What is a Project?

A project is basically a set of objectives determined by the client, that is


to be achieved within a particular frame of duration. These objectives can be
achieved by
performing sequence of tasks in the given timeline by multiple people in multiple
teams. These tasks might not be well defined in the starting of the project and
gets
established once the project is in progress. The objectives are not fixed at the
beginning and might be further elaborated or changed
during the on-going of the project. Since there might be Objective changes during
the ongoing of the process, the project end time cannot be determined at the
beginning, leading the project long term in the future.

Example: Organizing an event, constructing a building - Each of these projects


contains multiple activities to be done by multiple people
to create a unique product or a service as its outcome.

What is a process?

A Process is a series of steps and decisions that are followed which


determines the way in which the work is completed.
The goal of understanding and improving processes is to enhance performance and
ensure that business objectives are met effectively.
And the process plays a main role in enhancing the performance because it is a
repetitive sequence of tasks. Since it is repetitive, these tasks are known at the
onset.

Example: Send Invitation, Arrange catering, Plan decoration - All of these


processes are involved to ensure the completion of the objective- which is
Organizing an event.
Software Development process- such a process might be used across variety of
projects thus emphasizing that it might contain repetitive sequence of tasks.

What is project management?

Project management typically involves in application of knowledge, skills, tools


and technique involved in project activities to meet the requirements/objectives of
the project.
It is the process of planning, organizing, and overseeing multiple resources from
multiple teams in order to achieve the desired goals within a defined timeline. And
every project
follows a certain kind of methodologies to work among themselves to achieve those
end result.

The project management depends upon 2 pillars which are


Project Activities
Knowledge, skills, tools and techniques.

A mix of both pillar is required to complete a project in an effective manner.


Effective project management is critical for ensuring that projects are completed
efficiently and successfully, meeting the expectations of stakeholders
and achieving the desired outcomes.
Different Stages of Project Life cycle:

Project Life cycle can broadly divided into three phases which are

Pre-Project Phase
Project Phase
Post Project phase

All the stages of project life cycle comes under these phases.

Project Initiation
Project Planning
Project Execution
Project Monitoring and Control
Project Closure

Project Initiation: This is Pre-Project Phase.

It is basically defining the project’s purpose, scope, and objectives. This phase
often includes feasibility studies and Business case documents.
Business case document is a formal proposal that outlines the justification
for a project and it includes an estimate of potential financial benefit. It is
done by BA.
A feasibility study is an analysis conducted to determine the viability of a
project, to see whether committing to the project is worthwhile in terms of
timeline,
cost and resources involved. This is to be done by Project manager.

Project Planning: This is Pre-Project Phase. BA is generally not included in this


process. Generally in Project planning, what the project will deliver will be
communicated to all the teams involved and preparing them for the obstacles they
might face over the course of the project and make them understand the cost, scope
and
timeframe of the project. The project manager comes up with a strategy to handle of
these and they might decide the size of the team involved and financial cost.

Project Execution: This is Project phase. Actual activity of the project takes
place in this phase. A well executable project depends upon the strategical plan
developed in project planning. Total requirement gathering will takes place,
development of those requirements, testing of the requirements and Quality assured
Delivery will be done here.

Project monitoring and control: This is also a Project phase. It is often combined
with project execution because they happen at the same time. Monitoring and Control
involves in monitoring their own progress once the project plan comes in motion.
This helps in addressing the problem that might arise during the progress and
resolve it as soon as possible.
It also helps to track any deviation from the plan in terms of cost and time frame
calculating Key Performance Indicator. It is crucial to make sure that the project
moves smoothly.

Project Closure: This is in a Post Project Phase. It includes formally delivering


the completed project to the client and releasing the resources to other projects,
documenting all that happened during the project, mistakes and solutions as lessons
learned to avoid them happening again in another project.
Here BA provides two documents. One is AID (Application Information Document). This
is basically a user manual for the client, describing the functionalities of all
the features created in the project and handing it over. This makes it easy for the
client to understand and access the application. This document is mandatory.
second is Project Retrospective Document. This one is optional and it is provided
when the Project manager or delivery manager requests for it. It basically contains
details about how the project is conducted, problems faced and the solutions
provided for those problems, how the timeline is managed , information from start
to end of the project. It is basically a learning from the project.
