FALL 2024 FINAL GRADE SUBMISSION

Timeline 

  • December 23, 2024 (by 3:00 p.m. CST):

    • Grades are due in either Workday or Canvas 

  • December 24, 2024 (at 3:00 a.m. CST):

    • Grades post to student academic records in Workday 

  • December 24, 2024 (by 12:00 p.m. CST):

    • Instructors can change submitted grades, or they can submit grades that were left blank/not submitted. 

      • Note. These grade submissions, including blank/non submitted grades, will route within Workday via a business process for approval (e.g., to the Department Chair) before they post to student academic records in Workday

Timeline 

  • Friday, December 27, 2024 (by 12:00 p.m. CST): 

    • The Academic Standing job is run; it will calculate (but not post) academic standing.

    • Our college partners are notified they can begin reviewing the Academic Standing by Academic Period - College Review report. 

  • Monday, December 30, 2024 (end of day): 

    • Deadline for our college partners return their academic standing determinations to the Office of the Registrar for processing. 

  • Thursday, January 2, 2025 (by 12:00 p.m. CST): 

    • Academic standing will be posted to student’s academic records. 

    • We will drop student registrations from the academic records of students who have been Academically Dismissed, and inactivate their academic record. 

    • We will apply Academic Warning, Academic Probation, and Academic Dismissal holds. 

    • We will send an e-mail to all students to check their Academic Standing Worklet on the Academics Dashboard in Workday. 

    • The Navigate team will send a text message to undergraduate students via Navigate with a “Call to Action” to check their Academic Standing Worklet on the Academics Dashboard in Workday. 

  • Tuesday, January 7, 2025 (morning): 

    • Reevaluate academic standing for potential changes due to late grade submissions and/or grade changes; 

    • Our college partners are notified they can begin reviewing the Academic Standing by Academic Period - College Review report, and they have through the end of the day to provide updates to the Office of the Registrar for processing. 

  • Wednesday, January 8, 2025 (end of day): 

    • We will update student’s academic standing based upon determinations from the colleges. 

    • We will send an e-mail to students who had their academic standing changed telling them to check their Academic Standing Worklet on the Academics Dashboard in Workday. 

  • Friday, January 17, 2025 (by end of day): 

    • Reevaluate academic standing for potential changes due to late grade submissions and/or grade changes; only adjust/override a student’s academic standing if it would result in a better standing for the student (e.g., Going from Academic Warning to Good Standing), but do not override their standing if it would result in a worse standing (e.g., Going from Academic Warning to Academic Probation). 

    • We will send an e-mail to students who had their academic standing changed telling them to check their Academic Standing Worklet on the Academics Dashboard in Workday. 

  • Monday, February 3, 2025 (Census Day) (by end of day): 

    • Reevaluate academic standing for potential changes due to late grade submissions and/or grade changes; only adjust/override a student’s academic standing if it would result in a better standing for the student (e.g., Going from Academic Warning to Good Standing), but do not override their standing if it would result in a worse standing (e.g., Going from Academic Warning to Academic Probation). 

    • We will send an e-mail to students who had their academic standing changed telling them to check their Academic Standing Worklet on the Academics Dashboard in Workday. 


STUDENTS TO DROP FOR PREREQUISITE FAILURE 

This is a process whereby the institution drops students from upcoming courses for failure to meet the prerequisites for the course based upon final grades for the prior semester. Please note, if a student was registered for a course via a prerequisite overrides, those overrides would remain in place, and they would not return on the report for review and determination by college partners.

Timeline 

  • December 27, 2024 (morning): 

    • Run the Students to Drop for Prerequisite Failure report, and provide the output to college partners for review and determination. 

    • We will send an e-mail to students informing them that they may be dropped from some of their Spring 2025 courses (with detail as to which course(s)) for failure to meet prerequisites.  

  • January 9, 2025 (end of day): 

    • Deadline for our college partners return their prerequisite failure determinations to the Office of the Registrar for processing. 

  • January 10, 2025 (morning): 

    • We will drop students from Spring 2025 courses for prerequisite failure. 

    • We will send an e-mail to students informing them that they have been dropped from some of their Spring 2025 courses (with detail as to which course(s)) for failure to meet prerequisites. 


DEGREE CONFERRAL AND TRANSCRIPTS 

Unofficial transcripts are now available for our college partners (e.g., advisors, College Student Services Directors, etc.) to run in Workday. They can initiate the task by searching for Generate Unofficial Transcript for Student in the Workday search bar; academic records that have the Academic Record Review hold will not be available via this task. It should also be noted that students are unable to generate unofficial transcripts at this time, but that functionality is forthcoming.  

Students may order their official transcript free of charge via Parchment. For information on ordering transcripts, please refer to the Transcripts webpage on the Office of the Registrar website: https://www.registrar.iastate.edu/students/order-an-official-transcript
