OBAKKI FAMILY GROUP

CONSTITUTION
1). NAME:-
The name of the organization shall be OBAKKI FAMILY GROUP
Members agreed to register the organization with the district office, Nairobi on
16/02/2021. The certificate shall be renewed yearly.

2). PREAMBLE
OBAKKI FAMILY GROUP was formed as an organization whose mission is
to promote oneness and encourage one another, mutually, socially, physically
and financially. For society to carry out her core functions, it has to put in
place some policy. The policy is the source of authority and guidance,
throughout the running of the organization.

3). OBJECTIVES
The objectives of this association are designed to ensure genuine friendship
with a view to:-
a) Assist one another in development ideas
b) Giving opportunity for saving to members
c) Help one another enjoy and sorrow or any other issue which may arise
d) Support and develop one another morally, socially, physically and
financially depending on the matter in place.
e) Share knowledge socially and more so on our economy development.
f) To establish income generating project thus sustainability for the
organization in the future.
g) To lay down projects e.g. agriculture, poultry, business and other income
generating activities.

4). MEMBERSHIP OF THE ORGANIZATION

i). ELIGIBILITY
A person shall obtain membership office organization upon:-
i). Must be 18 years and above of legal age
ii). Must be a resident of Nairobi
ii). ADMISSION TO MEMBERSHIP
A person shall be admitted upon being accepted by 60% of membership and
shall not qualify unless he/she pays a registration fee of Ksh. 1,000.
iii). MEMBERSHIP RIGHTS
 Attend meeting and take part in decision making
shall be friendly.
 Full participation either physically, socially, spiritually and financially.
 In grievance of a member. All members must participate physically,
socially and financially.
IV). DISCIPLINE OF MEMBERS
If committee is of the opinion that members has persistently refused or
neglected to comply with a provision of this constitution or has persistently
and willfully acted in a manner prejudicial to the interest of the organization;
the committee by the solution shall follow this steps:-
a) In the first instance, committee members shall speak with the member
about their unacceptable behavior at the earliest opportunity.
b) If the unacceptable behavior continues, the committee shall call for a
committee meeting to determine the period that the member shall be
suspended from the rights and priviledges of the membership, the
members shall be notified of the decision within 3 days.
c) If the unacceptable behavior continues after the suspension, the
committee shall call for a general meeting to determine the next course of
action including expelling the member from the organization.
RIGHTS OF APPEAL OF A DISCIPLINED MEMBER
 Disciplined member may appeal to the organization in a general meeting
against resolution of the committee that is confirmed within 3 days after
notice of the resolutions is served on the member by lodging with the
secretary ,a notice to that effect.
 On receipt of the notice, the secretary must notify the committee which
must call a general meeting for the organization to be held soon as
possible after the date when the secretary receives the notice.
 No business other than the question of appeal may be transacted, and
other committee and the member must be given opportunity to make
representatives in relation to the appeal orally or in written, or both.
 If the meeting passes a special resolution in favour of the appeal, the
suspended or expelled member may not attend sessions of the
organization until the appeal has been completed.
POWER OF THE COMMITTEE
In furtherance of the objectives, but not alternative, the management
committee may exercise the power to:-
Promote health and well being of the residents of the area and work together as
residents irrespective of age, sex, ethnicity, ability, religion or political view.
Promote environment improvement and conservation by educating,
encouraging and assisting the local population in environmental activities
working in partnership with similar organizations and other organizations
Invite and receive contribution and raise funds where appropriate to finance
the work of the organization and to open a bank account to manage funds.
Publicize and promote the work of the organization and organize meetings,
trainings courses, events or seminar etc.
Work with similar nature and exchange information, advice and knowledge
with them including co-operation wither other voluntary bodies, statutory and
non statutory organizations.
Take any action that is lawful and necessary to achieve the objectives of the
organization
DUTIES OF CHAIRPERSON
The Chairperson shall:-
Preside over committee meetings, general meetings and annual meeting.
Present an annual general meeting
Co-coordinate the organization activities.
Duties of vice chairperson
The vice chair person shall assist the chair person and act on behalf of the chair
person in his absence.
Duties of secretary
Keep minutes of all the election and appointments of office bearers and
ordinary committee members.
Record the name of the members of the committee and members of the
organization present at a committee meeting, general meeting and annual
general meeting.
Keeps minutes of all the proceedings at committee meetings, general meeting
and annual general meetings.
Ensures that minutes of a meeting are accepted by a motion at the succeeding
meeting keeping records of all correspondence.
DUTIES OF TREASURER
Collect and receive all the amounts owing to the organization and make all
payment authorized by the organization.
Keep correct accounts and books showing the financial affairs of the
organization with full details of the receipts and expenditure connected with
the activities of the organization.
Provide financial reports to the committee upon request and provide a report at
the annual general meeting.
ALTERATION OF THE CONSTITUTION
Any modification or change in the constitution shall be done in writing and
signed by the members.
DISSOLUTION
The organization may be dissolved if deemed by the members in majority vote
at a special meeting, any assets or remaining funds after debts have been paid
shall be among members the discretion of the management.
TERMINATION OF THE MEMBER
When a member wishes to leave the organization, one should write a letter one
month prior to the new calendar year and ensure he/she clears with the
organization before he/she shares are calculated, the refund will be given in
one month.

MIN. 1/02/2023 : FORMING A COMMUNITY BASED


ORGANZIATION
The motion was discussed and all members agreed to join hands in forming a
CBO which will assist them in many ways in future. All members agreed that
the CBO organization would be registered with the department of social
service.

MIN. 2/02/2023 : ELECTION OF COMMITTEE MEMBERS


Shortlisted candidates were put on ballot and members voted.
Elections were based on fairness and merit and the elected committee were as
follows:-

MIN. 3/02/2023 : REGISTRATION OF THE ORGANIZATION


All members discussed and agreed to open the organization account with
Equity bank, Nairobi West Branch and the signatories for the account would
be the Chairperson, Secretary and Treasurer respectively.
MIN. 4/02/2021 : ADJOURNMENT
The meeting ended with a word of prayer at 11:00am from Gladys Igonya. All
members left at their own pleasure.
