CHAPTER I

PROJECT CONTEXT

"Well CJ Store" was founded by Mrs. Edilyn D. Catubig 10 years ago on 19

October 2012 with her husband as a business partner. She intended to start a small

business in order to be free to set her own schedule while helping to meet their needs and

build their roadside store after to attract customers who will pass through. They decided

to open a grocery store with the intention of enhancing trade for all parties. Over time,

they advertised their operation locally, and many improvements occurred, most notably

their profits. They choose this business in their location also to make commerce for better

to everyone. As a result, they made the decision to hire two employees to assist them in

running their business.

Our grocery stores are no different from other stores, all our customers come to

get what they want or sometimes tell our employees the things they needed to buy,

afterwards they go to the cashier to pay the amount of the goods they purchase. And after

working all day, we always check our stocks in our store manually or one by one, we

write down how many are left or how many have been reduced in this or that type of food

or nonfood household goods for our daily inventory. And, we tend to count our money

for us to know how much income the stores make each day.
The problem that the store has right now is that after a tiring day, we still have to

check on our stocks by doing an inventory manually, which by that it is making our tasks

harder and longer. Because of this, the company should think of creating a system that

would facilitate their tasks and make their tasks much easier for a daily basis.

In order to address the redundant problems of sales money loss and inventory

difficulty, we decided to design the POS (Point of Sales) System. Poor financial

management, which was brought on by antiquated processes or technology, was the cause

of this. A POS system allows a business to track sales as well as collect payments from

customers. Although it may appear simple, the setup may work differently depending on

whether you sell exclusively online, have a physical store, or both. A point-of-sale system

is a phrase used to describe a cash register in a store.

Management of inventories is crucial for small businesses. You can manage your

inventory efficiently if you pick the best point-of-sale (POS) system for your company. If

you have fewer misshipments, out-of-stocks, and dead stocks (products that are

outmoded or unsellable), your inventory management is good.

While human inventory management can be difficult and error-prone, software

solutions for inventory management can greatly simplify the procedure. Small businesses

in particular might profit from the inventory management features included in some POS

systems.
You must enter data about your current products and inventory into a POS system

that has inventory management functions, including product names, descriptions,

categories, supply prices, retail prices, barcode numbers, quantities, and suppliers. The

software will automatically modify the item's inventory levels each time you complete a

sale.

The owner will be able to ascertain the quantity of their sold and remaining stocks

as well as the corresponding values of them thanks to this technique.


PURPOSE AND DESCRIPTION

Purpose

The researchers will develop a Point-of-Sale (POS) System that will give a big

help for the owner and the employee of “WELL CJ STORE”. With our develop system it

will provide a benefits for the owner, employee and also for the customers. With our

system it will make their work faster and easier, especially in tracking and monitoring

their daily, weekly, and monthly sales or incomes. With our system it will lessen their

wrong calculation of data from their daily sales and will provide a much more accurate

computation of the customer purchases.

Description

Our Point-of Sale (POS) System will generate the daily, weekly, and monthly

sales report of the “WELL CJ SOTRE”. It can provide the list of the products inside their

store that can be searched automatically. It will print a copy of the receipt for the

products that were purchased in the store. Our system will allow the owner to view, add,

update and delete items and products of the store.


OBJECTIVE OF THE STUDY

General Objective

The main objective of the study is to create a POS (Point of sale) system for

“WELL CJ STORE”

Specific Objective

 Create a module that will display daily, weekly, and monthly sales report.

 Create a module that will display the list of items, products and the sold items.

 Create a module that will provide list of products that can be searched automatically.

 Create a module that prints a copy of the receipt for products that were purchased.

 Create a module that will allow the owner to add, update and deleted items.

Scope and Limitations

Scope

The proposed system is focused only on the Point of Sales (POS) system of the

“Well Cj Store” that will include the following functions:

 The System can generate a report on daily sales and monthly sales.

 The admin has the ability to add, view, and update the list of items.

 The system can provide a list of all the items, products, and sold items.

 The admin can monitor the remaining stocks.

Limitations

 Accessible only for the owner and the employee.

 Only focused on the sales of the store and cannot cater other transactions.
REVIEW OF RELATED LITERATURE

Foreign Literature

According to KayeMorris (2010), Point of sale system can help sales and

production managers control costs by identifying lost sales due to inventory shortages

inventory overrides on products that are not selling losses due to employee’s theft or

damage. Implementing an inventory management system can take a large amount of time

depending on thesize and diversity of inventory.

Local Literature

According to PLDT(Manila,Philippines,April 15,2011), small and medium

enterprises, who long for a point-of-sale(POS) system that can track how much theysell

and how much stock they have left at their stores in real-time and fromanywhere, can

now turn to PLDT SME Nation.

In the study from Averuin, Gaela and Libo 2009 entitled,Monitoring discovery

Mail.com it stated that.It will minimized the difficulty of the manager in processing

inventory because physical counting products, stocksand computing inventory summary

will be the system job. It will monitor theavailability of products, items to prevent under

stocking, overstocking and running out of stocks. The system will also simplify the

transaction between dealer andsupplier relationship because of the updated supplier

information and price list ofitems will correspond to collaboration with other supplier.

This chapter describes the technical background of the study. It shows the graphical

model of goal and functions of the technical process.

This figure 1.1 shows how the system was being implemented. Input as

requirements to operate the system. Process as the software development methodology

and output as the development of the system. In the study, researchers created a software-

based system. The process of the system for making the Point of Sales System for WELL
CJ Store is first the admin must input all the information of the product, second the admin

must use the CRUD procedure to operate the system. Third, the admin should check the

list of expired to remove it immediately and check the sales report to track the income of

the store. Lastly, the receipt will print all the information that you input at the system.

Project Technology Tools

Visual Basic – The researcher use this to allow programmers to modify code by simply

dragging and dropping objects and defining their behavior and appearance.

MySQL – The researcher used this to store data and access the system using of SQL

Language.
Visual Studio - The researcher use this to complete the entire development cycle in one

place.
