DATA RECORDING AND PROCESSING

Prepared by Reuben P. Mugusi

ATC- MECHANICAL ENGINEERING

DATA RECORDING AND PROCESSING

 Data recording includes utility, fuel, and water

bills, as well as monthly production data.

 Provides the following baseline data:

• Annual normalized energy use and cost
• Monthly fluctuations in energy and cost
intensities per unit of production
• Presence of seasonal usage variation
• Average unit cost of each fuel used
• Gross energy performance between base and
current years and
• Cost and energy use trends over the years
Mechanical Eng.
COLLECTING UTILITY AND FUEL DATA
 To understand how energy and fuel are being used in
a facility—and to find opportunities for improving
efficiency.

 It’s essential to start by gathering relevant historical

data.

 This step forms the foundation for any energy

analysis or audit.

 To evaluate trends, identify inefficiencies, and

establish a baseline for improvements.

COLLECTING UTILITY AND FUEL DATA

Key Data to Collect

• Monthly Consumption Records:

• This includes:

• Utility bills (electricity, gas, etc.)

• Fuel bills (such as diesel, coal, LPG, etc.)

• Water bills (for processes involving water or

cooling)
• Monthly Production Data:

• Energy consumption should be evaluated in relation

to production output. For example, increased
energy use might be acceptable if production also
increased significantly.
Mechanical Eng.
ENERGY DATA PROCESSING
 Organizing and analyzing energy consumption
information to identify usage patterns and
improve efficiency.
 It includes preparing
 Monthly Energy Data Sheets, where daily
records of electricity, fuel (liquid and solid), and
water consumption are maintained.
 These monthly records are then compiled into a
Yearly Energy Data Sheet by summing the
monthly data to obtain the total annual energy
usage,
 Helping track trends and support energy
management decisions.

ENERGY DATA SHEET ENTRIES

 Energy Data Sheet is used to record and analyze

energy use in a simple and organized way.

 It includes the following:

• A = Production Units: The number of items or

products made during the month.

• B = Electricity Usage: The total electricity

used, taken from the utility bill, measured in
kilowatt-hours (kWh).

Mechanical Eng.
ENERGY DATA SHEET ENTRIES

C = Energy in GigaJoules (GJ): Electricity is

converted to a standard energy unit (GJ) using
the formula:

C = B × 0.0036.

This helps compare different types of energy

more easily.

D = Cost of Energy: The total amount paid for

electricity, also taken from the utility bill.

Mechanical Eng.
ENERGY DATA SHEET ENTRIES

 E = Demand (kVA): The peak power demand

recorded on the utility bill, measured in kilovolt-
amperes (kVA).

 F = Cost of Demand: Calculated by multiplying

the demand (E) by the cost per kVA:

 F = E × Cost per kVA

 G = Total Cost of Electricity: The full electricity

cost, including usage, demand, fixed charges,
and taxes:

ENERGY DATA SHEET ENTRIES

 H = Fuel Quantity: The amount of fuel used

(e.g., in litres or kilograms).

 I = Fuel Energy in GJ: Fuel amounts are

converted into gigajoules (GJ) using standard
conversion factors provided in the spreadsheet.

 J = Cost of Fuels: The amount paid for fuels

(like diesel, LPG, coal).

Mechanical Eng.
ENERGY DATA SHEET ENTRIES

• K = Quantity of Fuels: The measured amount of

each type of fuel used (in litres, kg, etc.).

• L = Fuel Energy in GJ: Converts the fuel

quantity into energy using standard conversion
factors (e.g., litres of diesel to GJ).

• M = Cost of Fuels: Similar to J, this is the total

cost of fuel—may be repeated or separated for
multiple fuel types.

Mechanical Eng.
ENERGY DATA SHEET ENTRIES

 N = Total Energy in GJ: The overall energy

consumption from all sources (electricity and
fuels), calculated by:
N=C+I+L
where:

• C is energy from electricity,

• I and L are energy from different fuel types.

 This final value (N) gives the complete energy

picture for a given period.
Mechanical Eng.
ENERGY DATA SHEET ENTRIES

O = Total Energy Cost: This is the overall cost of all

energy sources (electricity and fuels) for the period,
calculated by:

O=G+J+M
where:

G is the total electricity cost,

J and M are fuel costs.

Mechanical Eng.
ENERGY DATA SHEET ENTRIES

 P = Energy Intensity (in GJ per unit): This

shows how much energy is used to produce one
unit of output. It’s calculated using:

 P=N/A

Where:

N is total energy in GJ,

A is total production units.

Mechanical Eng.
ENERGY DATA SHEET ENTRIES

Q = Energy Intensity in Currency: This indicates

the cost of energy per unit of production. It helps
understand how much money is spent on energy for
each product made.

Formula: Q=O/A

Where: O is total energy cost and A is production

output.

These final entries help evaluate energy performance

and identify cost-saving opportunities.
Mechanical Eng.
ENERGY DATA ANALYSIS

 In Energy Data Analysis, the key goal is to

assess how efficiently energy is used in relation
to production.

 Two important performance indicators are found

in the last two columns of the Yearly Energy
Data Sheet:

Mechanical Eng.
ENERGY DATA ANALYSIS
 Energy Intensity (GJ/unit):
• This shows the amount of energy used to produce one unit
of product.
• A lower value indicates better energy efficiency.
• It helps compare performance over time or between different
processes or facilities.

 Cost Intensity (Currency/unit):

• This reflects the cost of energy per unit of production.
• It combines both electricity and fuel costs to show how much
is spent on energy for each product made.
• These indicators help identify trends, set energy-saving
goals, and measure improvements.
