Tenant Move-In/Move-Out Checklist SOP

1. Purpose:
The objective of this SOP is to establish a standardized process for conducting
move-in and move-out inspections, ensuring accurate documentation of the
property's condition before and after a tenant's occupancy.

2. Scope:
This SOP applies to all personnel involved in the tenant move-in and move-out
process, including property managers, leasing agents, maintenance staff, and
administrative personnel.

3. Responsibilities:
a. Property Manager/Leasing Agent: Responsible for coordinating and
overseeing the move-in and move-out inspections.
b. Maintenance Staff: Responsible for addressing any repair or maintenance
issues identified during inspections.
c. Administrative Staff: Responsible for documenting the inspection findings
and maintaining records.

4. Preparing for Move-In:


a. Schedule the move-in inspection with the tenant and ensure it is
conducted prior to the tenant's occupancy.
b. Prepare a move-in checklist that outlines the areas to be inspected,
including the interior and exterior of the property.
c. Ensure the property is clean, all necessary repairs have been completed,
and utilities are functioning properly.

5. Move-In Inspection:
a. Conduct a thorough inspection of the property with the tenant present.
b. Use the move-in checklist to document the condition of each area, noting
any existing damage or issues.
c. Take photographs or videos to provide visual evidence of the property's
condition.

6. Move-In Documentation:
a. Create a detailed move-in report summarizing the inspection findings.
b. Provide copies of the report to the tenant for review and signature.
c. Store the move-in report securely as part of the tenant's file.

7. Move-Out Preparation:
a. Notify the tenant of the move-out requirements and provide a move-out
checklist.
b. Schedule the move-out inspection to be conducted after the tenant has
vacated the property.
c. Remind the tenant of their responsibilities for cleaning and repairs before
move-out.

8. Move-Out Inspection:
a. Conduct a thorough inspection of the property after the tenant has moved
out.
b. Use the move-out checklist to document the condition of each area.
c. Compare the current condition to the move-in report, noting any damages
or issues that occurred during the tenant's occupancy.

9. Move-Out Documentation:
a. Create a detailed move-out report summarizing the inspection findings.
b. Provide copies of the report to the tenant, along with any estimated
deductions from the security deposit.
c. Store the move-out report securely as part of the tenant's file.

10. Security Deposit Handling:


a. Follow the established procedures for handling security deposits, including
deductions for damages or outstanding balances.
b. Provide the tenant with an itemized list of deductions, if applicable.
c. Return the remaining portion of the security deposit to the tenant within
the legally required timeframe.

11. Review and Improvement:


a. Regularly review the effectiveness of the SOP and make necessary
revisions based on feedback and evolving needs.
b. Ensure compliance with local laws and regulations regarding move-in and
move-out inspections.
c. Document any changes made to the SOP and communicate them to all
relevant personnel.
