Assessment
Evaluate the existing IT infrastructure to ensure that it can support the EHR system. How?
Determine the clinical workflows that the EHR system will need to support.
Determine the level of training and support that will be needed for staff.
Vendor Selection
Develop a list of potential vendors based on the UAE's requirements and budget.
Request proposals from each vendor, outlining the specific functionalities that they can
provide, the implementation timeline, and the cost.
Evaluate each proposal and narrow down the list of potential vendors.
Schedule vendor demonstrations to allow key stakeholders to evaluate each system.
Implementation Planning
Decide Timeline: 6 months to 1 year and an estimated Go-Live
Budget
List of resources that would be needed, example Vendor Information, records needed,
data migration plan.
Communication plan, call time, stand up meeting, cross-functional call setup
A plan for ongoing support and maintenance.
System Configuration
This process can be complex and time-consuming, so it is important to include all the
stakeholders in the configuration process to ensure that the EHR system is configured as
per the LapCorp needs.
Testing
Once the EHR is updated with all the required builds and changes as per LapCorp needs, it
is important the systems are well tested and approved through the change management
processes and guidelines. The testing should be done simulated environment before
implementing it in the real production environment.
Training
Once the testing is successfully done, it is important to train the staff on the processes and
workflows involved. Providing them with all the required training materials and knowledge
transfer sessions well on time.
Develop a training plan for each staff member based on their role.
Schedule training sessions on the process, and other downtime workarounds
Provide hands-on training using simulated patient scenarios.
Go-live
Schedule the go-live date.
Develop a go-live plan that outlines the specific tasks that need to be completed which are
making sure all the stakeholders are informed and updated on the go-live date, all the
approvals are in place to go ahead with the go-live.
Be prepared for the workaround for any disruption caused during the go-live.
Provide additional support to staff during the initial implementation phase.
Post-Implementation
Develop a plan for ongoing system maintenance.
Schedule regular software updates and security patches.
Provide ongoing training and support to staff.
Monitor system performance and make any necessary adjustments.
