SAP‐P6

INTERFACE
TRAINING MANUAL

Page # 1
Purpose
The purpose of the this Manual is to understand of interface between SAP and P6.

Prerequisites
1. Project Structure & Work Breakdown structure.
2. Operative indicator (Planning element & account assignment) check.
3. Networks on desired level of WBS
4. Create the project in P6 with Same project number and definition
5. Create Activity Code of PSNetwork

Procedure:
1. Project Structure (WBS & Networks) in SAP (Cj20n)
2. Create the Project in P6 with same Project ID, name & Start Date
3. Send WBS to P6 (zp6)
4. Create Activities, assign activity codes, resources and relationships in P6
5. Get Activities in SAP (zp6)

Step‐1
 Project Structure (WBS & Networks) in SAP (Cj20n) as shown below (already Done in Previous
Exercise)

Step‐2
 Go to P6 and create the project

 Create the project with same Project ID and Number as in SAP

 Start Date must be same as in SAP Project

 Go to enterprise tab and Enter the Activity codes of the project

 It is mandatory to Add an activity Code ‘PSNetwork’ with Max Length ‘11’

Note:
 Before sending the WBS in P6, open SAP and Run the T‐Code ‘cj20n’ to see all the networks and
WBS Which have to be send in P6

Step-3
 In SAP, Run the T‐Code ‘ZP6’
 Enter Project Definition
 Select ‘’Send WBS’’ and ‘’Simulation’’
 Click On ‘’Execute’’

 After clicking Execute, It will show the WBS Hierarchy which will be sent to P6

 Now Press Back Key
 Uncheck Simulation
 Press Execute

 After clicking Execute , If there is no Error it will show message ‘’Successfully Updated’’

Step-4
 Open the project in P6 and refresh it

 Now It will show all the WBS

 In Activity codes Cross Check the all PSNetworks that have been imported from SAP

 Before inserting activities , Go to ‘Projects’ Tab and select ‘Defaults’ Tab


 Select Activity Complete Type as ‘Units’

 Now Create Activity Codes of DISP, ZONE, AREA, UOM and CCTR
 Create Activities
 Assign Relationship
 Assign Resources (Budgeted Labor Units=MHS, Budgeted Non‐Labor Units=Machine Hours,
Budgeted Material Units=Quantity)

Previous Trend Man‐hours Quantity ‐

 Assign Activity Codes


 Schedule (F9) and Close the Project

Important Note:

i) Calendar in P6 and SAP Should be Same


ii) In P6 Select Percentage Completion Type as Unit
iii) All the Code Values of Activity Codes should be in Capital Letters e.g. DISP, Z1A1 etc.
iv) In Activity Codes UOM should be same as defined in SAP
v) Assign UOM to each activity whose Quantity has to be import in SAP
vi) Assign Network to those activities which we want to import in SAP
vii) In P6 Select the Project and Uncheck Recalculate Actual Units and Cost as shown below
viii) The Resource of Material (Quantity) will be assigned to WBS of Indirect Like Site Facilities, Salaries
and Benefits etc against which we plan the cost

 After inserting activities, & assigning activity codes ,following Gantt Chart will be displayed

 Please see how the resources are assigned

 Select Activity and Enter the Resource Units by going in Resource Tab

 We can see the cumulative Man‐hours, Machine‐hours and Material Units in P6 by showing the
columns and later on can be compared with the SAP (CN47N)

Step-7

 In SAP, Run the T‐Code ZP6


 Select ‘’Get Activities’’
 Click on ‘’Simulation ‘’
 Then ‘’Execute’’

 After clicking Execute, following window will appear


 It will show all the activities to be received in SAP

 Now Press Back Key
 Uncheck Simulation
 Execute
 Following message will be appeared on successful receiving of activities in SAP

Step-8
 Select Get POC plan
 Select Simulation
 Then Execute

 After Clicking Execute Following window will appear


 It will show POC Plan of the activities (POC Means Man‐hours)

 Now Press Back Key
 Uncheck Simulation
 Execute
 It will show the Successful message as given below

Step-9

 To Check the Imported Man‐hours & Quantities, Check the Report in SAP (CN47N)

 The other way to check the imported Quantities, go to project builder (cj20n)
 Open the project
 Select Activity
 Select user Field Tab (Here you can see all the imported Quantities against each activity)

Scheduling in SAP
The purpose of Scheduling in SAP to roll up the dates from Activities to WBS Level

 Don’t forget to Schedule in the SAP after getting activities from P6


 Select the First Level of WBS
 Edit → Dates → Schedule (CTRL+F9)

 Go to Edit Tab → Dates → Schedule (CTRL+F9)

Assigning Work Centers to Activities & Activity Element
Work Centers are required for the booking of Actual Man-hours & Machine Hours.
(Work Centers will be different for different Projects)

Method‐ 1:
 Select each Activity and Assign Work Center of labor

Method-2:
Assigning of Work Centers through Mass Change:
We can assign Work Centers on Activities and Activity Elements through mass change:
a) Assigning Labor Work Center on Activities
 Select First Level of WBS

 Select Work Center from List

 Select Work Center of Labor of that Project
 Enter Execute

 Following Log will be appeared which shows successful assigning of Work Centers on each
activity

a) Assigning of Work Centers on Activity Elements through mass Change:
 Select First Level of WBS
 Click “Mass Change”
 Select “Activity Elements” tab

 Select “Work Center” from the list
 Select the “Work Center of Equipment” for that Project
 Click “Execute”

 Following Log will be appeared which shows successful assigning of Work Centers on each
activity Elements

WPP FILE from P6

After importing the activities in SAP, the next step is to upload the Work Progress Plan (WPP)
file in SAP

Step-1

 Enter T‐Code ‘ZWPP’


 Make an Excel File with columns as given in instructions

 Now Open P6
Use the following Path to set the decimal places
 Edit Tab User Preferences Time Units Tab Select Decimal Places ‘2’

 Go to User Preferences

 Go to Projects Tab and Click on Resource Assignments

and Click Open

 Select and Open Activity Resource Assignment‐P6 WPP Updated_1 as layout (if not available
this layout, create according to WPP upload file contents)
 Following layout will open as given below
 Enter ‘D’ in Daily Column
 Enter Version ‘BL0’ in Version column

 Now Again Go to Resource Assignments
 Simply select all & Copy the distributed Quantities ( CTRL+A & CTRL+C)
 Paste in Excel Worksheet (CTRL+P)
 Now Set the Date format in excel file as given in instructions of ‘ZWPP’ (dd/mm/yyyy)
 In the Version Field Column, First upload with BL0 and then with CUR
 Change the Name of ‘At Completion Unit’ to ‘Total Plan’
 Remove the column of ‘Spreadsheet Field’
 Format for WPP upload from excel file is given below

 Now Upload the WPP upload file simply by using Transaction code ‘ZWPP’
 Enter Project Definition
 Enter Project Version as ‘BL0’
 Select Period as ‘D’
 Select Distribution Units as ‘Quantity’
 Enter the Project Start Off Date (For the First time Enter the Project Start Date)

 After Clicking on yes, below window will appear, that Report has been successfully uploaded

 After Clicking on Back, below successful message will appear

 Similarly Again Upload the Plan with Version ‘CUR’

 Enter Project Definition
 Enter Project Version as ‘CUR’
 Select Period as ‘D’
 Select Distribution Units as ‘Quantity’
 Enter the Project Start Off Date (For the First time Enter the Project Start Date)
