Logging into ESS


To log into ESS:
1) In any of the browsers mentioned under Supported Browser Versions section, type
the URL https://www.ess.adp.in/ESS4.
2) Enter Company Name, User Name and Password.
3) Click sign in.

Dashboard View
Intuitive Dashboard provides quick links to reports like Pay slip and Tax slip, Reimbursement
claims details, important notifications like Claim and Investment detail submission date.

Supported Browser Versions


Mouseover the browser icons (Highlighted in Red) appearing at the bottom line of
application login page to view the browser versions supported by the application.

Employee Profile
This feature allows adding a profile picture or changing the existing profile picture.
To change profile picture:
1) In the upper-left corner of ESS, click options icon, and then choose Change
Profile Info.

2) Click Choose File to select the desired picture.


3) Click Upload File to upload the selected picture.

Change Password
You can change your password by referring Rules for Password mentioned at the left side of
Change Password page.

1) In the upper-left corner of ESS, click options icon, and then choose Change
Password.

2) Enter Current Password and New Password.


3) Re-enter the new Password and click Change Password.

Reimbursement Claim
You can submit reimbursement claims and view and download the details of the submitted
claims.

Claim Submission
To submit reimbursement claims:
1) In the left navigation pane of ESS, click Reimbursement Submission under Claims
from April 2018.

You can view the claim submission page which provides employee details.

Create New Claim


To create new claim refer the steps given below:
1) In the left navigation pane of ESS, click Reimbursement Submission under Claims
from April 2018.
2) Click Add a New Claim.

You can view claim submission page containing three sections –

1. Employee Information section – Provides employee details including Employee


Name, Employee ID and Date of joining.
2. Submission section – Allows to submit claim details by clicking the corresponding
claim tab. You can also view information related to Valid and Invalid claims under
each claim tab.
3. Preview section – Click Preview before Submit to view submitted claim details.

Note: You are required to click Preview before Submit only after providing all your details
under relevant tabs in claim submission page.
1) Click icon to add new claim.

2) Enter claim details and click Save icon to save the details.

View Available Balance


Annual eligibility claim amount is displayed as Available Amount under each claim tab.
You can submit claim details under applicable claim tab based on the displayed Available
Amount. You are not allowed to add any claims If the Available Amount becomes zero.

View Check list


You can view the list of claims submitted by clicking CheckList tab.

Once you have reviewed the checklist, click Preview before Submit to view the submitted
claims details.

View, Edit and Delete Claim


You can modify the claim details by clicking Edit icon before submitting the claims.
Click Save icon to save the details.
You can also delete the claims by clicking Delete icon.

Preview and Submission


You can preview the claim details entered under each tab in claim submission page.

Once you have verified all the details entered and are sure to submit the details, click Submit
Reimbursement at the bottom of the preview page. You need to enter relevant details
required under Declaration section.

Note: Once you submit the form you will not be able to edit or re-submit the data.

Click Resume Editing if you wish to go back to the entry page.

View Reimbursement Status


You can view the approval status of submitted claims.

To view claim status:

1) Click Reimbursement Submission under Claims from April 2018.

2) Click Consolidated View link in claim submission page to view the approval status.

You can view claimed amount, approved/rejected amount and remarks for the
submitted claims.

Download Reimbursement Slip


You can download the reimbursement slip which includes submitted claim details including
reimbursement component name, opening balance, eligible amount etc.

To download reimbursment slip:

Click link available in claim submission page to download reimbursement slip for the
submitted claims.

Select Claim Type from the drop-down list. Click Download the file to download the slip.

Income Tax Detail


Every financial year, you are required to submit your investment plan and proofs within the
submission date defined by Organization.

Investment Detail Submission


To submit Investment details refer the steps given below:
1) In the left navigation pane of ESS, click Income Tax Details Submission under Income
Tax Details.

You can view the Instruction page which gives a basic overview of the guidelines to
be followed for the submission of the Investment details.

Click Proceed to Submission to submit the details.

You can view Investment details submission page containing three sections.

1. Employee Information section – Provides Employee details including Employee


Name, Employee ID, PAN, Date of joining and Number of children studying.
2. Submission section – Allows to declare investments under various tabs like House
rent, House Property, Investment under 80C, Mediclaim, Disability, Education
loan.
3. Preview section – Click Preview before Submit to view the Checklist showing the
list of investment details which you have submitted for income tax computation.

Note: You are required to click Preview before Submit only after providing all your
investment details under relevant tabs in Investment details page.

Submitting Declaration and Actual
You can choose to submit either a declaration or actual proof by selecting the appropriate
value in the drop-down list under each tab.

If you are selecting “Actual” in the drop-down list, it is mandatory to upload the proof
document in “Upload Supporting Document” section.

Note: For sections including Prev. employer income, 80DD, 80U, the entries are considered
as actual submissions by default and are expected to submit proof document

If you update a line item as “Actual” you will be mandated to upload a proof document

Scan Document Upload


You can upload individual scanned documents under each tab in Investment submission
page.

1) Click Choose File to select the file to be uploaded.


2) Click Upload Document to upload the file.
3) Select Yes radio button to enter the password if the uploaded file is encrypted.

When the document is successfully uploaded you can see it listed as shown below.

Note: You are required to enter a valid document type. The list of valid documents will be
displayed as shown below in case of failure.

Previous Employer Income


Previous Employer Income tab gets enabled if the employee has joined in the current
Financial year.

Once you enter the Company Name and Income after section 10, other rows get enabled.

Once you enter the Company Name and Income after section 10, other fields (like Employee
Contribution to PF, PT deducted, Total tax deducted from income) gets enabled.

Form 12B submission

You are required to fill in Form 12B and upload the same.

Click hyperlink to download Form12B. Fill in the required details and upload.

Select Yes radio button to enter the password if the uploaded file is encrypted.

Section 10 (13A) - House Rent Allowance


Allowance is specifically granted to meet expenditure actually incurred on payment of rent
for residential accommodation occupied and is exempt to the extent of limit.

Mumbai / Kolkata / Delhi / Other Cities

To access the section pertaining to HRA exemption:

1. Click “House Rent” tab in the Investment detail submission page.


2. Click icon to enter rental details

You can add multiple rows to enter than one period of rental details.

Note: The HRA exemption does not apply if the following conditions are met:

• House is owned by employee

• Employee has not actually incurred expenses for Rent

3. Enter actual rent paid in each month for the current financial year starting from the
month of April.

Note: Once the record is saved, you will be prompted to provide landlord‘s PAN details, if the
total annual rent paid exceed INR 1,00,000. If you have not already entered the Landlord
details, click edit icon to enter the details.

HRA details are successfully saved only on providing correct landlord details including PAN
and landlord’s name and address.

4. If the rent paid is different from a particular month, onwards, enter the new rent
amount for the corresponding months.

5. Check the amounts that are populated in the month-wise table based on data
provided in the table above and edit the periods as required.

Section 24 – Deductions – Income from house property

Limit of deduction

To claim deductions under Section 24 and deduction of principal amount of home loan
(under Section 80C), click House Property tab of the investment detail submission page.

1. Click icon to enter house property details. You can add multiple rows to enter
details of more than one property if applicable.

2. Select Property Type as Self or Let Out from the drop-down list. Enter address details
of the Property.

3. Specify ownership of the property as Self or Joint. If the property is jointly owned,
you are required to mention what percentage of ownership is to be claimed.

4. Enter details of Lender or Financial Institution providing the home loan.

5. Enter Date of Possession or Completion of Construction and Date on which the loan
was taken.

Note: To find the PAN details of the lender, you may refer the list of generally
available PAN details of lenders by clicking the link above the entry grid.

a) In the case of a Self-Occupied Property, you need to enter the full interest paid on
the home loan in the current financial year as per the certificate provided by the
financial institution.

b) In the case of a Let-Out Property, in addition to the above, you need to enter the
income earned from rent and the municipal taxes paid if any.

c) You need to enter the full amount of principal paid on the home loan in the current
financial year as per the certificate provided by the financial institution.
This will be considered under section 80C deductions subject to limits therein.

d. If you wish to claim Pre-construction interest, mention the full amount of interest
applicable.

Note: If you are claiming deduction on a jointly owned property, the applicable prorated
values will be displayed in accordance to the percentage of share in the joint property.

6. Click Save icon to save the details entered.

Note: You are required to check the Declaration for the section of House Property before
you save. Also, you can view the Total Net Income/Loss across all properties (Max of INR
2 Lakhs).

Investments under Section 80C 24


Click “Invst. u/s 80C” tab in investment detail submission page to claim deductions under
Section 80C.

You will be able to claim deduction under Section 80C for the following:

1. Life Insurance Policies

2. Unit Linked Insurance Plan

3. Pension Plan

4. Child Education Expenditure

5. Equity Linked Savings Scheme (ELSS) / Mutual Funds

6. Infrastructure Bond

7. Public Provident Fund (PPF)

8. National Savings Certificate (NSC)

9. National Savings Certificate - Accrued Interest (NSCAI)

10. Other Eligible Deposits

11. Sukanya Samriddhi Yojana

12. National Pension Scheme – excluding employer contribution

General Instructions: To claim deduction amount under the relevant investment,


click icon to enter the details. You can add multiple rows to add further investment
entries.
1. Select the beneficiary of the investment. The beneficiary can either be yourself, your
spouse or children. Enter the document reference number e.g. policy number or bill
number.

2. Enter the full amount of the investment.

3. Select Actual under Actual/Declaration field to submit the investment that has
already been made in the current financial year

4. Select Declaration in case the investment is yet to be made but will be made in the
remainder of this financial year. You need to submit relevant proofs to authenticate
the declared investment.
5. Click Save icon to save the details entered.

Note: In the case of Child Expenditure Expense (Tuition Fee), you need to specify the
number of children at the top of the page.

Once you have selected the number of children studying, you are allowed to add only one
row under Child Expenditure Expense (Tuition Fee).

Note: The amount for Tuition fee and Exam Fee must be separately mentioned as per proof
document.

SECTION 80D
Deductions with respect to Mediclaim

Deductions under Section 80D are limited to the below amounts; in line with the beneficiary
of the medical insurance policy.

To claim deductions under Section 80D, click “Mediclaim” tab in investment proof
submission page.

Select beneficiary. Enter Policy Number and Amount to be claimed.

Click Save icon to save the details entered.

Note: You are not allowed to enter amount greater that the eligibility for the respective
category.

SECTION 80DD / 80U


Medical Treatment for Person with Disability

Deductions under Section 80DD and 80 U are limited to the below amounts.

To claim deductions under Section 80DD & 80U, click “Disability” tab in investment proof
submission page.

Click icon to enter the details.

For both dependent and self-disability, choose the percentage of disability. In the case of
dependent disability, you are required to choose the relationship of the beneficiary.

Click Save icon.

SECTION 80E
Deductions with respect to Interest on Loan taken for Higher Education

Deductions under Section 80E are applicable to repayment of interest on loan taken for
higher education from a financial institution or any approved charitable institution. It is
allowed for self, spouse or children or for a legal ward.

This benefit can be availed up to 8 years from the year on which repayment of the loan was
started.

1. Click icon to enter details.


2. Select the relationship of the beneficiary of the loan and enter the amount.
3. Enter the year in which repayment of the loan was started.
4. Click Save icon.

Note: If you wish to claim Exemption for your legal ward choose beneficiary relationship
as “Children”.

Preview and Submission

You can preview the investment details entered under each in Investment detail submission
page.

Click Preview before Submit to view Checklist showing the list of investment details which
you have submitted for income tax computation.

You can also view the Checklist by clicking CheckList tab in Investment detail submission
page.

Once you have reviewed the checklist, click Preview before Submit.

The below preview screen appears. You need to enter your address at the top of the form as
per requirements for declaration.

Select the relationship of the beneficiary of the loan as well as the amount.

Once you have verified all the details entered and are sure to submit the details, click Submit
investment Proof at the bottom of the Preview page. You need to enter relevant details
required under Declaration section.

Note: Once you submit the form you will not be able to edit or re-submit or edit the data.

Click Resume Editing if you wish to go back to the entry page.
