial hosting services and managed services powered-by Veeam. However, to
participate in this program, the provider must agree to report their license usage each month to Veeam, and
therefore must be able to access reporting for the customer’s environment. See the VCSP Rental Agreement
Terms for more information about this requirement.

Pay-As-You-Grow Pricing
Veeam Cloud Service Provider partners license Veeam using a points-based, rental pricing program:

1. Each product in the Veeam Cloud Data Management Platform has an assigned point value, delineated by
workload and edition where applicable.

2. Veeam Aggregators offer standing price-per-point agreements that pre-negotiate software cost.

3. After signing your standing agreement and beginning to use Veeam solutions, you’ll report your
consumption of Veeam each month, receiving a bill from your Veeam Aggregator.

Portable Licensing
Most Veeam solutions can be entitled using a Veeam Universal License, a portable license file set up to unlock
data protection of many types of workloads including VMs, servers, workstations and cloud-based VMs such as
AWS and Azure. These licenses may also be installed in any location.

Moreover, the Veeam Rental program offers a license file held in the name of the provider to onboard new
customers and new workloads at any time, without incremental ordering.

Automated License Key Update
Automated License Key Update (AutoLK Update) is a function of several Veeam products which performs a call
to the Veeam Licensing Server (autolk.veeam.com). With this feature enabled, your installation will be
automatically updated if any of the following attributes of your license file have changed:

• license counter

• license expiration date

• version

Enabling this feature ensures that you avoid service outages in the event of a license that is at capacity or has
expired.

Purpose-Built Products and Portals
Veeam offers two key solutions to facilitate the management of license keys, usage reports and customer
onboarding.

VCSP Pulse is a partner portal that offers self-service access to license configuration, monthly usage reporting
and more. Now, service providers can cut individual customer license keys, keep licenses up to date and up to
size, and interface with Veeam and their aggregator for monthly reporting and billing. Access to VCSP Pulse is
granted after a VCSP partners signs a rental agreement with a Veeam aggregator.

Veeam Service Provider Console is a free Veeam product that snaps onto most Veeam solutions, offering
customer onboarding, centralized license management, and automated usage reporting to capture accurate
information across customer installations.

Veeam Backup & Replication for Virtual
Machines
Product Overview
Veeam Backup & Replication is a data protection solution with 4-in-1 backup, replication, Storage Snapshots and
Continuous Data Protection at its core with data portability capabilities to achieve fast, flexible and reliable data
management for all applications and data.

For more information about Veeam Backup & Replication, including installation and operating instructions, see
User and Quick Start Guides on the Veeam Helpcenter.

Usage Reporting
Regardless of hypervisor (VMware vSphere, Microsoft Hyper-V or Nutanix AHV), every virtual machine (VM)
under protection will appear in usage reports as a VM counter.

To collect usage reports across customer installations and datacenters, the primary and recommended method
is to use Veeam Service Provider Console, an automated and free tool for license management and reporting.

Alternatively, follow the steps below to view all licenses consumed per-workload for a given installation in the
License Information window:

1. In the main menu, select License.

2. For your monthly usage report, note the Edition for which you are reporting usage on the License tab.

3. Click the Instances tab and report the Count of VMs and any other workload under management within the
Veeam Backup & Replication console.

Other usage reporting methods that span across Veeam installations are available, including product-driven and
API-driven methods. See the Centralized Monthly Usage Reporting section for more information.

Licensing
Veeam Backup & Replication is entitled using a Veeam Universal License. Each VM under protection consumes
the license at a rate in alignment with the Veeam Cloud Service Provider Rental Price Per Point (PPU), which
tiers PPU consumption for VMs based on the edition of Veeam Backup & Replication. To find the most up-to-
date PPU, log in to the ProPartner Portal and access the PPU Information Sheet.

Veeam Backup & Replication for Microsoft
Windows, Linux and Mac
Product Overview
Veeam Agents for Microsoft Windows, Linux and Mac offer backup and recovery for physical servers and
workstations in the datacenter, at customer offices, or roaming laptops and ROBOs out of reach from traditional
solutions.

While the Veeam Agents can be centrally managed using Veeam Backup & Replication, many service providers
opt to manage them in Veeam Service Provider Console for broad coverage across customer sites.

deploy and manage the agents, see the Veeam Helpcenter.

Usage Reporting
Regardless of operating system (Microsoft Windows, Linux or Mac), backups will appear as one of two counters:
Servers or Workstations.

To collect usage reports across customer installations and datacenters, the primary and recommended usage
reporting method is to use Veeam Service Provider Console, an automated and free tool for license management
and reporting.

Alternatively, Veeam Agents centrally deployed and managed through Veeam Backup & Replication may also
follow the same manual or API-driven protocols used for VMs.

Licensing
The Veeam Agents are entitled using a Veeam Universal License. Each VM under protection consumes the
license at a rate in alignment with the VCSP Rental Price Per Point (PPU). For the Veeam Agents, there is no
difference in consumption across editions of Veeam Backup & Replication. To find the most up-to-date PPU, log
in to the ProPartner Portal and access the PPU Information Sheet.

VBR for Workloads Running or Hosted in
AWS or Microsoft Azure
Product Overview
Veeam Backup for AWS and Veeam Backup for Microsoft Azure are native backup and recovery solutions that
enable users to gaining control of their cloud-hosted data. Users of AWS and Azure can take advantage of
policy-based backup and recovery that scales to cost-effective object storage and keeps data portable for cross-
cloud or cloud-to-datacenter designs.

While standalone licensing and deployment options are available, Veeam Cloud Service Provider partners who
want to use their own rental license to manage and protect AWS and Azure customer data must centrally
manage their installations using plug-ins for Veeam Backup & Replication.

Usage Reporting
Regardless of the hyperscale cloud provider (AWS or Microsoft Azure), every instance under protection
(including Azure VMs, AWS RDS backups, and more) will appear in usage reports as a Cloud VM counter.

To collect usage reports across customer installations, the primary and recommended usage reporting method is
Veeam Service Provider Console, an automated and free tool for license management and reporting.

Alternatively, all other API-driven and manual usage reporting methods for Veeam Backup & Replication are
supported. See the Centralized Monthly Usage Reporting section for more information.

Licensing
Veeam Backup for AWS and Veeam Backup for Microsoft Azure are entitled using Veeam Universal License. Each
VM under protection consumes the license at a rate in alignment with the VCSP Rental Price Per Point (PPU). For
the Veeam Agents, there is no difference in consumption across editions of Veeam Backup & Replication. To find
the most up-to-date PPU, log in to the ProPartner Portal and access the PPU Information Sheet.

Other Workloads, including NAS and
Enterprise Applications
Product Overview
Veeam Backup & Replication can be a powerful platform to standardize backup management across the
datacenter, reaching workloads previously relegated to point products. This includes network attached storage
(NAS), enterprise applications Oracle RMAN and SAP HANA, and enterprise-focused operating systems IBM AIX
and Oracle Solaris.

For more information about how to configure protection of these workloads, see the Veeam Helpcenter.

Usage Reporting
Usage for these workloads can be tracked using the following counter names:

• NAS backups will appear as File Shares;

• Oracle RMAN and SAP HANA backups will appear as Enterprise Applications;

• IBM AIX and Oracle Solaris server backups will consumer or add to the Servers counter.

To collect usage reports across customer installations, the primary and recommended usage reporting method is
Veeam Service Provider Console, an automated and free tool for license management and reporting.

However, the IBM AIX and Oracle Solaris backups can not be reported using Veeam Service Provider Console.
Instead, see the Viewing License Information instructions in the Veeam Agent for IBM AIX and Veeam Agent for
Oracle Solaris user guides.

Licensing
All of the workloads are entitled using a Veeam Universal License.

NAS backups are supported by all paid editions of Veeam Backup & Replication, while Oracle RMAN, SAP HANA,
IBM AIX and Oracle Solaris backups require Enterprise Plus.

Each workload under protection consumes the license at a rate in alignment with the VCSP Rental Price Per
Point (PPU). To find the most up-to-date PPU, log in to the ProPartner Portal and access the PPU Information
Sheet.

Veeam ONE
Product Overview
Veeam ONE provides monitoring and reporting for virtualized infrastructure (VI) and many Veeam installations,
including Veeam Backup & Replication and Veeam Cloud Connect. This visibility enables capacity planning, heat
mapping, backup success and more.

Usage Reporting
While Veeam ONE monitoring and reporting supports variety of use cases, many of these use cases are free. For
example, users of Veeam Cloud Connect can use Veeam ONE to monitor cloud backups and replicas without
consuming any paid Veeam ONE licenses.

Licenses are only consumed when monitoring and reporting on workloads protected by Veeam Backup &
Replication, displaying counters for ‘Virtual Machines,’ ‘Cloud Machines,’ ‘Agent Workstations,’ ‘Agent Servers’
and ‘File Shares.’

To capture accurate usage reports, follow the steps in the Veeam ONE Deployment Guide, or leverage available
RESTful APIs.

Licensing
Veeam ONE is entitled using a specialized Veeam Universal License, available exclusively for VCSP Rental users.

By default, Veeam ONE enables data collection for every workload managed in the Veeam Backup & Replication
installation it’s connected to. To control which machines are monitored (thereby reducing the number of
consumed licenses), refer to the Veeam ONE Deployment Guide.

Each workload under protection consumes the license at a rate in alignment with the VCSP Rental Price Per
Point (PPU). To find the most up-to-date PPU, log in to the ProPartner Portal and access the PPU Information
Sheet.

Veeam Cloud Connect for Service Providers
Product Overview
Veeam Cloud Connect for Service Providers is a multi-tenant platform that enables VCSP partners to easily build
a Veeam-powered offsite-backup DRaaS offering. Veeam Cloud Connect can be installed in your own vSphere or
Hyper-V-powered cloud, or in a hyperscale cloud like Microsoft Azure and IBM Cloud.

Usage Reporting
Veeam Cloud Connect offers mobility for several Veeam Backup & Replication workloads, which will appear as
the following counters:

• Cloud Connect VMs

• Cloud Connect Servers

• Cloud Connect Workstations

• Cloud Connect Replicas

To collect usage reports across customer installations and datacenters, the primary and recommended usage
reporting method is Veeam Service Provider Console, an automated and free tool for license management and
reporting.

Alternatively, Veeam Cloud Connect may also follow the same manual or API-driven protocols used for
Veeam Backup & Replication.

Other usage reporting methods that span across Veeam installations are available, including product-driven and
API-driven methods. See the Centralized Monthly Usage Reporting section for more information.

Licensing

Veeam Disaster Recovery Orchestrator
Product Overview
Veeam Disaster Recovery Orchestrator delivers a reliable, scalable and easy-to-use orchestration and
automation engine for business continuity/disaster recovery (BC/DR). Features include recovery planning,
automated testing and compliance documentation. This solution is an excellent add-on to on premises customer
deployments or private cloud hosting customers.

Usage Reporting
Veeam Disaster Recovery Orchestrator supports two primary usage reporting paths. The first is directly through
the License UI.

The other, and preferred method for multiple installations, is leveraging the RESTful API.

Licensing
Veeam Disaster Recovery Orchestrator is entitled using a specialized Veeam Universal License, available
exclusively to VCSP Rental users. Each workload under protection consumes the license at a rate in alignment
with the VCSP Rental Price Per Point (PPU). To find the most up-to-date PPU, login to the ProPartner Portal and
access the PPU Information Sheet.

Veeam Backup for Microsoft Office 365
Product Overview
Veeam Backup for Microsoft Office 365 enables providers to offer a data protection service for Microsoft Office
365 users, including protection of Exchange Online, SharePoint Online and OneDrive for Business. Most
customers don’t realize that their SaaS-based data is their responsibility to protection.

Usage Reporting
Veeam Backup for Microsoft Office 365 supports two primary methods of usage reporting, directly through the
License UI and APIs. To report using the UI, usage reports are calculated on the first day of each month and
observed as a count of managed users.

For automated, centralized reporting, a REST API or a PowerShell script is available.

A managed user is consumed when backing up:

• Microsoft Exchange Online or on-premises mailbox

• Microsoft OneDrive for Business account

• Microsoft SharePoint Online

• Microsoft Teams

Licenses are not required for Shared, resource and group mailboxes or external SharePoint users.

Licensing
Veeam Backup for Microsoft Office 365 is entitled using a specialized Veeam Universal License, available
exclusively to VCSP Rental users. Each Managed User under protection consumes the license at a rate in
alignment with the VCSP Rental Price Per Point (PPU). To find the most up-to-date PPU, login to the ProPartner
Portal and access the PPU Information Sheet.

Centralized License Management and
Reporting
Service providers who control backup infrastructure on the tenant side can manage Rental licenses installed on
the tenant backup servers. With the Rental license, service providers can deliver a complete managed backup
service for a single fee based on the protected workload type.

Some of the Veeam products allow service providers to manage licenses centrally. With these products, service
providers can install, update, and revoke licenses. Service providers can also use Veeam products to submit
license usage reports every month. For the Rental license, service providers report the number of used
instances. The report also contains the license information, the number of processed workloads and information
about machines and job types.

License Management
To streamline the license management process, you can use the following products:

• Veeam Service Provider Console — a free product with a web-based user interface. With Veeam Service
Provider Console, you can install, update, and revoke licenses on your Cloud Connect servers, tenant
backup servers, and Veeam backup agents.

• Veeam Backup Enterprise Manager — a management and reporting component that allows you to manage
multiple Veeam Backup & Replication installations from a single web console. With Veeam Backup
Enterprise Manager, you can also manage multiple Cloud Connect licenses and synchronize license data
for different backup servers connected to Veeam Backup Enterprise Manager.

License Usage Reporting
If you use a Rental license, you must submit a license usage report to Veeam every month. The license usage
report is required for license update. By comparing the number of managed workloads in the monthly report,
Veeam can make a decision on whether to allow license update. If the monthly usage report does not deviate
from the highest watermark value significantly, the license will be updated.

You can report on license usage in the following products:

• Veeam Service Provider Console


With Veeam Service Provider Console, you can perform the following operations:

o View reports.

• Veeam Backup Enterprise Manager


Veeam Backup Enterprise Manager offers two methods of license usage reporting:

o Automatic reporting — the recommended usage reporting method. The method is used when license
auto update is enabled.

o Manual reporting — the usage reporting method intended for Veeam backup servers that do not have
permanent connection to the internet. Manual reporting is used when license auto update is disabled.

• Veeam Backup & Replication


Veeam Backup & Replication allows you to submit license usage reports from the Veeam backup console.

Rental Program Overview
As a member of the Veeam Cloud Service Provider (VCSP) partner program, you unlock exclusive access to
purpose-built products, portals and program benefits designed to help accelerate your business. A key feature
of the program is the pay-as-you-grow rental pricing program.

Rental pricing is a points-based system that assigns a Point Per Unit (PPU) value to each product, workload and
edition you license. Then, you pre-negotiate a price per point with a Veeam aggregator to transact each month.

Licensing Terms
The rental program offers two licensing term options, unlocking different contract lengths:

• No Commit rental agreements offer limited contract terms to use Veeam solutions for 30 days. Each
month that you report usage of Veeam, the contract and corresponding license keys are extended an
additional 30 days.

• Volume Rental Agreements (VRAs) offer longer licensing terms in exchange for a minimum commitment
each month. For example, a commitment to 200 points of consumption across Veeam installations.
License keys remain active for the contract length and can be extended in conjunction with a VRA
extension or upgrade.

License keys can be self-service configured and cut for either rental agreement term option in the VCSP Pulse
partner portal.

To ensure license keys remain active and co-termed with your rental agreement, Veeam recommends employing
the Automated License Key (ALK) function in all installations.

Initial Contract Terms and Grace Periods
If you have signed a VCSP Rental agreement for the first time (not a contract extension), you are granted a
limited period of grace in usage and (where applicable) license start date/end date.

• Usage grace period: regardless of your agreement terms (No Commit or VRA), usage is not charged for the
balance of the first month after you sign a rental agreement.

o For example, if you sign an agreement on April 5, 2020 you will not be charged for April usage.
Your first bill will be June 1 (for May usage).

o Reminder: within Veeam solutions, there are also payment exempt scenarios, including your first
backup/replica of a new machine regardless of where you are in your rental agreement. See the
Licensing Terms section for more information.

• License end date for No Commit VCSP Rental agreements: regardless of your agreement terms, your
license start date corresponds to the start of your contract, not to the start of your billing terms. For No
Commit agreements, your initial end date is 2.5 months after your contract start date, offering more
time to install your new licenses and start building your Veeam-powered services. Then, your license
expiration will extend by 30 days every time your monthly usage report is processed by your aggregator
and Veeam.

License Exempt Scenarios
Active Restore Points Previous Calendar Month
Per the Veeam Licensing Policy, Veeam products measure usage within a given payment period based on the
latest restore point. If a given workload does not have at least one restore point created by Veeam within the
last 31 days, then that workload will not consume a rental license for that month.

For example, if you backed up a VM every day from January 1, 2019 through March 15th, 2019, but then stopped
backing up that workload, it will stop showing up on your monthly rental usage reports beginning the first of
May (representing your April usage month).

New Instances
For Veeam Backup & Replication and Veeam Cloud Connect, the License Management screen will note machines
that have been processed for the first time within the current calendar month as “New Instances” (previously
known as “New VMs”). For example, if you added and backed up a VM on February 15, 2020 then this machine
will be tagged as a “New Instance” for your February usage (reported and billed in March).

To afford service providers more flexibility when offering trial periods for processing new machines, these New
Instances will not consume a license. Furthermore, you do not need to report usage of New Instances on that
month’s rental usage report.

Rental Licensing for Veeam Cloud Connect


Introduced in Veeam Cloud Connect 9.5 Update 3, this licensing scenario offers Veeam Cloud Connect Backup
free for service providers offering end-to-end Backup as a Service. This is represented in two scenarios:

• If you are an MSP offering your own remote managed services for Veeam Backup & Replication or the
Veeam Agents for Microsoft Windows and Linux, AND a hosting your own Cloud Connect Backup offering,
then your Veeam Cloud Connect Backup VMs, Servers and Workstations will be FREE. Moreover, a Veeam
Instance License will not be consumed.

• If you are a Cloud Connect Backup provider, AND your channel partner uses a VCSP rental license to offer
remote managed services for Veeam Backup & Replication or the Veeam Agents for Microsoft Windows
and Linux, then those Veeam Cloud Connect Backup VMs, Servers and Workstations will not consume a
Veeam Instance License and you do not report/pay for usage.

Using VCSP Pulse for Reporting and
License Management
As part of our continuous effort to bring more value to our Veeam Cloud Service Provider partners, license
management and usage reporting now runs through a self-service partner portal: VCSP Pulse. VCSP Pulse is an
end-to-end partner lifecycle management platform that offers a collaboration hub between Veeam, aggregation
and VCSP partners.

In this portal, you’ll be able to cut your own licenses (including customer- or tenant-specific licenses), report
monthly usage to your aggregator, and view your contract information.

Partners are onboarded to the portal when a Rental agreement is signed with a Veeam Aggregator. If you have
been onboarded, you can access the portal by clicking here and logging in with your ProPartner Portal
credentials. If you don’t have a ProPartner Portal login, you may register here.

Rental Agreements and Licensing Terms
Veeam transacts with cloud and managed service providers differently than traditional end customers. In
Subscription and Perpetual contract agreements, end customers purchase the usage of Veeam upfront. Rental
agreements offer a pre-negotiated consumption price, billed in arrears each month after you have reported your
usage to Veeam and your aggregator.

Enabling Automated License Key Update
Automated License Key Update (ALK) is a simple check box within Veeam installations that connects to the
Veeam Licensing Server. By enabling ALK, any updates made to licenses in VCSP Pulse (contract extension,
increase in license size and so on) will automatically be reflected in the Veeam installation.

NOTE

Usage reporting communicates with internet-based Veeam license servers. It does not replace the need to
report your paid monthly usage in VCSP Pulse.

If you do not have Automated License Key Update enabled, or if you are near the expiration date of your rental
agreement, a warning message will appear in your environment.

Exceeding License Limit
If your license key has expired, or you have exceeded your license limit, Veeam affords extension of time and
amount to ensure you continue to meet your service agreements.

For Veeam Universal License, the limits are:

• 20 Instances or 20% more than your license limit (whichever is greater).

• A grace period of 60 days.

You can read more about the protocols for exceeding licenses limits in this Veeam Backup & Replication User
Guide article and this Veeam Service Provider Console User Guide article.

For Veeam Backup for Microsoft Office 365 licenses, the limits are:

• 10 Users ore 10% more than your licenses limit (whichever is greater). However, if exceeded by more than
20 user accounts or 20% of your licenses, you may process the backups according to the FIFO queue (first
in, first out) and no more accounts will be processed.

• A grace period of 1 month. However, if exceeded by up to 2 months the FIFO queue process applies.

If you reach or exceed your license limit, you may adjust your license key in VCSP Pulse.
