Guidelines
Attached is a Preventive Maintenance Checklist that is geared towards assisting the Facility Maintenance and Administrative Personnel
in ensuring the buildings are being maintained and deficiencies are identified as quickly as possible so that the repair/ corrective action
can be initiated and completed in a timely fashion.
This document is broken out into several different tabs identifying the primary items that must be checked, the basics of how to check
them, and the frequency the item is to be checked. This is not an all-inclusive list and is meant to be a guide only.
As each item is completed, the person responsible will initial and date the item on the spreadsheet.
This spreadsheet is to be maintained in the office of the maintenance personnel (or facility administrator) and available for review by our
monitors, and/or Department personnel upon visitation to the facility.

Semi-Annual Tasks (every 6 months)
Lift Station ***These tasks will need to be completed by a certified Lift Station Vendor
Check for leaks on suction and discharge piping, seals, packing glands, etc. Make minor adjustments as
needed.
Check pumps and motor operation for excessive vibration, noise and overheating; Use amprobe to
nameplate. Voltage and amps must be within 5% of nameplate rating.
Gauge pressure suction and discharge. Must meet lift stations nameplate. If nameplate not available, use
industry standard.
Clean all components as well as exiting pumps and motors. This is to include station walls, limit switches,
wiring and surrounding area. Clean to new condition, or as close as possible.
Check and clean all electrical components, relays, coils and connections, etc., including all control boxes.
Lace and label wiring as required.
Ensure that the overflow alarm is working. This is to include the bell and/or alarm red signal, if applicable.
Check overflow level and adjust as required.
Obtain detailed report on work at completion of service and maintain log of service and date completed.

Yearly tasks
Clean carpet.
Strip and reseal all vinyl/VCT flooring.
Chemically or steam clean all ceramic tile and grout. Reseal grout and caulk as needed.
Service all HVAC and refrigeration systems via continuing service contract with licensed HVAC
contractor or through maintenance guidelines as outlined in the owners manual. Work involving
de-pressurizing or servicing closed-loop coolant systems should be performed by a licensed
mechanical contractor in accordance with Florida Building Code.
Touch up paint all damaged/ worn interior surfaces, including doors & window frames. Do not
paint any element of the fire alarm or sprinkler system including strobes, sirens, pull stations,
sprinkler heads, smoke detectors or any other element included in these systems. Do not paint
door hardware or locks or any window without prior authorization from Facility Services.
Inspect and caulk all window & door frames, any location walls are pierced. Interior and exterior.
