Position Title Office Assistant/Computer Operator/PA

Reporting To Relevant HOD

POSITION DESCRIPTION
Undertake various administrative and clerical tasks to support the office like filing and answering
the phone to basic book-keeping and familiarity with office equipment and procedures.

REQUIRED JOB SPECIFICATIONS


Required Qualification Bachelor’s degree
Required Experience Some relevant experience

REQUIRED JOB COMPETENCIES (Technical and Soft Skills)


 Working knowledge of office devices and processes
 A fast typist with knowledge in stenography and taking dictations
 Very good knowledge of MS Office
 Excellent communication skills
 Very good organizational and multi-tasking abilities

DUTIES AND RESPONSIBILITIES % Effort

General Office Administration 60%


 Monitor level of supplies and handle shortages
 Resolve office-related malfunctions and respond to requests or issues
 Maintain files and records so they remain updated and easily accessible
 Utilize office appliances such as photocopier, printers etc. and computers for word processing,
spreadsheet creation etc.
 Perform receptionist duties when needed
 Maintain an updated contact lists including address and cell numbers of all relevant offices and
individuals.
Scheduling & Coordination 30%
 Scheduling HOD’s meetings and appointments, creating agendas and ensuring the minutes are
recorded and circulated according to established protocols
 Assisting in organizing Board of studies meeting and ensuring documentation and
recordkeeping of all information
 Liaising and coordinating across different departments to complete tasks.
 Organize office and assist associates in ways that optimize procedures
 Sort and distribute communications in a timely manner
 Maintain trusting relationships with students, colleagues and guests.
 Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
 Assist in making travel arrangements and booking venues for conferences and events
Any Other 10%
