Contingency Plan

Scope: This policy applies to all departments and personnel within the organization, as
well as contractors, vendors, and other third parties involved in the organization's
operations.
 Definitions:
Contingency Plan: A predetermined strategy or plan of action in the event of an
unexpected event to ensure business continuity.
Critical Business Functions: Key processes and activities necessary for the
organization to function effectively.
Risk Assessment: The process of identifying and evaluating potential risks to the
organization.
 Policy:
1. Risk Assessment:
Conduct a thorough risk assessment to identify potential threats and vulnerabilities that
could impact business operations.
Review and update risk assessments periodically, or when significant changes occur.
2. Business Impact Analysis (BIA):
Perform a business impact analysis to determine critical business functions and
prioritize recovery efforts.
Establish recovery time objectives (RTO) and recovery point objectives (RPO) for
each critical function.
3. Contingency Plan Development:
Develop a detailed contingency plan that outlines specific steps to respond to and
recover from potential threats.
Include clear roles and responsibilities for personnel involved in the plan's execution.
Provide alternative methods for continuing operations in case of disruptions.
4. Communication Plan:
Establish a communication plan for internal and external stakeholders during an
incident.
Define communication protocols, including emergency contacts and notification
procedures.
5. Testing and Training:
Conduct regular tests and exercises to evaluate the effectiveness of the contingency
plan.
Provide training for employees and stakeholders on the plan and their roles during an
incident.

6. Maintenance and Review:


Review and update the contingency plan regularly, at least annually or as needed based
on changes in the organization.
Document any lessons learned from exercises and real incidents and incorporate them
into plan revisions.
7. Documentation and Recordkeeping:
Maintain detailed records of the contingency plan, including test results and updates.
Store contingency plan documents securely and ensure they are accessible when
needed.
8. Compliance:
Ensure compliance with relevant laws, regulations, and industry standards related to
contingency planning.
Collaborate with legal and compliance teams to address any specific requirements.
9. Responsibilities:

contingency plan policy.
Department heads and managers are responsible for ensuring their teams adhere to
the policy.
Employees are responsible for understanding their roles in the contingency plan and
participating in training and exercises.

to and including termination of employment.
