Chapter 1: Introduction
1.1 Introduction
This report provides an overview of my internship, where I focused on developing and enhanc-
ing my skills in the field of data entry. During the internship, I gained valuable technical exper-
tise, particularly in using tools and technologies like Excel, My SQL and Microsoft office Access
(MS Access) to data entry and visualize data effectively. My learning journey involved master-
ing key functionalities, such as Excel's PivotTables and formulas for data manipulation, MY
SQL for querying and managing databases, and MS access for creating table, form and report.
The internship was a transformative experience that not only strengthened my technical founda-
tion but also deepened my understanding of the value of data-driven decision-making. It has pre-
pared me to address challenges in diverse domains, making me more confident in my ability to
contribute meaningfully to future entries projects.
During my internship at Butwal Sub-Metropolitan City, several key challenges were identified
that guided the projects I undertook. These issues primarily focused on improving data manage-
ment practices, enabling data-driven decision-making, and enhancing operational efficiency
within the municipality. I identified the following key challenges:
Inconsistent Data Management: Lack of standardized methods for collecting, entering, and
managing data, leading to errors and inefficiencies.
Data Overload: Large volumes of data from multiple departments make manual handling
challenging and prone to delays.
Limited Digitization: Many processes still rely on paper-based records, creating redun-
dancy and difficulty in accessing information quickly.
Human Errors: Data entry errors due to manual processes affect the accuracy and reliabil-
ity of records.
Time Constraints: Limited time and resources to input, validate, and maintain data for
timely reporting and decision-making.
Inadequate Training: Staff and interns may lack sufficient training in using modern data
entry tools and techniques.
Data Security Risks: Insufficient safeguards to ensure the confidentiality and security of
sensitive information during data handling.
Lack of Real-Time Updates: Absence of systems that provide real-time data updates for
immediate access and informed decision-making.
These challenges highlight the need for improved systems and practices to enhance the effi-
ciency and reliability of data management at the Butwal Sub-Metropolitan office.
1.3 Objectives
The most important objective of an internship is to make students familiar with the real working
environment. By doing an internship, we get all of the personal and cultural perks while
simultaneously reaping the professional benefits. The objectives of the internship program are as
follows:
Data Accuracy: Ensure accurate and error-free entry of data into the system to maintain the
integrity of official records.
System Familiarization: Gain hands-on experience with the data management tools and soft-
ware used by the Sub-Metropolitan office.
Support Administrative Functions: Assist in organizing, updating, and managing datasets
crucial for efficient office operations.
Data Verification: Cross-check and verify the accuracy of existing records to ensure
consistency and completeness.
During my 10-week internship at Butwal Sub-Metropolitan City, I worked on data entry projects
that focused on improving resource allocation, service performance, and decision-making
through data visualization and management.
Scope
Data Collection and Entry: Involvement in digitizing municipal records, updating data-
bases, and ensuring accurate data input.
Software Utilization: Use of specific tools or platforms (e.g., Microsoft Excel, Google
Sheets, or proprietary software) for data management.
Team Collaboration: Coordination with municipal staff to gather necessary information and
clarify data-related queries.
Reporting: Preparing summaries or reports on data trends and discrepancies as part of daily
or weekly tasks.
Limitations
Access Restrictions: Limited access to sensitive or confidential municipal data due to secu-
rity policies.
Resource Constraints: Dependence on the availability of tools, systems, or supervisors for
task completion.
Data Quality Issues: Challenges in ensuring the accuracy of outdated or incomplete data
provided for entry.
Time Constraints: Fixed internship duration may limit the scope of contribution and experi-
ence.

gic partnerships and collaborations with local, national, and international organizations. These al-
liances enable the city to adopt best practices in governance, urban planning, and public service,
while also facilitating innovation in civic administration.
Choosing Butwal Sub-Metropolitan City for my internship provided me with the opportunity to

and public service. The city's commitment to sustainable urban planning, transparency, and effi-
cient service delivery offered an ideal setting to apply my data analysis skills and gain practical
experience. Additionally, the involvement of Butwal Sub-Metropolitan City in various commu-
nity-centric projects allowed me to contribute to initiatives that have a direct impact on local

ficient project management, ultimately working towards improving the quality of life in Butwal.
Butwal Sub-Metropolitan City operates across several key domains to serve the community and
ensure sustainable development. The primary working domains of the city include:
ERP Field
Development of Customer Relationship Management (CRM) systems to improve daily opera-
tions and support multiple users across departments.
CRM Field
Creation of adaptable CRM systems to streamline public service management and improve citi-
zen interaction with the city.
I worked in the Data Internship Department at Butwal Sub-Metropolitan City under the mentor-
ship of Mr. Roshan Kumar Regmi. The department consisted of several interns who collaborated
on various data entry projects for the city. In the first half of the internship, we focused on devel-
oping key data entry skills such as data cleaning, statistical analysis, data visualization, and
working with tools like Excel, MY SQL, and MS Access. In the second half, we applied these
skills to real-world municipal projects, providing valuable insights and visualizations for the
city's decision-making processes. This hands-on experience allowed us to combine theoretical
knowledge with practical application, preparing us for future careers in data entry.
An internship is a temporary opportunity that provides hands-on training and skill development
in a particular field or career path. Internships may be paid or unpaid and can vary in duration
and hours. What sets an internship apart from a regular job or volunteer work is the purposeful
"learning agenda" that guides the intern's experience. Engaging in an internship can be a valuable
way to gain career-related experience during your studies or after graduation (THEOGENE,
2012)
A database stores data on different types of objects (inventory), events (transactions), individuals
(employees), and locations (warehouses). A data warehouse, on the other hand, is a specialized
database used for reporting and data analysis. It serves as a centralized data repository created by
combining data from multiple sources. Data warehouses store both current and historical data,
and they are commonly used for generating trend reports for senior management, such as
comparisons on a quarterly or annual basis (Maria, p. 2012).
Chapter 3: Internship Activities
During my 10-week internship as a Data entry at Butwal Sub-Metropolitan City, I was involved
in various tasks and responsibilities that supported data-driven decision-making for the city's op-
erations. My key roles and responsibilities included:
Gather data from paper documents, digital files, or other sources provided by the municipal-
ity.
Organize physical and digital files for easy access and secure storage.
4. Database Maintenance:
Perform routine checks to ensure the integrity and completeness of the database.
5. Report Preparation
These roles and responsibilities allowed me to develop a strong foundation in data entry, enhance
my technical skills, and understand the practical applications of data in municipal governance.
Through this internship, I gained valuable experience in handling real-world data challenges and
providing actionable insights that support decision-making in Butwal Sub-Metropolitan City.
