B. Visas
Obtaining the visa of the host country – including any transit visas required as per travel itinerary – is
the exclusive responsibility of the participant.
Participants’ Letter of Award may be regarded as supporting documentary evidence for visa purposes.
Participants who cannot obtain the required entry visa in their home country, are requested to contact
the local organizer for assistance, providing the following: full name, nationality, passport number,
date/place of issuance, expiry date, arrival and departure dates and flight numbers. Participants are also
requested to inform the Course Director of the country and city where they are planning to obtain their
visa for Thailand.
In the case of visa problems due to health insurance coverage issues, participants are advised to send an
e-mail to the Administrative Contact, Ms Gladis Steephen-Madhavappallil,
G.Madhavappallil@iaea.org, to obtain an insurance certificate from Cigna International Health Services
BVBA in order to prove that they are covered by health insurance during the event. Other matters
involving health insurance, such as claims, should be sent directly to Cigna International Health Services
BVBA (clientservice1@cigna.com).
Participants are also expected to make necessary arrangements for any inoculations which may be
required by Thailand.
***
It is essential that participants inform the Course Director of their exact arrival details (arrival time and
flight number) in Bangkok, Thailand together with their passport data (full name, passport number, date
and place of issue and validity period) in order to enable the Course Director to arrange for their airport
pick-up and transport to the hotel as well as to finalize administrative arrangements.
Excess luggage:
The IAEA will not pay for any excess luggage. Respective Governments should therefore be prepared
to defray the shipment of training materials in case they exceed the standard baggage allowed by
international airlines. It is recommended that participants travel from their home country with minimum
luggage to allow for additional weight due to training materials which they may receive during the
training event. A good deal of the training materials received may, of course, also be carried as hand-
luggage.
Participants will receive a stipend which will be sufficient to cover the cost of accommodation, meals,
and minor incidental expenses. The stipend is calculated by the number of nights which participants are
expected to stay at the course. Should participants, for private reasons, arrive earlier than 24 July 2022
or depart later than 30 July 2022, participants will have to pay for the additional days out of their own
funds or must claim it from their respective Government.
Contingency Allowance:
The stipend and contingency allowance will be paid to participants by the Course Director, on behalf of
the IAEA, in Bangkok, Thailand on the first day of the course.
E. Accommodation
The local organizer will arrange for participants’ accommodation, the details of which will be
communicated in a separate email message.
Participants are required to stay at this hotel during the period of the course.
IMPORTANT: Participants are responsible, on checking out of the hotel, for paying their own hotel
bill, including any personal expenses incurred, such as for telephone calls, drinks, etc.
To enable the local organizers to finalize hotel reservations and arrange for pick-up at the airport, it is
essential that participants inform them of their flight schedule (with copy to the IAEA administrative
contact).
***
Domestic transport will be arranged by the local organizer.
F. Security Considerations
It is recommended that participants complete the BSAFE online security awareness training prior to
undertaking missions to UN duty stations. Access to the training can be found under the following link:
https://training.dss.un.org/. The aim of the course is to educate participants on how best to avoid or
minimize potential dangers and threats, and to show what individuals can do if they find themselves in
insecure situations.
Upon successful completion of the course, a certificate will be generated and sent to participants by
email. Participants are advised to keep a copy of the certificate, as it will not expire. Copies of the
certificate should be uploaded to the InTouch+ platform or forwarded as an e-mail attachment to the
IAEA administrative contact.
The IAEA will request the local organizer to transmit to the participants, upon their arrival at the duty
station, any advice received from the United Nations Security Coordinator concerning the current
security situation in the country.
