PRECIS: Nearly 19 years of qualitative experience in, Human resource management along with General
Administration , Secretarial functions and facility management. Presently associated with Graco India
Pvt. Ltd. Proficient in the entire Admin and HR process. Extensive experience in general administrative and
HR activities. A keen communicator with the ability to relate to people across all hierarchical levels in the
organisation.Managing the entire gamut of HR functions. Possess ability to motivate people to achieve
organizational objectives.

THE KEY DELIVERABLES

A. Human Resource Management

Onboard and Exit Process

• Handling all the functions from employee joining to leaving formalities.


• Maintaining Attendance Records, Leave, Leave Encashment, organization chart etc.

Recruitment and Selection

• Maintain up-to-date recruitment progress report, talent database and all related staffing
communication.
• Process all local recruitment requests in an effective and efficient manner.
• Managing orientation program for employee to the business and culture.

Training and Development

• Interface with Group HR and external vendors and suppliers for the implementation of corporate
training or training programs to meet the business needs where appropriate.
• Identify key skills, specialty skills and propose training needs accordingly.
• Managing, communicating and delivering important projects that impact other parts of the
organization.

Compensation and Benefits

• Monitor and alert the regional human resources director to any variance between the budgeted and
actual salaries and headcount.
• Occasionally, produce and submit information to for “knowledge sharing” with Group HR.
• To be in charge of payroll administration and to make all necessary co-ordination to make a smooth
and efficient operation (variable compensation, overtime, expatriates compensation, special payments).
• Gather all necessary data to benchmark salaries and benefits.
• Compile all data needed for the annual salary review, and the annual performance appraisal
analysis.
• Provide recommendations and support to HR representatives (mainly Finance Directors) across the
region.
• Provide information to Expatriate staffs regarding C&B (Tax; Social Benefits).
Employee Relations

• To detect and handle complaints, disputes and grievances of all staffs and to report them to the
Regional Human Resources Director
• To foster a conducive working environment through employee relations activities and
communication
• To conduct exit and grievance interviews with all departments/staffs
• To assist in handling all local labor tribunal cases

Rules and Regulations

• To review the staffs rules and regulations (or employee handbook) on a regular basis
• To create and implement the employee staff rules and regulations for newly created subsidiaries in
the region

Budget, financial management

•Submit the Personnel Budget for all personnel costs and Headcount to Finance Department.
Product and submit the yearly tax returns for all staffs on a yearly basis.
• Produce and submit the payroll journal and the Headcount report to Finance Department on a
monthly basis.
• To submit the Personnel latest estimates for all personnel costs and headcount to Finance
Department on a quarterly basis.

Human resource information system

• Maintain smooth running of the Human Resources Information System.


• Monitor timely update of personnel records (personal details, position, salary, appraisal outcomes,
leave records, training and awards).
• Organize locally and produce SAP Group HR reporting.

B. Administration

Administration

o To provide administrative support to Indian Liaison office.


o Organizing trade shows seminars etc in conjunction with Graco District Managers.
o Filing Reports and keeping them up to date.
o Responsible for Indian Distributors agreement.
o To prepare office monthly expense report.
o To record and maintain fix assets for local office.
o To assist the senior with communications to Distributors & end users.
o Handling enquiries and phone calls.
o Assisting Indian sales team in various sales promotion activities (eg.Trade shows, seminars,
etc),
o Making travel arrangement for the officers of the Unit and looking after the staff
accommodation. Managing VISA Processing, travel arrangements for International travelers
(employees)and expats
o Giving full support to the Expats who visited Indian office.
o Extending logistic support for all the meetings/ training programme conducted.
o Compile monthly and other ongoing reports related to admin dept.
o Liaise with building owners on office maintenance and Keeping tracks of other administration
matters and represent them
o Arrange for personnel work stations/offices to be fitted out for purpose.
o Provide effective response to personnel’ queries with respect to office needs/repairs.
o Managing stationery and other office supplies are available for the project with a complete track
and maintenance of stock.
o Assist with all administrative services & support queries, issues, changes etc.
o Attention to detail, ability to multi-task, accurate and self-starting
o Sound interpersonal skills; ability to handle complaints and promote resolution.
Vendor Management

o Coordinating with vendors, identifying, negotiating & managing purchase cost ensuring effective
Vendor Management. Co-ordination with business team on setting up new process & procedures
related to payment process, policies etc.
o Liaising with the vendors analyzing & reviewing their billings Check & certify all the vendor &
vendor reconciliation, invoices & agreements, ensuring timely payments.

C. Secretarial Functions

o Organizing & conducting board meetings and coordination meeting with the key managers for
proper coordination.
o Preparing agenda for the meeting, handling logistics support/travel arrangements, drawing
minutes of meeting, taking dictations, generating error free letters, fixing/ scheduling
appointments & coordinating.
o Sorting, screening & prioritizing incoming mail (by post/fax), drafting responses to
correspondence as required.
o Preparing & maintenance of statutory records.
o Managing relationship between horizontal units within the organization; developing healthy
interpersonal relationships.
o Coordinating with headquarters in Shanghai China for Legal Matters etc.
o Coordinating with Government Officers & banks officials.
o Attending interpersonal issues arising at work place & initiating motivational activities.
