Execution Methodology

W hat is it?
Enquiry - WHAT are you visiting - its history, its relevance - Use Edu Trail
handouts to read up on the place/activity you are going to. This brief handout
will prepare students for the next step - having questions about the
activity/place thereby making their upcoming session more productive.

H ow & Why is it?


Discovery & Exposure - WHY does it exist - its purpose? HOW does it exist - its
functionality? Here, students are encouraged to be inquisitive, find first hand
answers from the experts or through the exhibition to their questions and
understand the purpose and functionality of the place they are visiting.

O hh! Now I get it!


Enquire, question and understand. Here is where we close the loop by getting
students find answers to their questions and get a basic understanding of the
place they visited or the activity/session they attended. The learning is further
reinforced through reflection journals & post activity tasks.

Cancellation policy

Cancellation Policy (By Parent)


In case of Visa rejection/delay by Embassy: INR 30,000/- + flight cancellation charges
Post registration: INR 25,000 + any flight cancellation /Visa charges as per actuals
Between 30 - 59 Days: 60% of the total program fee
Between 15 - 29 Days: 80% of program fees
Between 0-14 Days: 100% of program fees

TERMS AND CONDITIONS
General Terms & Conditions
All rates and availability are subject to change at the time of booking
No Flights have been booked and rates are subject to change as per the availability &
budget of each group
All rates are based on a minimum 30 passengers traveling together on all tours. (If
group size is smaller than 30, we will combinethe school group with another group OR
we will requote)
In case pricing is in INR, Rate of Exchange (ROE) taken for computing the above price
is 1 USD = 82.50 -85 INR. In the event of an increase in the ROE considered before the full
& final payment we will charge differential as per actuals
During Peak season (i.e., Summers), we cannot guarantee that the journey leader will
travel from India, he/she may join the group in visiting country due to back-to-back
movement of groups
We have the right to amend the rates as per actuals in case
gov’t/embassy/airlines/hotels/transportation/any sightseeing changes their rates
without any prior notice to the travel agent. We will amend the rates even after we have
given the quote to the school/parents/before the departure of the trip. Any rate change
that is beyond EduTrail’s control will be subject to amendment and we will informed to
the school/parents immediately
Due to operational reasons, the routing of the tour/ hotels quoted may be amended but
the quality of the program will not decrease
All mentioned services will remain unchanged
We reserve the right to use alternative accommodation, sightseeing tours, and transfer
of equal or higher standards
All sightseeing, meals, hotel booking will be as per our inclusions. Any extra meals,
sightseeing, and upgrades of the hotel will be charged as per actuals at the time of
booking. Additional charges will apply for any SINGLE ROOM requirement
Any unused services due to any reason arising beyond EduTrail control during the tour
will not be refunded, additional sightseeing will be offered
All Rates are valid for Indian Nationals Only
Terms and conditions have to be signed by School & Parents within 30 days of the
quote given, or else quotation will be revised. A booking amount of INR 50,000 must be
given at the time of signing of this tour contract
Payment shall be made directly to EduTrail by Parents via cheque, DD, RTGS. In case of
cheque bounce, we will charge INR 1000 extra as bouncing charges
All terms & condition must be disclosed to all persons involved – Parents, School &
EduTrail at the Time of booking/Registration

Cancellation Due to Covid outbreak:


Cost of any covid tests required at the time of travel by any destination country or
home country to be borne by the travelers as per actuals
In case of program cancellation due to Covid outbreak, cancellations will be made as
per actuals charged by Airlines and all other vendors charges(like hotel, sightseeing,
workshops) plus an INR 8000/-charge per head by EduTrail as admin charges
TERMS AND CONDITIONS

A/C Coach Rules:


Kindly note coaches are available for pick up and drop off services only, if the group is
late then we have to wait for the next coach to arrive and that can take time. The Group
must follow Journey leader timings/instructions so everything is covered within the due
time. If for any reason the group is late or doesn’t follow timings/instructions of TL,
EduTrail will not be responsible for missed activities, entrances, less time at a particular
location

Tips, Water, Rooms, Food


Personal water bottle are recommended and tap water is absolutely drinkable
Rooms sizes are smaller in Japan compared to India
Any use of mini bar, phone calls from hotel, breakage, damage to bus/rooms/hotel will
be borne by the parents
Indian food will taste different than what we are used to eatingat home

TCS (Tax collected at Source & PAN Card Requirement)


“As per Income Tax Act,1961, the TCS@ has been added to the amount payable for
booking overseas packages and 1 Parent’s pan card must be submitted to EduTrail. In
case PAN is not provided then TCS@20% will be applicable. You will be able to take the
credit of such TCS against Income tax payable or by claiming refund at the time of filing
income tax return.
As per section 206CCA of Income Tax Act 1961, w.e.f. 01-Jul-21 onwards, When you book,
offline or online, overseas tour packages of more than Rs 7 lakh in a financial year, you
have to pay TCS at 20% from October 1, 2023. If the foreign tour packages cost up to Rs 7
lakh, TCS will be levied at 5%.
