ABSTRACT

Event management system is used to manage all the activities related to the event. It is
a convenient method to book and view events in and around the user’s interests and in the
desired time. These events may be of any type including concerts, marriage musicals etc…
This project enables the users to access all the details regarding the event and make bookings.

Event management system has users with a user and an admin. The registered users
can view the locations, genres and events, add them to their interests and book them. The
users can view the details of the booked event. If the user wants to book the event he has to
register the system first by giving his/her personal information like email address, phone
number, name and he/she has to create a password to create his/her account. After registration
users are able to see the events and services provided by the system and they can book the
event using the help of services and events. Once the event is booked admin generates the
bill and receipt. Lastly, users can give feedback to the system. The admins can create, edit
and delete events. This project is developed in MySql. The project provides most of the basic
functionality required for booking an event.

This system helps the managers at different departments to coordinate their work and
thereby save their valuable time and finances. Helps the manager to easily receive the orders
from different clients irrespective of their locations. It increases the speed of processing of
orders.

CHAPTER 1 INTRODUCTION
PROBLEM STATEMENT:

Problem- Every Organization, whether big or small, has challenges to overcome and manage
every event. Solution- Management System has different event needs, so we design an
exclusive Event Management System. This is designed to assist in strategic planning and it
will help to ensure that your organization is equipped with the right level of information and
details of your future goals. Also for those busy executives who are always on the go, Our
system comes with remote access features, which will allow you to manage your workforce
anytime. These system will ultimately allow you to better manage resources

OBJECTIVES:

The objective of this application is to develop a system that effectively manages all the data
related to the various events that take place in an organization. The purpose is to maintain a
centralized database of all event related information. The goal is to support various functions
and processes necessary to manage the data efficiently.

The main objective of this project is to design the database event management database
which manages and stores all possible event related information. To find which normal form
is dependencies for a particular event lies in.

Database normalization is the process of organizing the fields and tables of a relational
database to minimize redundancy. Normalization usually involves dividing large tables into
smaller(and less redundant) tables and defining relationships between them. Most tables are
free of insertion, update, and deletion anomalies.

This project includes the program included that helps us to check which normal form
dependencies of a table satisfy.

SCOPE OF THE PROJECT

The objective of this application is to develop a system that effectively manages all the data
related to the various events that take place in an organization. The purpose is to maintain a
centralized database of all event related information. The goal is to support various functions
and processes necessary to manage the data efficiently.

ESSENCE OF THE PROJECT

This project is especially designed for event management. The event manager will be able to
keep record and project reports of his work. It provides a user-friendly approach for handling
all the services. Some of the important features are

● Events: Gives information about all the requirements of services being organized.
● Easy tracking: Keeps simplified track of all events organized.
● Scope of Improvement: Allows for improvement by reviewing user feedback.

Present event managers (mostly small scale) face problems in tracking the requirements of an
event when they are handling multiple events at a time. Special employees are also appointed
for managing the records for the events. The project provides an easy and automated
approach that saves time, money, and mind-memory.

Event management is a process of organizing a professional and focused event, for a


particular target audience. It involves visualizing concepts, planning, budgeting, organizing
and executing events such as wedding, musical concerts, corporate seminars, exhibitions,
birthday celebrations, theme parties, etc. Event Management is a multi-million dollar
industry, growing rapidly, with events hosted regularly. Surprisingly, there is no formalized
research conducted to assess the growth of this industry. The industry includes fields such as
the MICE (Meetings, Incentives and Events), exhibitions, conferences and seminars as well
as live music and sporting events. On the professional side, event management is a glamorous
and exciting profession that demands a lot of hard work and dynamism. The logistics side of
the industry is paid less than the sales/sponsorship side, though some may say that these are
two different industries.

CHAPTER 2 PROPOSED SYSTEM


The development of this new system contains the following activities, which try to automate
the entire process keeping the view of database integration approach. This system maintains
employee’s personal, address, and contact details. This system will provide on line help and
search capabilities. User friendliness is provided in the application with various controls
provided by system rich user interface. Authentication is provided for this application only
registered users can access. event information files can be stored in a centralized database
which can be maintained by the system. This system provides the employees to manage the
events systematically.

Event Management System is an Online event management software project that serves the
functionality of an event manager. The system allows only registered users to login and new
users are allowed to register on the application. This is a web application but a desktop
application of the same application is also available. The project provides most of the basic
functionality required for an event. It allows the user to select from a list of event types. Once
the user enters an event type eg(Marriage, Stage Show etc), the system then allows the user to
select the date and time of event, place and the event equipments. All this data is logged in
the database and the user is setting up his username and password while registering . The data
is then sent to the administrator (website owner) and they may interact with the client as per
his requirements and his contact data stored in the database.

ADVANTAGES

 This project has been developed to overcome difficulties in utilization of present


existing systems in general. Here users to the system are the event management
company heads, managers and employees.

● The system is useful as it calculates an exact cost for all the resources required during
the event.
● The user gets all the resources at a single place instead of wandering around for these.
● This system is effective and saves time and cost for the users.

DISADVANTAGES
● Users have to select one services at a time. To include all services in their booking
they have to book separately.

CHAPTER 3 SYSTEM DESIGN

Design is the first step in the development phase for any techniques and principles for the
purpose of defining a device , a process or system in sufficient detail to permit its physical
realization. Once the software requirement have been analyzed and specified the software
design involves three technical activities-Design, Coding, Implementation, Testing that are
required to build and verify the software.The design activities are of main importance in this
phase, because in this activities decisions ultimately affecting the success of the software
implementation and its ease of maintenance are made. These decisions have the final bearing
upon reliability and maintainability of a system. Design is the only way to accurately transfer
the customers requirements into finished software or system .Design is the place where
quality is fostered in development. Software design is the process through which
requirements are translated into a representation of software. Software requirement is
conducted in two steps. Preliminary design is concerned with the transformation of
requirements into data.

Software used: MySQL

MySQL is an open-source relational database management system (RDBMS). Its name is a


combination of "My", the name of co-founder Michael Widenius' daughter, and "SQL", the
abbreviation for Structured Query Language. The MySQL development project has made
its source code available under the terms of the GNU General Public License, as well as
under a variety of proprietary agreements. MySQL was owned and sponsored by a single for-
profit firm, the Swedish company MySQL AB, now owned by Oracle Corporation

ER MODEL
An Entity Relationship Diagram (ERD) is a graphical tool to express the overall structure of a
database. It is based on a perception of a real world which consists of a set of basic objects.
An entity is a person, place, thong or event of interest to the organization and about which
data are captured, stored or processed. The attributes are various kinds of data that describe

an entity. An association of several entities in an Entity-Relationship model is called


relationship

CHAPTER 4 IMPLEMENTATION

Event management system is used to manage all the activities related to the event. In any
event many service providers work simultaneously and it is very hard to manage these
providers. It is also important for event organizers that he has all the contact details of these
service providers so that he can contact them any time to plan an event at a given time. To
manage all these activities we have developed this software. To get success in the event
management business, users should have strong network contacts of service providers. These
contacts are essentially providers of specific services who can be mobilized quickly to
participate in any given event. To make an event successful the event manager needs
different service providers like Sound systems services, Lighting providers, Canteen services,
stage construction and so on. In the present system, event companies have to do all
management work manually. They keep all payment information on papers. There is no
system to check the past expenses on any event. To do this they have to check the payment
register and this task is very time consuming and tiresome. Keeping all these problems in
mind we have developed this system. This system helps the event management company to
manage their paperwork online and they can also retrieve reports of the last event they have
completed.

Following are the main modules in this system.

● Admin Module- The admins who are taking initiative of storing the bills, orders,etc.
● Customer Module – It is the customer who has to take initiative for inputting the
values for any event.
● Services Module – The services provided to the customers.

CHAPTER 5 CONCLUSION
The Event management system allows administrators to store the details of events and user
details.
The implementation of this system will reduce the data entry, cost, time and also provide
readily calculated reports.
This provides a computerized system that will benefit user as well as admins.

FUTURE ENHANCEMENT

Using the Internet of Things (IoT technology). The father of SMART cities and wearables,
IoT is impacting event management on different levels of event lifecycle. The technology
optimizes automated solutions for SMART parking, accelerates attendee registration, and
facilitates floor traffic tracking. In other words, the Internet of Things has advanced
capabilities for bringing attendees to the venue, letting them in, and observing how they are
doing during the event.
