HOW TO COPY FORMULAS

HOW TO COPY FORMULAS

A formula in excel can always be copied from one call to


another. This helps to reduce the repetition of formulas
of the same format in different cells. This means users
do not have to recreate the same formula if they want to
perform the same operations over several sets of data.
There are two (2) main ways of
copying formulas. These are

1. Copy and paste method


2. Auto-fill method using fill handle pointer.
HOW TO COPY AND PASTE
FORMULA
1. Select the cell containing the formula you want to copy
2. Press Ctrl + C or right on click on the selected cell to
display a menu and select copy from the menu.
3. Select the cell you want to insert the formula and press
ctrl + V or right click on it and select formula from the
paste option on the menu.

AUTO-FILL USING THE FILL
HANDLE POINTER
1. Enter a formula in a preferred cell

2. Select the cell with the formula, and hover the mouse
cursor over at the lower right-hand corner of the cell to
display the Fill handle pointer.

3. Drag to the desired cell to apply a formula to the
target cells
NOTE: Copying of formula is very useful when applied
in rows and columns.
1. Open excel and enter the information shown in cells A2
through to B7

2. Insert a formula in cell C3 to calculate the profit. i.e. =B3-
A3 and press ENTER key from the keyboard to return the
answer as shown above.
3. Use the fill handle to copy and paste the formula in cell
C3 to cells C4, C5, C6 and C7 respectively.
CELL REFERENCE

Cell reference refers to a cell or range of cells that can be


used in a formula. For example, considering the formula
=A1+B2, A1 and B2 are cell references in the formula.

There are three (3) main types of cell reference. These are;
1. Relative cell reference
2. Absolute cell reference
3. Mixed cell reference
RELATIVE REFERENCES

A relative cell reference is the type of reference that


changes when copied from one cell to another. For example,
if you copy the formula =C1+D1 from row 1 to row 2, row 3,
the formula will become =C2+D2, C3+D3, C4+D4

NOTE: Relative references are especially convenient


whenever you need to repeat the same calculation across
multiple rows or columns.
HOW TO COPY RELATIVE
REFERENCE IN A FORMULA
Follow the steps below to copy relative reference in a formula
to other cells;

1. Select the cell that will contain the formula. In our


example, we’ll select cell C4 as shown below

2.Enter the following to calculate the desired value. For
example, =A4*B4

3. Press Enter on your keyboard. The formula will be
calculated and the result will be displayed in the cell.
4. Locate the fill handle in the lower-right corner of the
desired cell. In our example, we’ll locate the fill handle
for cell C4.
5. Click, hold and drag the fill handle over the cells you wish
to fill.
6. Release the mouse. The formula will be copied to the
selected cells with relative references and the value will
be calculated in each cell.

Note: You can double-click when the fill handle pointer appears
to automatically copy and paste the formula to the desired cells.
ABSOLUTE REFERENCES

• An absolute reference is the type of reference that is


“locked” so that rows and columns won’t change when
copied or filled. An absolute reference refers to an actual
fixed location on a worksheet.
• There may be times when you do not want a cell reference to
change when filling cells. You can use an absolute reference
to keep a row and or column constant.
• An absolute reference is designated in a formula by the
addition of a dollar ($) before the column and row.
For example, $A$1 indicate absolute reference. Thus,
both the column and row are fixed and cannot change
when copied or filled in other cells.
MIXED REFERENCE

Mixed reference combines both relative reference and


absolute reference. For example, $A1 locks column A and row
1 change when copied or filled to other rows.

$B$3 The column and the row do not change when copied
B$2 The row does not change when copied
$B3 The column does not change when copied
