Introductory Message
This Self-learning Module (SLM) is prepared so that you, our dear learners,
can continue your studies and learn while at home. Activities, questions,
directions, exercises, and discussions are carefully stated for you to
understand each lesson.

Each SLM is composed of different parts. Each part shall guide you step-
by-step as you discover and understand the lesson prepared for you.

Pre-test are provided to measure your prior knowledge on lessons in each


SLM. This will tell you if you need to proceed on completing this module, or
if you need to ask your facilitator or your teacher’s assistance for better
understanding of the lesson. At the end of each module, you need to answer

2.2 Operations
This module, allows you to gain the understanding, abilities and
assertiveness in performing computer operations in computer system servicing in
becoming skillful in performing computer operations.

Let us define the following terms:


Hardware – refers to the physical parts of a computer system.
Command Prompt - is a command line interpreter application available in
most Windows operating systems. It's used to execute entered
commands.

Backup - is a copy of computer data taken and stored elsewhere so that it


may be used to restore the original after a data loss event.

Antivirus - software helps protect your computer against malware and


cybercriminals.
Junk Files - are created by Windows and other programs that writes
temporary files, during installation and when running, to your
hard disk which they need to do in order to work.

Computer maintenance

In the current age where we rely heavily on our computers, it is vital for users to
carry out regular computer maintenance to ensure optimization of the PC. Doing so
prevents user frustration and allows for better productivity and efficiency when
using the PC. Regular PC maintenance services increase the life of the computer
and saves you huge expenses on data recovery services.

System maintenance is an umbrella term that encompasses various forms of


computer maintenance needed to keep a system running. The two main
components of system maintenance are preventive and corrective maintenance.
Preventive maintenance involves taking measures to help keep the system
functioning, whereas corrective maintenance involves the replacement or repair of a
system or its components after they have already failed.

Two types of computer maintenance

Preventive Maintenance

Preventive maintenance is defined as the proactive maintenance of equipment


before a fault or failure occurs such as: Find and remove viruses from your hard
drive, find and correct errors in the physical and logical disk, disk defrag, clean up
the motherboard and other cards to avoid technical problems due to dust, etc..
Corrective Maintenance

Corrective maintenance, commonly referred to as 'repair,' is the correction of a


problem after the computer has already broken down. The goal of this form of
maintenance is to restore operability to the system by either correcting the problem
or replacing the damaged components. Common corrective measures involve
removing viruses and malware, uninstalling harmful programs, reformatting, and
running a system restore, among others.

Procedures in applying computer maintenance

1. Disk cleanup

Disk Cleanup is a Microsoft software utility first


introduced with Windows 98 and included in all
subsequent releases of Windows. It allows users to
remove files that are no longer needed or that can
be safely deleted. Removing unnecessary files,
including temporary files, helps speed up and
improve the performance of the hard drive and
computer. Running Disk Cleanup at least once a
month is an excellent maintenance task and
frequency.

How to open Microsoft Disk Cleanup

Microsoft Disk Cleanup can be opened by following


these steps.

Windows 10 and Windows 8

1. Press Windows key + X to open the Power User Task Menu.


2. In the menu, tap or click the Run option.
3. In the Run text field, type cleanmgr and press Enter.
4. Windows 7 and earlier

1. Open the Start menu.


2. Click on Programs > Accessories > System Tools.
3. In System Tools, click the Disk Cleanup utility.

1. Open the Start menu.


2. Click the Run option.
3. In the Run text field, type cleanmgr and press Enter.
2. Checking disk errors

Windows has a handy feature called CHKDSK (Check Disk) that you can use to
analyse hard drive errors and run repairs automatically. It can be a lifesaver for
dealing with (non-physical) hard drive faults.
A glitchy or corrupted hard drive can create a moment of panic. The potential for
lost files is heartbreaking, and hard drive failure is one of the top reported
computer faults.

To start, open a new File Explorer window (click


Windows key + E) then click This PC. Right-click on the
drive that you wish to scan - most commonly this will be
your C: Drive or D: Drive - then click Properties.

The Properties window for the selected drive will now


open. Here, click the Tools tab and then click Check
under the Error checking section.

Alternative: run CHKDSK from a Command Prompt

There's another, simple, way of initiating a CHKDSK


process - you can do so directly from a command prompt
window.

To do this, open up command


prompt (click Windows key + X
then select Command Prompt -
Admin).

In the command prompt window,


type in CHKDSK then a space,
then the name of the disk you wish
to check. For example, if you
wished to perform a disk check on
your C drive, type in CHKDSK
C then press enter to run the
command.

3. Replacement of consumables

The main drivers for replacing stock are internal – taking advantages of those
better, quicker and more effective ways of working. There are internal parts that
can be replace to fix errors or to upgrade for better performance of your computer.
One of the best ways to extend the useful life of an existing computer system is to
consider upgrading current hardware.

a. Video Card

If you want to boost your computer's visual performance, you need to


improve its graphics. Although the primary application is running more
powerful games at a better image quality, upgrading your graphics also helps
with image modification, video editing, and playing high-resolution video
b. Random Access Memory (RAM)
Multitaskers benefit from a memory upgrade because more memory means
more programs can be run at one time. Computers may experience
significant slowdowns when running a larger number of programs at once
prior to upgrading memory. Upgrading memory eliminates this problem; the
extra memory becomes allocated to the opening of several programs at the
same time.

c. Hard Disk Drive (HDD)


Upgrade hard drive if you get notifications or errors that tell you that there is
no more space. There are options in this situation. If you are in need of more
hard disk space, you can upgrade to a larger drive. It will not only increase
space for storage, it will speed your computer up.

d. Central Processing Unit (CPU)


A processor is only worth upgrading if the upgrade is significant, like moving
from an i3 to an i5, or from an older generation to a newer one.

e. Digital Versatile Disc Drive


Upgrading or replacing an internal DVD drive is cheap and relatively easy in
a full size PC but is more difficult and expensive in a laptop.

4. Dusting the external and internal part of the computer

Despite its abundance of moving parts, the fact that your PC is usually
sitting in one location for long stretches of time means its internal
components are susceptible to dust buildup. External peripherals like
keyboards and monitors can become dirty over time as well, which makes
routine maintenance and cleaning an essential part of PC ownership.

In this guide, we’ll explain the best practices and recommended tools for the
properly maintaining and cleaning of both internal and external PC
components. It’s not always necessary to give your PC a full scrub down, but
taking the time to properly clean more sensitive components can go a long
way in ensuring their longevity

General cleaning tips

Below are suggestions to follow when cleaning any computer components or


peripherals and tips to help keep a computer clean.

1. Never spray or squirt any liquid onto any computer component. If a spray is
needed, spray the liquid onto a cloth.
2. You can use a vacuum to suck up dirt, dust, or hair around the computer.
However, do not use a vacuum inside your computer as it generates static
electricity that damages your computer. If you need to use a vacuum inside
your computer, use a portable battery powered vacuum or try compressed
air.
3. When cleaning a component or the computer, turn it off before cleaning.
4. Be cautious when using any cleaning solvents; some people have allergic
reactions to chemicals in cleaning solvents, and some solvents can even
damage the case. Try always to use water or a highly diluted solvent.
5. When cleaning, be careful to not accidentally adjust any knobs or controls.
Also, when cleaning the back of the computer, if anything is connected make
sure not to disconnect the plugs.
6. When cleaning fans, especially smaller fans, hold the fan or place something
in-between the fan blades to prevent it from spinning. Spraying compressed
air into a fan or cleaning a fan with a vacuum may cause damage or
generate a back voltage.
7. Never eat or drink around the computer.
8. Limit smoking around the computer.

Cleaning tools

Although computer cleaning products are available, you can also use household
items to clean your computer and its peripherals. Below is a listing of items you
may need or want to use while cleaning your computer.

 Cloth - A cotton cloth is the best tool used when rubbing down computer
components. Paper towels can be used with most hardware, but we always
recommend using a cloth whenever possible. However, only use a cloth when
cleaning components such as the case, a drive, mouse, and keyboard. Don't
use a cloth to clean any circuitry such as the RAM or motherboard.
 Water or rubbing alcohol - When moistening a cloth, it is best to use water
or rubbing alcohol. Other solvents may be bad for the plastics used with
your computer.
 Portable Vacuum - Sucking the dust, dirt, hair, cigarette particles, and
other particles out of a computer can be one of the best methods of cleaning
a computer. However, do not use a vacuum that plugs into the wall since it
creates lots of static electricity that damages your computer.
 Cotton swabs - Cotton swaps moistened with rubbing alcohol or water are
excellent tools for wiping hard to reach areas in your keyboard, mouse, and
other locations.
 Foam swabs - Whenever possible, it is better to use lint-free swabs such as
foam swabs

File maintenance

The routine changes, updates, copying, moving, or deleting of files on a computer.


Usually, file maintenance is performed on computers or servers that are serving a
vast amount of files.

1. Backing up files

Backing up can be as simple as copying a file from one spot to another, say
from your hard drive to a removable USB flash drive.

a. Create backup with system image tool on Windows 10

The tool allows you to save a backup in different locations, such as inside a
network folder or secondary hard drive. However, it's recommended to use a
removable storage, which you can easily disconnect and store in a safe place.
To create a full backup of Windows 10 with the system image tool, use these steps:

1. Open Settings.
2. Click on Update & Security.
3. Click on Backup.
4. Under the "Looking for an older backup?" section, click the Go to Backup
and Restore (Windows 7) option.
5. On the left pane, click the Create a system image option.
6. Under "Where do you want to save the backup?" select the On a hard disk
option.
7. Using the "On a hard disk" drop-down menu, select the storage location to
save the full backup of Windows 10.
8. Click the Next button.
9. Select any additional drives that you may want to include in the backup (if
applicable).
10.Click the Next button.
11.Click the Start backup button.
12.Click the No button.
13.Click the Close button.

Once you complete the steps, the tool will create a backup of your computer,
including everything on the main hard drive as well as system reserved partition,
and additional drives that you may have selected during the wizard.

The System Image Backup tool uses the "Shadow Copy" technology that allows
backing up files while they're open, and apps are running, which means that you
can continue to work during the process.

b. Online Backup Services

Straight backup products lean toward direct transfer of files from a hard drive to
online/cloud storage, with easy restoration options. Install software on a PC, tell it
which files/folders to keep backed up, and it does the rest in the background.
Because the storage is online, you can typically read files via the browser, or
restore the files to other systems, as needed.

c. USB Flash Drives

Small USB drives are almost as inexpensive as discs, even as their capacity
increases. They have the advantage of being ultra-portable.

d. CDs/DVDs/Blu-ray Discs

The old standby for backup is to copy your files to a shiny disc. The downsides
remain capacity and speed; the new downside is that it's harder to get computers
with CD drives these days.

2. Deleting Unwanted Files


Too much clutter on your hard drive not only consumes space – it means your PC
has to work harder to find the files you do need. Files you no longer use can be
archived to an external drive, while downloads, duplicates and temporary files can
be deleted altogether.

Remove junk files with Disk Cleanup

Windows has a built-in tool (Disk Cleanup) for cleaning up hidden junk files.

Click Start > Computer (Windows 7) or Start > File Explorer > This PC (Windows
10). Right-click your main hard drive (usually the C: drive) and select Properties.

Click the Disk Cleanup button and you’ll see a list of items that can be removed,
including temporary files and more.

For even more options, click Clean up system files. Tick the categories you want
to remove, then click OK > Delete Files.

3. Updating antivirus database/using more appropriate antivirus program

Keeping your computer safe from viruses is extremely important, especially if your
computer connects to the Internet. Usually links is responsible for catching viruses
in spammy downloads and fishy websites. Antivirus software helps keep your
computer safe, but only if you keep its virus definitions up-to-date.

Update through antivirus program

The majority of new antivirus programs (programs or computers purchased after


the year 2000) enable users to update their antivirus program through the software.
Open the antivirus program and look for "Update," "Check for updates," "Live
Update," or something similar. Below are examples of how a user may update their
antivirus program.

 Microsoft Windows users running recent versions of McAfee can double-click


the Vshield icon in their Windows notification area and click "Check for
VirusScan update" to check for available updates.
 Microsoft Windows users running recent versions of Symantec (Norton) can
double-click the program icon in their Systemtray and click the "Live
Update" to check for available updates.

Update through antivirus web page

Some antivirus programs do not include an update utility. If you are using such
software, download new virus definitions directly from the developers web page. It
should be noted that some developers require you to know what version you are
running to get updates. Below are some of the popular antivirus programs.

 AVG antivirus updates.


 F-Secure antivirus updates.
 Kaspersky antivirus update/upgrades.
 McAfee antivirus updates.
 Panda Software updates/upgrades.
 Symantec (Norton) antivirus updates.
