The instructions and the criteria in the following tasks will be used by the Teacher/Assessor
to determine if the student has satisfactorily completed this assessment event. Use these
instructions as a guide to ensure the student demonstrates the required knowledge and
skills.

If this assessment requires the student to record information, the Teacher/Assessor will
provide the appropriate document/template.

The Teacher/Assessor will advise a time and location for each event. Alternatively, the
student may have the option to record their participation and submit as video evidence.

If the student is submitting video evidence, they must:

• Provide a video for each participation clearly meeting all requirements.


• Ensure they have access to the equipment and resources required to participate in
each demonstration.
• Follow the Video recording instructions (pdf). This one-pager includes useful tips,
links to resources, and a demonstration video.
• Address the questions or items listed in the observation checklist, either during the
demonstration or record them in a separate video file.

The instructions and the criteria in the tasks and activities will be used by your
Teacher/Assessor to determine if you have satisfactorily completed this assessment event.
Use these instructions as a guide to ensure you demonstrate the required knowledge and
skills.

This assessment includes the following tasks:

Part 1
• Conduct research and develop a Strategic Workforce Planning Research Report
Part 2
• Consult stakeholders by conducting a meeting with relevant managers (if you are in
the simulated workplace this will be via a role play)
Part 3
• Develop a Strategic Workforce Plan with input from managers from Part 2 and a Risk
Management Plan
Part 4
• Get support for your plan from a senior manager – write an email
Part 5
• Monitor and review the Strategic Workforce plan and make adjustments to the
Strategic Workforce Plan

To complete this assessment, you must complete the following tasks to industry standards.
Each task comes with a set of instructions which you should follow.

organisation. The organisation could be one you are currently working in or the simulated
organisation

Bounce Fitness is a premier fitness centre with its head office located in Cairns. Besides
offering fitness services, they also sell products such as pre-workout powders, protein
powders, glutamine tablets and powders. These are supplied by supplement
manufacturers.

Part 1: Researching strategic plan requirements
Use the information below and the criteria listed on the Assessment checklist to guide your
responses.

Once completed, submit this assessment to your Teacher/Assessor for marking.

Task 1: Conducting research

This task will require you to prepare a Strategic Workforce Planning Research Report.

You will use this Report to consult stakeholders and with their input, develop a Strategic
Workforce Plan in Part 3. The Strategic Workforce Planning Research Report can be
developed for the simulated workplace, Bounce Fitness or you can base it on your current
workplace.

1. Access and review the following:


a. Documents that provide workforce strategic direction, objectives and targets
in your workplace or in the simulated workplace, Bounce Fitness. These will
include Strategic Plans, Business/Operational Plans, HR planning documents.
Relevant documents for Bounce Fitness can be found under the
‘Infrastructure’ tab in the Bounce Fitness simulated worksite: Business
Strategy and Planning Documents – Bounce Fitness (precisiongroup.com.au).
b. The following documents containing requirements of workforce
management:
i. Legislation
ii. Regulation
iii. Documents/sources containing requirements for workforce
management specific to your industry
(Use: Fiji’s context – refer moodle Supplementary readings_legislations)
Workplace Relations, Work Health and Safety, Anti-Discrimination, Privacy
Legislation etc.

c. Relevant workplace policies and procedures. For Bounce Fitness these are
found under the ‘Policies and Procedures’ tab in the Bounce Fitness simulated
worksite: Policies and Procedures – Bounce Fitness (precisiongroup.com.au).
d. Sources that contain information on your organisational environment:

• Australian Bureau of Statistics (ABS) data

Part 2: Consulting Stakeholders
Use the information below and the criteria listed on the Observation checklist to guide your
responses.

Task 1: Conduct a meeting with relevant managers

Conduct a meeting with two relevant managers for consultation on developing the Strategic
Workforce Plan. Relevant managers are senior employees within your workplace. You can
conduct a meeting in your workplace or conduct a role play in the simulated workplace,
Bounce Fitness.

In either your workplace presentation or your presentation in the simulated workplace you
will:

1. Discuss the Strategic Workforce Planning Research Report prepared in Part 1.

2. Discuss and reach an agreement with the relevant managers about the workforce:

a) Preferences
b) Philosophies
c) Values
d) Policies

Read the Business Planning and Strategy documentations

3. Develop strategic objectives and targets for workforce services

Get information from Objectives and KPI document

4. Identify the following:

a) Analyse cost and benefits for each option for sources of workforce services
identified in Part 1.
b) Appropriate technology to support the agreed workforce programs and practices
c) Risks associated with a strategic workforce plan

Discuss above using a scenario of your own choice

You will use the inputs from this meeting to develop a Strategic Workforce plan in Part 3.

To complete this part of the assessment, you will demonstrate your ability to complete skills-
based tasks to industry standards.

Your demonstration will be used as part of the overall evidence requirements of the unit.

You should refer to the list of criteria provided in the Observation Checklist to understand
what skills you need to demonstrate in this section of the assessment. This Checklist outlines
the Performance Criteria, Performance Evidence and Assessment Conditions your
Teacher/Assessor will be marking you on.

Once completed you will need to submit this assessment to your Teacher/Assessor for
marking. If you are conducting a meeting in your workplace, you must digitally record the
meeting to provide to your Teacher/Assessor and submitted as evidence. If you are
conducting a role play you can arrange to have your Teacher/Assessor observe the role play
or the meeting can be digitally recorded and submitted as evidence.

Role Play
If you are conducting the meeting in the simulated workplace, Bounce Fitness, follow the
scenario and instructions below.

The scenario

You will be observed conducting a meeting with two managers from the simulated
workplace, Bounce Fitness.

The manager’s role will be played a friend, colleague or another student. Prepare for this
meeting by providing the two participants, prior to the meeting, your Strategic Workforce
Planning Research Report prepared in Part 1, Task 1.

Both participants must review the material and prepare themselves for the role play based
on their roles.

Roles of the persons in supporting roles

Ask a friend, colleague or another student to act in the supporting role. Make sure each role
has the scenario instructions to work from. Ensure there is enough information so that they
can effectively contribute to the demonstration.

This role play will require the following roles:

You are to present your Strategic Workforce Planning Research Report prepared in Part 1 to
the managers.

Observation Checklist
The Observation Checklist will be used by your Teacher/Assessor to mark your performance
in the workplace meeting/role play. Use this Checklist to understand what skills you need to
demonstrate in the role play scenario. The Checklist lists the assessment criteria used to
determine whether you have successfully completed this assessment event. All the criteria
must be met. Your demonstration will be used as part of the overall evidence requirements
of the unit. The Teacher/Assessor may ask questions while the demonstration is taking place
or if appropriate directly after the task/activity has been completed.

1. After consulting with the relevant managers and reaching an agreement, you need

The Human Resource Strategic Plan template for Bounce Fitness can be found under the
‘Documents’ tab and ‘Human Resources’ list in the Bounce Fitness site. You can add any
sections to meet the requirements of the task.

You can use your workplace template but make sure it includes all sections to meet the
requirements of the task. You can also use the Bounce Fitness template if one is not
available in your workplace.

Risk Management Plan (15 marks)

A Risk Management Plan template for Bounce Fitness can be found under the ‘Documents’
tab and ‘Risk Management’ list in the Bounce Fitness site.

Part 4: Getting support for the strategic workforce plan
This task will require you to engage and communicate with at least one senior management
member with the Strategic Workforce Plan and Risk Management Plan prepared in Part 3 to
obtain their approval.

Task 1: Getting support for the plan

1. Communicate with and get support for your plan with a senior manager.

If you are in a workplace, communicate with a senior manager in the place of authority in
your organisation who can approve workforce-related plans.

If you are not in a workplace, you are to communicate with Laura Irish, General Manager,
Human Resources at the simulated workplace, Bounce Fitness. Laura has the delegation to
approve workforce-related plans.

Prepare an email submitting your Strategic Workforce Plan and Risk Management Plan you
prepared in Part 3 for approval along with your points of recommendation for the plan. The
points of discussion must include the following:

• Executive summary
• Highlights of the plan
• Benefits to the organisation
• Timelines
• At least two names of managers involved in consultations
• Ask for feedback (provide details of the type of feedback you want; this could be in
the form of an attached survey). The feedback should give you information about the
strengths and weaknesses of your strategic workforce plan, approval to continue with
the plan and ideas for improvement.

Submit evidence

You must submit evidence of your email communication as per following instructions:

For this method of communication, you need to take a screen shot of the email you sent
which must include:

• The manager clearly identified in the “To” section of the email.


• Subject line
• Appropriate greeting
• All points of discussion and requests, as above
• Appropriate closing message and sign-off

If you are in a workplace, when using this as evidence, ensure you inform the senior
management member of the purpose of the communication before doing so. (10 marks)

Part 5: Implementing and monitoring the plan
This task will require you to:

1. Implement the strategic workforce plan based on elements you agreed with relevant
managers in Part 2 and agreed by a senior manager in Part 4. (5 marks)
2. Monitor and evaluate the strategic workforce plan to identify areas of improvement.
(5 marks)

Task 1: Implement and Monitor the Strategic Workforce Plan and Risk Management Plan

1. Prepare an Action Plan to implement the Strategic Workforce Plan. This will include:

• Identify stakeholders from your workplace or from the organisational chart in


Bounce Fitness. Relevant stakeholders are people who have been identified in the
strategic workforce plan. The Organisational Chart for Bounce Fitness is under the
‘People’ tab on the Bounce Fitness website.

• Identify actions for implementation, timeframes, responsibilities, and anticipated


results to be distributed to stakeholders. The Action Plan can be found under the
‘Documents’ tab and ‘Administration’ list at Bounce Fitness. If you don’t have an
Action Plan in your workplace, use the Action Plan from Bounce Fitness.

2. Monitor the implementation of the workforce plan. The plan has been implemented
and you now contact the relevant stakeholders to ensure the plan is meeting its
objectives. Write an email to those who have a responsibility for action items in the
implementation plan for an update. For this method of communication, you need to

Task 2: Adapt the plan as a result of change

1. Evaluate and review the plan.

1. Identify any changed circumstances.

Changed circumstances are any unexpected events that were encountered during
the implementation stage, causing deviation in the plan.

2. Recommend adaptations to the plan to account for changed circumstances, if


any.

Adaptations to the plan are the modifications suggested to the original plan in order
to accommodate unexpected events so that the plan remains aligned with the
objectives.

3. Adjust the Strategic Workforce Plan with monitoring and review information.

If you are not in a workplace, the following scenario applies to changed circumstances in the
Bounce Fitness simulated environment.

If you are in a workplace then ask a senior manager to suggest possible change so that you
can address the adaptations in your response.

Scenario (5 marks)

An opportunity has emerged to buy an existing fitness Centre in Perth and incorporate as a
Bounce Fitness Centre. This was not part of the strategic planning for Bounce Fitness but the
Directors decided it was too good an opportunity to overlook. While there are existing staff
they will need to be reviewed for suitability to work in Bounce Fitness including cultural fit,
qualifications, skill set.

Existing staff include:

• Centre Manager
• Two Fitness Instructors

Additional staff to bring in line with other comparable Bounce Fitness Centres include:

• Assistant Centre Manager


• Two more Fitness Instructors.
