● POLICE BLOTTER - A police blotter report's main objective is to document an incident

or complaints. It is a preliminary procedure to guarantee that the incident has an official


record, not a formal complaint in and of itself. If formal legal action is eventually taken,
this record may be used as evidence. Also, a police blotter report is a formal document
that details all of the circumstances, timeline, and facts of an event surrounding an often
illegal incident. Usually, it is used by the police department, the victim of the crime, and
the court personnel. The report is always written by the responding officer and then
turned into the department for review.

● SPOT REPORT - A spot report is a concise, factual account of an incident or event,


typically created by law enforcement officers or other first responders immediately after
they arrive at the scene. It serves as a preliminary record of the situation, capturing key
details and observations to be used in further investigation.

Example:

● A spot report for a car accident might include the following information:
● Date and Time: March 8, 2025, 10:30 AM
● Location: Intersection of Main Street and Oak Avenue
● Vehicles Involved: A red sedan and a blue pickup truck
● Injuries: Minor injuries to the driver of the sedan
● Evidence: broken glass, skid marks, and a damaged stop sign
● Actions Taken: Officers secured the scene, provided medical aid, and contacted
the insurance companies.

● A spot report is a crucial document in the investigation process, capturing vital


information and observations to guide further inquiry and ensure that the incident is
documented accurately. Spot reports are formal records of incidents, capturing details,

investigations, legal proceedings, and administrative tasks.

● FINAL REPORT - A final report typically refers to the completed and conclusive report
that summarizes the findings of an investigation.

○ - Background/Brief facts of the case: The names of the parties involved in the
case.
○ - Sequence of Events: In criminal cases, the sequence of events can include
actions such as arrest, arraignment, preliminary hearings, and trial.
Understanding this sequence is crucial for both the prosecution and defense in
preparing their procedure.
○ - Recommendation/Conclusion: To guide future actions or decisions, reflecting
the consensus or findings of the discussion. They typically include specific
suggestions, such as courses of action, policy changes, or strategies for
implementation.
○ - Disposition/Findings - The court's final decision, which can include outcomes
such as dismissal, judgment for the plaintiff, or summary judgment.
