Administration to connect, share experiences, and foster a sense of the school. Through this platform, alumni
can stay connected, exchange insights, and contribute to the ongoing success of the zppsu school of business
administration. Alumni Website has it features like Event calendar, push notifications, photo gallery, job
opportunities, groups, professional profile and messages. The system utilizes targeted marketing strategies to
reach out to alumni, encouraging participation and engagement on the platform. Regular updates and
exclusive content are shared to enhance the visibility and value of the alumni website. The zppsu school of
business administration alumni website serves as a vital platform to reconnect, engage, and foster a sense of
the school among former students. By providing a digital space for alumni to share experiences,
achievements, and opportunities, the website becomes a dynamic hub for networking and ongoing
collaboration. As we delve deeper into its features and benefits, it becomes evident that the alumni website
plays a pivotal role in maintaining lasting connections and supporting the continued success of both the

 Resource Usage monitor and plan for the optimal utilization of server resources such as CPU,
memory, and storage.
 Regular Backups implement regular backup procedures to prevent data loss. Disaster Recovery Plan
have a documented plan for recovering the system in the event of a disaster.
 Scalability the system should be scalable to accommodate an increasing number of users and data
over time.
 Availability the website should be available 24/7 with minimal downtime for maintenance.
 Fault Tolerance the system should continue to operate properly in the event of a hardware or software
failure.
 Data Integrity ensure the accuracy and integrity of data stored on the website.

1.6 Project Constraints


 Time: Alumni systems often have tight deadlines, as they need to be implemented in time for alumni
events or fundraising campaigns. This can put a lot of pressure on the development team, and it can
be difficult to make sure that all of the features are implemented in the time allotted.
 Budget: Alumni systems can be expensive to develop, as they require a lot of custom development
and integration with existing systems. This can be a challenge for smaller organizations or those with
limited resources.
 Data quality the quality of the data in an alumni system is critical, as it is used to contact and engage
alumni. Poor data quality can lead to undelivered emails, lost opportunities, and frustrated alumni.

2.1 School Name


“Zamboanga Peninsula Polytechnic State University”

2.2 School Description


The Zamboanga Peninsula Polytechnic State University (ZPPSU) is a public university in Zamboanga City,
Philippines. It is the largest and most comprehensive university in the Zamboanga Peninsula region, offering
a wide range of undergraduate and graduate programs in various fields, including engineering, technology,
education, business, and the arts and sciences.

2.10 Work Style
 Organization and planning it is to have strong organizational skills to keep track of the alumni
information, events, and communications.
 Attention to Detail alumni data management requires meticulous attention to detail to ensure accurate
record-keeping. Double-checking information, verifying data accuracy, and maintaining up-to-date
records this is important to have a success system.
 Adaptability and Flexibility the systems often require flexibility to handle changing needs and
priorities.
 Collaboration and Teamwork collaborating with colleagues is essential to ensure the smooth
functioning of the system. Being a team player, open to sharing ideas, and working collaboratively
can enhance the overall effectiveness of the system.
 Continuous Improvement adopting a mindset of continuous improvement is important, seeking
feedback, evaluating system performance, and implementing improvements based on the system input
can help create a dynamic and evolving alumni network.

2.11 Roles and Responsibility


 Alumni Coordinator
Serve as the main point of contact for alumni and oversee the overall management of the alumni
system. Maintain a database of alumni information, ensuring accuracy and
confidentiality.
 Data Manager
Manage the database of alumni profiles, including updating contact information, employment details,
and other relevant data. Ensure data accuracy, integrity, and security.
Stay up-to-date with data protection and privacy laws to ensure compliance.
 Communications Specialist create engaging content, such as alumni success stories, event
announcements, and volunteer opportunities. Monitor and respond to alumni inquiries, feedback, and
requests for assistance.
 Event Coordinator organize and manage alumni events. Coordinate logistics, such as venue selection,
budgeting, invitations, registrations, and catering. Collect feedback from attendees to evaluate and
improve future events.

Chapter III
System Methodology

This chapter discusses the methodology in the development of a website for the Zppsu (SBA) alumni
website This includes a detailed discussion of the research method chosen. Also, discuss the detailed process
of developing the methodology of this study. The developer will be utilizing the work plan, analysis
strategies, and requirement documents. In website development, we will use the System Development Life
Cycle (SDLC) method for the development of the system. We will be going to use the Waterfall Model to
explain the feasible website development project for Zppsu (SBA) alumni website

3.1 Requirements
A lot of information about SBA Alumni on our proposed website. This includes the details of their
SBA Alumni, details about their department, service, and transactions. The developing team meets several
times virtually to collaborate and exchange ideas on how will develop the proposed website. In this section,

the developer provided details about the requirements of the website, as well as any security issues
surrounding
access to that website. The team undergo further research and gather information to develop a website that is
effective for SBA Alumni as well as visited a lot of websites to gather some ideas on creating the design that
is conceptual for the proposed system. We Spend time and talked about the said project and give suggestions
on how to make the proposed system. Gathered information and ideas to develop the whole project.

3.2 Design
In this phase, all information and requirements that we obtained were examined and converted into
design and representation. All design involves workflow for the proposed system, after all the needed
information was gathered, our team used a pleasant design and give details of our scope. The perspective
view of our website is shown below

The system settings of an alumni website refer to the configurable options and parameters that control the
behavior and functionality of the website's overall system. These settings are typically managed by
administrators and play a crucial role in tailoring the website to meet the specific needs and preferences of
the alumni community.

3.4 Test
After the previous phase, the testing phase happens. The testing will happen in our company in which
the testing team will be going to examine the proposed website. They will be checking the website and
documentation to determine how far the needs or requirements are met, to find defects, to measure quality
and risk, to establish confidence, and to prevent defects. By ensuring that the system running smoothly and
fix possible issues that will found during testing time of the system.

3.5 Deployment of System


Our team builds and installs the application on the servers which were procured for the web servers.
Our team also co-ordinate with network and IT administrative teams etc. to finally get the system up and
running on the production servers. The developing team plans to install the application in two weeks'
duration because there will be several pieces of training needed for the users to be more familiar with the
functions of the system. The team will get to train the people that are going to use the application. The admin

site can access 3 units of admin. The developing team decided to deploy the website in SBA Alumni after the
training session.

3.6 Maintenance
During the maintenance phase, our team ensures that the application is running smoothly on the
servers without any downtime. Issues that are reported after going live are fixed by the team and tested by the
testing team. There are some issues that come up in the client environment. To fix those issues, patches are
released. Also, to enhance the product some better versions are released. Maintenance is done to deliver these
changes in the customer environment. The maintenance team will be performing the maintenance every
month to ensure that the system is functioning effectively as well as, improve on developing the latest
version.

Entry condition: The admin receives a request or application from an individual claiming to be an alum of the
institution.
Flow of events:
1. The admin reviews the submitted information to determine if the individual meets the criteria to be
included in the Verified Alumni List.
2. The admin adds the individual to the list.
3. The admin may communicate the verification status to the individual and provide access to the
Verified Alumni List if applicable.
Exit condition : The admin completes the verification process and either adds the individual to the Verified
Alumni List or informs them that they do not meet the criteria for inclusion.

Entry condition: The individual must be a verified member of the SBA alumni network, which may require
completion of an SBA program or receiving assistance from the SBA.

website can ensure alignment with its organizational goals and pave the way for future growth and
engagement within the alumni community.

The researcher employed a series of questionnaires to gather information from the intended
respondents. These questionnaires were distributed to members of the SBA alumni community for post-study
usability testing of the SBA Alumni website. The objective was to collect and assess recommendations and

user satisfaction with the SBA Alumni website's usability. It evaluates dimensions such as system usefulness,
information quality, and interface quality, essential for understanding user needs and identifying areas for
improvement. To enhance user experience, suggestions include automating routine tasks and providing
intuitive guidance for complex operations. Addressing these areas ensures the website meets alumni needs
effectively, leading to higher satisfaction levels and improved operational efficiency.

To maximize the benefits of the new information management system, several recommendations are
made Deploy the system in phases to manage risks and allow for iterative improvements, starting with
critical modules such as create event and user management before rolling out CRM,document management,
and analytics modules. Conduct comprehensive training programs for all users to excuse proficiency. And
provide regular refreshing courses to keep staff undated with system upgrades. Establish a food back loop
