LO - Plan and prepare for task to be undertaken

I. INTRODUCTION

Welcome to the first module of your Modular Distance Learning Modality in the new
normal education in K-12 under Information and Communications Technology (ICT) course.
In this module, you will learn more about the common competencies which is knowing how to
plan and prepare for tasks at hand prior to performing computer operations.

The said competency covers the knowledge, skills, and attitudes needed to perform
basic computer operations like inputting, producing, accessing and transferring data using the
appropriate components of the computer system.

In this module, you will be introduced to different learning activities preparing you to be
skillful in handling Computer operations.

At the end of this module, you should be able to:


• Select appropriate hardware and software according to task assigned and required
outcome.
• Implement basic file maintenance procedures in line with standard operating
procedures.
• Plan task to ensure that OH and S guidelines and procedures followed.

II. CONTENT

Basic Components of Computer System

Computer plays a vital role for a computer technician or a computer programmer.


Before knowing the basics of maintaining and repairing computers and programming, you
must be familiar with the different components of a computer system namely: hardware,
software and peopleware.

1.1 Hardware – The physical and tangible parts of a computer system.

A. Hardware Components

1. System Unit (Central Processing Unit)


The “brain” of the computer system. Also known as processor that is involve
in processing all the commands coming from the user. Examples: Intel processors,
Athlon and SPARC. Inside the processor is the ALU (Arithmetic and Logic Unit),
also known as the “heart” of the CPU that does all the arithmetic and logical
operations.
The processor is composed of a temporary storage called registers where
instructions are being stored and executed by the CPU.

2. Memory
Also known as storage device of data and instructions needed by the CPU to
accomplish its tasks. It plays a vital role specially in programming because it is divided
into several locations which have corresponding addresses that can be used by a
programmer. Memory is divided into 2 categories:

2.1 Main Memory (Primary Memory)

Also known as the “waiting area” of data and instructions being executed by
the CPU. It is sometimes called the RAM (Random Access Memory). The main
memory is considered as volatile storage because it holds data and programs
temporarily and means that if the power shut down and computer is turned off, all
information stored in the said memory will diffuse. Cache and registers are other
examples of primary memory.

2.2 Secondary Memory

The Secondary memory holds data and program in a long-term basis that’s
why it is known as “non-volatile” storage device. This means that information stored
will not be erase even if there is a power shut down.

Primary and Secondary memories are measured and compared in terms of its
speed or access time, capacity and costs respectively. Main memory is fast, low and
expensive while Secondary memory is slow, high and cheap. Examples of secondary
memories are: magnetic disk (hard disk), flash drive, memory card, cd, dvd, blue ray,
magnetic tape, cartridges or cassette tape, etc.

3. Input Devices

The main function of input devices is to accept data and instructions coming
from the computer user like programmers. (e.g., keyboard, mouse, touchscreen,
stylus, scanner, microphone, etc.)

4. Output Devices

These are devices that displays and store results after data are being
processed by the computer. (e.g., monitor, projector, speaker, printer, etc.)

1.2 Software

A software is a set of program or instructions that tell the computer what to do. It refers
to applications, scripts and programs that a user use to do specific task. It is an intangible
component of the computer system that acts like instructions for the processor. Software is
categorized into two types, namely:

1. System Software

Programs that run the hardware and software at all times. Common system
software is the operating system that includes Windows, Macintosh, UNIX and other
operating systems that runs a gadget or devices.

2. Application Software

These are application programs that performs specific tasks. (e.g., word
processing, spreadsheet, database, programming software, graphic software,
entertainment software etc.)

1.3 Peopleware

Mostly known as the user of the computer system. It includes individual people, groups
or teams, developers, programmers, end users, etc.

File Management

What is a File?
Refers to a collection of data stored as a unit. It can be a picture, video, sound or
audio, document, an application or any collection of data form as filename. A filename can be
a combination of characters, numbers and symbols with extension that could identify what
type of file is being stored in the computer.

File Name-the complete title or name to identify a computer file stored in a storage device.
Example: Sample. docx; Sample is the file name and .docx is the file extension.

There are (3) three common types of files, namely:

Text File - A computer file that contains a combination of letters and symbols stored as data.
Examples: txt, doc, pdf, rtf, ppt, etc.

Executable File-Also known as installer that is used to perform various functions inside the
computer system. It contains a set of instructions that runs a program when it is executed.
Common executable files with filename extensions are: .exe, .bat and .com.
Examples: operating system, Microsoft office installer, video editor, web browsers,
etc.

Media File- A type of file which plays pictures, audio or music, and videos. Commonly used
Media file extensions formats. Photo formats: JPEG, GIF, PNG, TIFF, BMP; Audio formats:
AVI, MP4, DIV, MOV, etc.; Audio formats: WAV, MP3, WMA, AAC, etc.

What is File Management?


The process of managing files like organizing, copying, deleting, moving, storing,
renaming, saving, duplicating and other processes involved in file management.

Occupational Health and Safety Procedures

Occupational Health and Safety is a planned system of standard procedures to prevent


illness and injuries due to hazards. Standard procedures are proper protocols that should be
implemented while at work. As a technician or programmer, you must know these standards
to eliminate or prevent the hazards caused by the different hazard types. There are different
steps to implement Health and Safety Protocols inside the workstations: (1.) Identify the
Hazard, (2.) Assess the hazard Risks, and (3.) Control the Hazard.

1. Identify the Hazard


A hazard is anything that could cause harm, adverse health effects, and danger to an
individual in a workstation. Hazards like distorted electrical wirings that could cause electrical
shock; wet floor that could lead to accident; noisy machinery that could damage your hearing,
etc. All these scenarios must be given considerations during working hours and remain alert
to anything that may be dangerous and be reported at once to the administration for proper
actions.

2. Asses the Hazard Risks


Assessing the risks of hazards means evaluating the possible impact of the identified
hazard. It refers to a systematic method of looking at the severity of identified hazard and its
potential outcomes considering the different factors associated with it.

Always communicate with your employer, supervisor or your health and safety
representatives about hazards that you have assessed and even hazards that you can’t fix
yourself, especially if the hazard could cause serious harm to anyone.

3. Control the Hazard


Prevention is always better than cure as they always say. Sometimes you can fix
hazards yourself if you really apply simple OHS standards. Hazard prevention and effective
controls reduce the potential of exposure to the hazard. The best thing that can be done with
a hazard is to eliminate it.

Types of Hazards

Physical Hazard
Classified as environmental hazard that includes noise, ergonomic, heat and cold,
vibration, etc. This is one of the most common sources of hazard in many workplaces. Physical
hazard includes slips, falls, exposure to loud noise cause by machines, vibrations,
electrocution, radiation, etc.

Mechanical Hazard
Hazards associated using power-driven machines and tools. Injuries like friction and
abrasion, shearing, crushing, cutting, stabbing and puncture, are all caused by failure of
providing proper machine guards.

Chemical Hazard
A type of hazard caused by exposure and improper handling of chemicals in the
workplace. There are chemicals that we always use in computer laboratory like cleaning
solvents for cleaning keyboard, monitor and other computer components that can be harmful
if accidentally swallowed, get on bare skin or eyes. Always read warnings and instructions on
the label before using it. We also used printer and always be careful in dealing with the print
cartridges, or printer toner cartridges because it can stain skin and clothing.

Safety Precautions when working:


1. Always ground or discharge yourself before touching any part of the computer.
2. Do not work alone so that there is someone who can take care of you in case of
accident or emergency.
3. Be careful with the tools that may cause short circuit.
4. Always pull the cable connector on the handle and not hold on the cable itself.
5. Use only rubber shoes when standing on the ground or in a concrete floor.
6. Make sure that the pins are properly aligned when connecting a cable connector.
7. Always power off and unplug the computer before working on it.
8. Take away any liquid such as mineral water or soft drinks near your working area or
near computers.
9. Contingency measures during workplace accidents, fire, and other emergencies are
recognized.
10. Personal protective equipment is correctly used in accordance with organization
procedures and practice.
11. Hazard/risks in the workplace and their corresponding indicators are identified to
minimize or eliminate risk to co‐workers, workplace, and environment.
12. Take necessary precautions to protect the component of the computer from
damaged caused by Electrostatic Discharge (ESD).

13. Hold the components by edges and do not touch the IC’s.
14. Read and follow instructions on the manual carefully.
15. Do not use excessive force if things do not quite slip into place.
