Login Page : This is the landing page for HR Payroll Software, here we will enter the user id and
password
Userid: hrtestmanager Password: Password@1

2. User Creation Human Resource  User Creation


Here we can create new employee who joined in the Organization. There you can enter the employee
information.
3. Structure Assign Human Resource  Structure Assign
Here we will assign the salary structure to the employees by selecting the structure ID and payroll
months from January to December. Need to select all the Earnings and Deductions parameters and then
click on Save.

4. A. Employee View Human Resource  Employee View


Once we click on this Employee view we can see all the employees in the list, we can search specific
employee by his employee id, name
B. After we search the employee we can select the Radio button then it will display the list of icons to
do necessary actions for that selected employee.

I. Edit  To update/view the employee personal information we need to click on the Edit
button. Once any information was update then need to click on the update button to apply
those modifications.

II. Document upload  This is used to upload the employee’s personal documents like Aaadhar Card,
Driving license, Pan Card etc….
III. Milestones Dates In this Icon we can enter the employee personal dates along with the two main
parameters for Salary calculations Employee Suspension Date and Employee Date of Join after the
Leave.

IV. Loans  This Icon is used to create the Employees all Loans Requests.
V. Charts In this we will enter the information related to different charts which related to pay roll
generation. In these charts we will have some question which will affect the employee’s allowances
/deductions.

VI. Employee Additional Details  This icon will used to enter the most of the Earnings and
Deductions of the employee which will affect the employee pay roll generation. Deductions like GPF
subscription, LIC, GSIL, Special pay etc..
VII. Prints  This icon will show the loans print format for the all the loans taken by the employee when
it was taken and when it will close what is the interest etc…

Once we click on that radio button it will open the print format
5. Payroll Generation Human Resources  Payroll Generation
Here we will run the Pay roll for the particular month here all the rules will apply and get the selected
month basic pay, allowances and deductions.

Once we select all the required information we will click on the Generate Payroll then we will get the
below screen with respective amount based on the rules.
6. Pay Bill Human Resources  Pay Bill
Once we saved the information in the Payroll Generation link for the selected month then that
information will display in the Pay bill for the months generated in the Pay roll generation.

Here we need to save the pay bill for that month then it will effect in the schedule formats.
7. Employee Vacations Process
a. Employee Vacation Eligibility Administrator Employee Vacation Eligibility
If any employee joined in the Origination first we have to define the Vacation Eligibility for the
year. Here we will select the vacation type to assign the particular Employee /Department/All

Once we save the Vacation eligibility for the employee in the same screen it will show the list like this.
b. Employee Vacation Applying Human Resource Vacation
In this screen we will select the employee to apply the vacation for the particular period of date by
selecting the vacation type. Once we select the employee it will display the vacations type eligible for
that employee. Based on the vacation from date and to date and type of the vacation it will affect the
employee payroll.

We can see the employee applied vacations give the employee id in the employee name and select the
Vacation Request date and Vacation from dates then Approved status in the drop down then it will show
all the vacations taken by employee.
8. Loans Configuration Process
a. Loan Approval Person Administrator  Approvers
In this link we will assign the Authorized person to approve the loans requested by all the employees.
We will select approval type as “Loans” then select the Loan type and approver type as “Staff”
then click on Add button

Once we click on the Add button it will open one pop up box in that select Single level approver and
authorize person name check box. Then click on close button.
b. Loan Approval Process Human Resources  Loan Approval Status
Once employee keep the loan Request (Point 4. B .IV in Page 4) then all those loans will come to this
link the authorize person can see those loans and can approve by selecting the particular loan request
radio button.

C. Loan payment Human Resource  Loan payments


All the loans which were approved will come here we need to search based on the Loan Request from
date.

Then select the radio button and click on the pay button then it will open a pop up to do the payment
for the employee loan request. Once enter the required information please click on the payment
button.
While doing the payment need to check the loan payment date to enter on which date we are doing
payment. Once we done the payment then system will calculate automatically for the EMI and that will
reflect on the payroll generation under respective deductions.

D. Employee Loan Payments Human Resources  Employee Loan Payments

In this link employee can see his pending EMI against the loans he has taken. If he wants he can pay
the Additional amount also.

From that link select the Radio button and click on the Pay button then it will open an Pop up to select
the EMI wants to pay for the loan.
