Introduction
This system is designed in the favor of the Hostel Management, which helps them to
save the records of the students about their rooms and other things. It helps them from
the manual work from which it is very difficult to find the record of the students and
the mess bills of the students, and the information about those students who left the
hostel some years before. It also helps them to retrieve the staff details. Thus, in order
to ease the process, we need to develop software which can handle all the
aforementioned problems. To replace the existing system which is much more time
consuming, we are developing a software which is user-friendly and its functionality
is very good compared to the existing one.
Motivation
Our group decided to choose topic hostel management system. Because All these
hostels at present are managed manually by the hostel office. The Registration form
verification to the different data processing are done manually. Thus there are a lot of
repetitions which can be easily avoided. And hence there is a lot of strum on the
person who are running the hostel and software's are not usually used in this context.
This particular project deals with the problems on managing a hostel and avoids the
problems which occur when carried manually therefore, the main advantage of
system is student can allot/select room with his/her choice.
Problem Statement.
The Hostel Management System is developed for automating the activities of hostel.
The software will be great relief to the employees. This software will help user in case
of reporting, registration and searching the information about residents and rooms.
The aim of the Hostel Management System is to carry out the activities of Hostel in an
efficient way. It will take the operations of Hostel to an upper level by providing faster
access to data and allowing addition, upgradation, modification, and deletion of data
in a very systematic and reliable manner.
Methodology
Project management approach:
Software Process Model:
To solve an actual problems in an industry, software developer or a team of

developers must integrate with a development strategy that include the process,
methods and tools layer and generic phases. This strategy is often referred to a
process model or a software developing paradigm. Our project follows the waterfall
model.
The steps of waterfall model are:
 Requirement Definition
 System and Software Design
 Implementation
 Integration and System Testing
 Operation and Maintenance
Waterfall Model:
Rrequirements :
This section gives a requirement that applicable to the HMS
Administrator module:
The Administrator can:
1. Allot different students to the different hostels.
2.Vacate the students for the hostels
3. Control the status of the fee payment.
4. Edit the details of the students & modify the student records.
5. As the student’s course is over they will vacate their rooms. So administrator can
remove their records from the database tables. This section includes the option for
the room vacation and the deletion of the particular record from the database.
User Module:
1. It allows the different users to access the registration forms.
2. He can view the Student administration division of the different hostels and
also book the room by their choice.
Performance Requirements:
Some Performance requirements identified is listed below:
1.The database shall be able to accommodate a thousand record to store.
2.The software shall support use of multiple users at a time.
Design / Analysis:
In design phase we used output of requirement gathering phase i.e. requirement

specification document as an input. Based on requirement specification software design
is prepared. Means how will looks like. We have included data flow diagram.
Development:
Development refers to a set of computer science activities dedicated to the process of

creating, designing, deploying and supporting software.
In development phase actual coding is done and by using programming languages
website/software is developed..
Front end:
HTML, CSS, JavaScript
Back end:
MySQL, PHP.
By using these technologies we have developed HSM
Testing:
Software testing can be stated as the process of verifying and

validating whether a software or application is bug-free, meets the
technical requirements as guided by its design and development.
Deployment:
The process of making website available to be used on a system by users

and other programs.
Why we used Waterfall model:

Here we used waterfall model because requirements are very well known, clear and
fixed. Product definition is stable. Technology is understood. The project is short

Software Configuration:
1. OS: Windows XP
2. XAMPP (PHP, MySQL, Apache, and PHPMyAdmin)
XAMPP is simply a local host or server. This local server runs on your personal
computer, whether it’s a desktop or a laptop. It is used to test clients or websites before
publishing them to a remote web server. On a local computer, the XAMPP server
software provides a suitable environment for testing MYSQL, PHP, Apache, and Perl
projects.
Hardware Configuration:
1. Pentium IV Processor
2. 512 MB RAM
3. 40GB HDD4. 1024 * 768 Resolution Color Monitor
These are minimum requirements

Advantages/Disadvantages
Advantages:
 The system takes the details of reservations

 It allocates rooms to students
 It stores all the information on a database
 All the data are held on your computer, it does not involve the Internet.
Disadvantages:
 Difficult to handle the data.

 Fast speed network connection is required.
Limitations and future scope
Limitations:
If our room is four seater then we can allot only three students in that room when we
try to add four students our room it shows error.
Future scope:
In future we can add features in our system like maintenance facility for repair of
Electrical /Plumbing other maintenance,
Provision of vehicle for medical emergency,
Cleaning and hygiene maintenance services for Rooms.

Conclusion
To conclude the description about the project:
This hostel management software is designed for people who want to manage various
active- ties in the hostel
there is a lot of strain on the person who are running the hostel and software's are not
usually used in this context. This particular project deals with the problems on
managing a hostel and avoids the problems which occur when carried manually.
