Background of the Study of the Capstone Project

Nowadays, in our society, computer technology is the most important advancement as people

move along in this computerized world. These changes have big effects on people's life by

making it easier and more convenient. The importance of technology in our generation today

is, it plays a vital role in every person's life and to any aspects. Today, in our society the

computer technology or any technologies are the most advancement as people move along in

this computerized world. These changes have big impact on people's life by making it easier,

more convenient and fastest way. Using technology, it makes people's work and any tasks

easier to be done. Through the advancement of modern technology, there are a lot of fast and

reliable alternatives for research. However, library still pays a vital role on the students and

researchers’ life. Library is still considered the most accurate place for information.

Undeniably, people especially those who are not having internet connections, and even

electricity, rely solely on books. Libraries also supply information not found on World Wide

Web. Library still remain the cheapest and the most accessible place for research. Gathering

of information still plays a very important role when it comes to gathering of information.

Librarians have the responsibility not only to know how to manage a computerized library

systems but also to be aware that these changes will have a big help to them.

The system is library management system: borrowing and returning of books with face

recognition and E-signature. The facial recognition system is a technology capable of

identifying a person from a digital image. There are multiple methods in which facial

recognition systems work, but in general, they work by comparing selected facial features

from given image with faces within a database. It is also described as an identifying image of

borrower(s) based application that can uniquely identify a person by analyzing patterns based
on the person's images. while fill up the signature during sign in and out of the borrower we

use E-signature software application. Like it is hard to find data manually when there is an

inventory weekly, monthly and yearly. The searching of data is time consuming and hassle.

This system is being conceptualized in order for the librarian to access all the books that was

borrowed by the student in the school. And we also know that now a days in this generation

we are used to live with technology and we implement this system. After an interview with

the help of the librarian, we have observed the following problems that exist in the library

when barrowing and returning of books, the librarian or the in charge manually takes down

information like borrower’s names, strand, year, gender, cellphone number, date, signature

sign in and signature sign out of a borrower, name of books borrowed, number of books

borrowed and the time he/she borrowed and returned the book. The time of borrowing which

uses only a pen and takes time to finish.

Implementing of this system based on the problem suited in the library stated by the librarian

during we conducted a study. Inline that all problems mentioning above we find a solution of

that problem which our system called Library management with face recognition that

magnify all problem in the library.

The main problem of the library of using manual records in borrowing books is that there is a

possibility to lose the logbook, time consuming and other concern problems about borrowing

of books. Manual systems are also slow to operate. Instead of using a computer to issue and

returned of books, borrowers’ data is slow and laborious. Manual systems are unable to store

large amounts of data efficiently. That is why the proponent decided to have an easiest and

fastest way of recording data specifically in the borrowers’ records such as when, who and

what time he/she borrow the books.


The proponents use the hardware and software to create a system. In creating a system, we

use programming language called Php, Visual basic and SQL server, Access and E-signature.

Then in Hardware we use laptop, keyboard, mouse, Printer, Bond paper and many more. The

specs of the laptop we use during creating a system Intel(R) Celeron(R) N4100 CPU @

1.10GHz 1.10 GHz with 4 gb of RAM. This system will be conducted inside the institution

of West Prime Horizon Institute Inc. And here are some of the research questions; 1. What

are usually the problems encounter inside the library? In that problem, how could the

librarian handle the problem? 2. What are the consequences if the borrower lost or damage

the books? 3. How can students /staffs borrow the books? What is the process?

Significance of the Study

Administrators. The system will lighten the paper works of the school as requirement

reports.

Librarian. The Librarian can monitor well the students who borrow books in the library

through reliable and correct reports.

Students. The students can easily borrow book without spending so much time.

Teachers. The students can be provided quick access for the library items so the teachers

won’t worry enough if the students can manage to make a library research task given by

them.

Future Researchers. The future researchers can use the study as their guide of reference for

their future researches also that is related to database management system.


Project Context of the Capstone Project

The proponents design and implement this kind of system to give a solution to the problem of

the librarian about the manual system of the library. This system is library management

system with the concept of borrowing and returning of books with face recognition and E-

signature. The facial recognition system is a technology capable of identifying a person from

a digital image. There are multiple methods in which facial recognition systems work, but in

general, they are saving an identity of the borrowers within a database. Like it is hard to find

data manually when there is an inventory weekly, monthly and yearly. The searching of data

is time consuming and hassle.

However, this system will provide a library management system with face recognition at

West Prime Horizon Institute Inc. library in which focus on borrowing and returning of books

are included.

A library system is software that had been developed to handle basic functions of a library. It

helps to grant information on any book present in the library to the user as well as the staff

members. It keeps a track of book issued, borrowers’ data, returned and added to the library.

It helps a lot by providing sustainable technology towards quality education through effective

learning. Computer technology is now in demand in our society. It is very essential in our

daily lives. It continues to evolve and grow fast.

Traditionally, library systems are used manually. Forms are given to the Librarian and

Student; they fill them of using pens. The manual library system is very time consuming and

a tiresome task. The primary complaint of some Librarians with this manual system is the

tiresome task of searching records. The fast changed of technology ascribe a lot to the
development of the library system. The computerized library system may help the librarian to

access and save borrowers record easily.

The proponents proposed a library borrowing system with face recognition for West Prime

Horizon Institute Inc. This project aims to have relevant, easy and fastest way of recording

and searching any borrower’s record. It helps the Librarian to have hassle-free when

recording borrowing transactions in the library.

The software to be produce is on Library Management System: Borrowing and Returning of

Books with face recognition. The first procedure is the registration of the borrower(s) who

arrive to the library. The admin or the librarian has the authority to enter borrowers’ names,

strand, year, block, contact number, date, time in and time out of a borrower, name of the

books, number of books borrowed, and signature the people who borrowed the library books.

Their entry and exit time to the library will be noted down. This calculates the total amount of

time they borrowed the book in the library. If a borrower of a. books for photocopy purposes

only, he/she can borrow not more than thirty minutes (30min.). And if he/she borrow the

books will only stay inside the library, the borrowers can borrow or spend time to read the

books all day in the library. If the students lost the books, he/she will be blacklisted or

students provides books the same as the one he/she lost. All the information will be entered in

the system. If the person doesn’t return the book before the due date, it's time for the librarian

to call out the students who are hard-headed and who are not following the rules. Admin has

the authority to add, delete or modify the details of the book inside the system. Librarian or

the Administrator also to keep username and password for the system.

This system has a similarity of the other researchers that has the same research title that has

relationship to other work facilities like, library, business, inventory and many more. During
proposal of research problem, it may be defining a lot of problem inline our system. Due to

innovative environment of 21st century learning.

This includes the following:

Developed a well-organized library borrowing system.

Produced a well-designed and functioning system in accordance to the needs and wants of the

borrowers.

Minimized the task and the effort being performed by both the librarian and borrowers.

Provided the library inventory and the students a well-organize and well-presented reports.

Purpose and description of the Capstone Project

The purpose and description of this project will be included:

 The librarian hard to distinguish the borrowers Gender Identity to be separated.


During inventory.

 The librarian needs to spend so much time to separate the personal details of every
Borrowers.

 The manual log-in book with a chance of getting misplace, lost, getting wet or even
damage.
Objectives of the Capstone Project

This project aims to develop a system that can help the librarian to manage all things inside
the library specifically the borrowing and returning of a book.

 To develop a system that allows easier way of borrowing and returning of books.

 To create a system doesn’t need too much time to spend in separating the borrower's

details. Because, this system automatically organizes alphabetically the information of

the Borrowers.

 To develop a system that gives huge impact to the librarian specifically in organizing

and synthesizing the management of borrowing details. Also, the information of the

Borrowers will automatically store in the database.

Scope and limitation of the Project

This system will provide a library management system with face recognition at West Prime

Horizon Institute Inc. library in which borrowing and returning of books are included.

The scope of the Library Management with face recognition for the west Prime library. This

system it provides a significant usage of our library with E-signature. It is user friendly and

securable to keep data and easiest way to store data for all the borrowers. Only librarian can

access or open this system. Records of the borrowers our store directly to the database.
The impact of technology has greatly expanded the scope and capacity of the average library.

This is an on-going and developing relationship as the computer's full capabilities are

gradually explored and applied to the library. Computers have radically changed the way

people learn and communicate with each other, as well as the library itself.

There are three main operations in the system, borrowing of books; returning of books and

Identifying image identity of the borrowers with E-signature. In borrowing of books, the

admin will encode and save the information about the borrower’s information and the items

being borrowed; in returning of books the admin will encode and save the information of the

borrower’s information and the items being borrowed; and accession number and the record

will be saved in the database.

This system it helps to the librarian to an easy input and access data for all the barrowers

because it is organized accordingly by its functions. During weekly and monthly and yearly

inventory the librarian can easy to trace and identified borrower’s records.

It may help collecting perfect management in details. In a very short time, the collection will

be obvious, simple and sensible. It will help a person to know the management of passed year

perfectly and vividly. It also helps in current all works relative to Library Management

System. It will be also reduced the cost of collecting the management & collection procedure

will go on smoothly. Our project aims at Library management system to generate data. The

proponents have tried to Computerize various processes of Library Management System with

face Recognition.

• In computer system the admin has to fill up the various forms assisted by librarian.

• The forms can be easily generated at a time.

• Have a face identification for the borrowers.

This study is limited to the library of West Prime Horizon Institute Inc. which the number of

students greatly increases every year. In preparation, this system became more reliable and

consistently providing enough support to the school’s library to accommodate an increasing

number of students enrolled in every year. The following are the scope of the system:

It enables an easy access to search book borrowers etc. It provides ease to students and

library staffs in borrowing and returning of books. It blacklisted the borrower whenever they

are not bound anymore to the institution.

The propose system is made based on the wants and needs of West Prime Horizon Institute

Inc Library, the system consists of borrower’s names, strand, year, block, cellphone number,

date, signature sign in and signature sign out of a borrower, name of books borrowed, number

of books borrowed and the time he/she borrowed and returned the book. The time of

borrowing which uses only a pen and takes time to finish, so that the librarian has an easy
access in each borrower’s book, search tabs for reliable, easy and faster monitoring of books

and more importantly a report and evaluation of record can be generated in a well-organized

and well-presented reports. Each student is unlimited to borrow a book to provide each

student an equal chance of borrowing specific books. But the Library rules are still obeyed

and implemented.

This project system was highly recommended due to the rapid increase of computer related

tools in the industry. With this proposed system features and functions of the school’s library

will be able to accommodate more reliably consistent and faster in providing a better service

to the students and staffs. The following are the limitations of the system:

• The system is not for online

• It is merely used in searching, borrowing and returning of books

• The administrator is the only authorized person to alter, delete and make changes to the

system.

The limitations of this the system are not for online system do not provide library card. it is

merely used in searching, borrowing and returning of books. The administrator is the only

authorized person to alter, delete and make changes to the Borrower Data. User can’t hold or

touch the system. only librarian can operate the system.

West Prime Horizon Institute Inc. - Operationally, it is located at V. Sagun St. San

Francisco District Pagadian City. It is the educational institution to which our proposed

system will be implemented.

Sublime Text - is a shareware cross-platform source code editor with a Python

application programming interface (API). It natively supports many programming languages

and markup languages, and functions can be added by users with plugins, typically

community-built and maintained under free-software licenses.

Xammp - is a free and open-source cross-platform web server solution stack package

developed by Apache Friends, consisting mainly of the Apache HTTP Server, MariaDB

database, and interpreters for scripts written in the PHP and Perl

REVIEW OF RELATED STUDIES AND SYSTEM

We will cover the technology we will be using in this chapter, as well as the explanation for

all of the technological developments for the proposed system.

Technologies used for the Proposed System.

This research was carried out to assist librarians in developing a simple approach for managing

borrowers' information within the library. The goal of a library management system with face

recognition is to determine the identity of the borrower. And this system is fucoses on the

borrowing and returning of items. This technology is used to arrange the data of the borrowers'

details while CHED representatives conducted an inventory every weekly or monthly, making

it easier for the librarian to retrieve the information contained in the database. A library

management system with face recognition is software that controls all aspects of a library's

operations. It assists librarians in maintaining a database of new borrowers’ information as

well as books borrowed by borrowers. All of your library's activities are totally automated

using this system. Implementing library management system software is the best way to keep,

organize, and handle a large number of borrower’s information in a systematic manner. To

keep track of library records, a library management system is utilized. It keeps track of the

quantity of books in the library, how many are issued, how many are returned or renewed,

and late fine costs, among other things. With this system, you can rapidly identify books,
swiftly Borrowed/Returned books, and handle all of the data in an efficient and organized

manner. A library management system's goal is to give real-time, accurate information about

any type of book, saving time and Borrower’s information.

Technicality of the project

The project's supporters had gathered all relevant research and discussed the technologies

that would be deployed. Due to the fact that the project is still under progress. The

advocates will continue to look for tools and technologies that will aid in the system's

development.

The library management system with face recognition is a book borrower and return

procedure in which the borrower's information, along with their identity, is saved directly

into the database. The study will be connected to the course. PhP, Xampp, Sublime Text

and MySQL are some of the technical jargons utilized by the project's supporters. Some of

the above-mentioned phrases are also used by the project's proponents in terms of

technology.

Details of the technologies to be used

PHP is a server-side language that can be used in conjunction with a database to create

dynamic web pages. By the word "dynamic" it allows you to input or query data from a

web page. These aren't the only things PHP allows you to do interaction with databases are

a key feature of server-side languages. The proponents chose this software because it is

simple to use and construct a system using. The following software features are used in the

creation of the project: XAMPP is a short form for Cross-Platform, Apache, MySQL, PHP,

and Perl. XAMPP is a popular cross-platform web server that allows programmers to write

and test their code on a local webserver. It was created by Apache Friends, and the public can
revise or modify its native source code. MySQL is a relational database management system

(RDBMS) and is a common option of database for usage in web applications.

Programming environment of the Project

The project's proponents used both software and hardware in its development. We met the

specifications for the hardware we used in constructing the West Prime Library's library

management system with face recognition project.

As the librarian explained, the proponents designed a system to address the problem within

the library.

Software specification

Visual Basics - is a Microsoft application event-driven programming language and

environment that provides a graphical user interface (GUI) that allows programmers to alter

MySQL - is a relational database management system (RDBMS) and is a common option of

database for usage in web applications.

Microsoft Access- is the most popular database management system (DBMS) from

Microsoft, which combines the relational Microsoft Jet Database Engine with a graphical

user interface and software development tools.

Implementation and Management issues


The process of installing that system in the library and dealing with the accompanying

management difficulties is just as vital as, if not more important than, picking the right

system. One of the key aspects and benefits of an integrated system, as mentioned above, is

the exchange of bibliographic records among the various system modules. This single feature

has the potential to have far-reaching repercussions for library management. The following

are some of the organizational changes that have occurred as a result of the introduction of

integrated systems:

1. New communication patterns: users cannot hold or access the system among

library personnel; only the administrator can hold or access the system,

particularly between technical and public services staff;

2.Lower-level Librarian are given more responsibility and decision-making

authority; and

3.Increased technical knowledge and skill requirements for the Librarian.

Many libraries have changed their operations to take advantage of the new

technology to the fullest extent possible.

Manual Library systems

According to Burke (2007) Manual Library Management systems, operating systems are

vulnerable to human error. For instance, a librarian who misfiles a borrower's records or

indexes a book incorrectly slows down the process and wastes students' time. Manual

systems are also slow to operate. Instead of using a computer to issue and take back books,

locating and updating a card index is slow and laborious. Manual systems are unable to store

large amounts of data efficiently. With manual systems Librarian spend a lot of their time on
mechanical, clerical tasks rather than liaising with library visitors. Library System also

known is a set of applications designed to perform the business and technical functions of

library including acquisitions, cataloging, circulation and the provision of public access.

Elyssa Valente (2016) According task Agarwal (2013) in this system the transactions are

maintained through a system. Students as well as teachers can search for any book, magazine,

journal member etc.

Library Management Using Real Time Face Recognition System

According to S. Kastaria this paper an automated system for human face recognition in a real

time background world for a large homemade dataset of persons face (Published 2015). The

task is very difficult as the real time background subtraction in an image is still a challenge.

Addition to this there is a huge variety on in human face image in terms of size, pose and

expression. The system proposed collapses most of this variance. To detect real time human

face Ada Boost with Hair cascade is used and a simple fast PCA and LDA is used to

recognize the faces detect ed. The matched face is then used to mark attendance in the

laboratory, in our case. This library management system is real time attendance system based

on the human face recognition with a simple and fast algorithm and gaining a high accuracy

rate. There two data base one is student data base and other is library data base system.

Foreign Related Literature

Central Library

It allows the researchers to understand the conducted study by doing a review of similar

studies and literature. The researchers need to conduct a survey and investigate previous

studies in order to get ideas and serve as a guide. In addition, certain associated studies are
aimed towards determining the solution to the problem and improving it by the application of

Information Systems helps the staff and students tremendously in day-to-day operations. The

article the automated library systems said that it can do multitasking. It can do recording

books on library, but it can also make different transactions. It will make the library service

convenient like making card cataloging. Therefore, multitasking inside the library is very

nice. The system will be the one who records all the transactions inside the library, so it

decreases the tasks of the librarian, so it can avoid the cases of lost records due to human

errors.

main problem of the different libraries worldwide are they are still using manual method. So,

the researcher proposed to make an automated system that will have better log in form and to

record quickly the borrowed and still existing books. So, the librarian or the staffs can

monitor every time the books that carried outside by the students. therefore, library

management system can be use outdoor or even without the school library.

of development is clearly, though not yet sufficiently, in accordance with the obsession of no

other than former President of the Republic, Ferdinand E. Marcos when he said:

The library system contributes to the attainment of the goals of MMSU by providing the

reference and reading materials required in the various phases of the programs implemented

by the University. It is a place for work and study; thus, it becomes a part of the way of life of

the university’s constituents and the members of the general public who use its services.
