Complexity in Handling the Data.

It is a difficult process to keep and manage the


data manually for 24 by 7. It takes a lot of time as well as it needs to handle the
data carefully. Also, it is difficult to handle the large amount of data manually.
So, it creates complexity in handing the data for 24 by 7.

Lengthy, confusing processes. It is very lengthy and confusing process of inward


and outward movement of material (parcels). The process starts with security guard
to check the shipment and keep the record, the gate keeper will now note down the
person�s name, delivery type, and vehicle no, courier id and then he will allow the
person the warehouse. This is the inward process. The outward process is same the
inward process. To keep all this information manually is a difficult task. It
requires a lot of steps to follow in the inward and outward movement of material.
Therefore, it is a lengthy, and confusing process.
1 Project Definition:

Online Material (Parcel) Management System for HPE is a web application. It


provides the user, the ability to track the material, manage and store the record
of inward and outward process of the material from warehouse till it is delivered
to the customer. Each user will have an account with their home page.

The web application called Material Management System for HPE would be used at one
of the warehouse of the client where there is an inward and outward movement of
material (parcels) at regular intervals 24 by 7. The user at different level will
enter the data in application and management can pull out required report from the
application.

The project requires four levels of user hierarchy. These four users are Super
Administrator, Client in Charge, Gate Keeper and Security Guard. Every new user has
to register him/her on the website first, as per their assigned post and only then
the person will be able to handle the given task by logging in into to online web
application. The name of the project �Material (Parcel) Management System�
indicates the inward and outward movement of the parcel or the material moving in
and through the warehouse. So, it is required to store and monitor the report
regarding the parcels 24 by 7. All the four users have to store the relevant data
regarding the parcel and make sure that the correct data is to be stored for the
correct parcel.

3.2.2 Current Inward Process:

1. Security person will manually verify the invoice against the material arrived
such as no. of boxes, pieces, serial no. of the parts etc. as per the requirement.
2. If everything is in order, security person will enter the following details
in the web application into his/her login account

a. Arrival date
b. Supplier�s name
c. Origin
d. Customer or Consignee Name
e. Vehicle driver�s name
f. Transporter name
g. Material description
h. Invoice no.
Above mentioned are the general entries that are entered by the security person in
the inward register.
