Receiving & Replying
to Purchase Orders (POs)

Translated 101
All work-related communications will be sent to
you over email at the email address you
indicated on the Personal Info page of your
Translator Online Profile (TOP).

Make sure you don't miss any opportunity:


Keep your profile up-to-date
Check your inbox
Turn on your email notifications when
you're ready to take more work
Purchase Order emails (POs) contain
basic information on the job request
and a link to get more details.
The PO Email
1. Project ID: an identifier of the client’s request.
2. Job ID: a unique ID assigned to your PO. PMs use it to
track your activity and support you on the job.
3. PM details: Full name of the PM responsible for the project.
4. Link to the PO page
5. Instructions on the next steps

PO emails may contain more detailed information.


Please always read them carefully.
Missed PO
Purchase Orders expire if you do not open them for several hours.
When a PO expires, the job may be canceled or reassigned to another linguist.
If you click on the link of an expired PO, you will see this message:

If you missed the specific PO, but are still available for jobs on that day, we recommend you contact the
PM who emailed you with the request and check if they have new opportunities for you.
We strive to deliver all our projects on time and
use artificial intelligence to determine the
amount of time we can keep the PO available
for you, without compromising the delivery to
our client.

Always keep an eye on your inbox and kindly


accept or decline each offer as fast as you can.

Informing us about your availability allows us


to send you offers that best suit your daily
capacity.
The PO Page
The PO email gives you more details on the offer.
Job ID
Job type: translation, revision, post-editing, etc.
Deadline: expressed in Rome time, where our HQs are
Language combination: brackets signal the relevant
language variant
Subject: technical, marketing, literary, etc.
Equivalent word count: the weighted amount of words
we’ll compensate you for.

Click on "details" for a thorough overview of the


wordcount.
The PO Page
The PO email gives you more details on the offer.
Total due: wordcount multiplied by your own rate
Link to the job in Matecat
Job instructions, which may contain a download button
ACCEPT/REFUSE button: always leave a comment
for the PM if you refuse a PO because the deadline is
not suitable. They may be flexible!

Jobs that are not performed on Matecat may contain links


to specific folders or materials.
The PO Page
The PO email gives you more details on the offer.
Word count analysis: information on how the WC was
calculated.
PM details and contact information.
Payment/invoicing details: Information on VAT and
other fees. Please note that the invoicing system is
monthly and processed automatically through TOP.

If you receive a PO for a job yet to be assigned to a PM,


reach out to the whole PM team at pm@translated.com.
Please include the job ID in the email subject.
The PO page is designed to give you a snapshot
of the information you need to assess a job offer
and decide whether or not to accept it.

We recommend that you read all information


carefully.

If you have any doubts or questions, please


contact the dedicated PM right away.
Refuse a PO
To decline a PO, select the appropriate option
and leave a comment to the PM, explaining why
you declined the job offer.

Once you click on "Continue" you will receive a


confirmation message.
Refuse a PO
If you declined a PO and did not receive any reply from the PM, it means the job was already reassinged,
or that the PM is waiting for the client's feedback on deadlines.
When PMs set a deadline, they take into account
their commitment to the client and it may not
always be possible to accommodate extension
requests.

You should always wait for a PM to confirm an


extension and re-open the PO for you before
starting to work on any specific assignment.
We recommend that you read all information
carefully.
Accept a PO
To accept a PO, click on the
correct option on the PO page.

You are also welcome to leave a


message for the PM in the
appropriate section.
Accept a PO
Once you receive the confirmation page, you're all set for starting the job.
Most of our projects are performed using
Matecat.

We recommend you get familiar with Matecat


ahead of receiving jobs.
This will make working on actual projects much
easier.

Projects that do not require Matecat will have


specific instructions, so please remember to read
the instructions thoroughly.
Deliver a PO
To deliver a PO, simply reload the URL
of the PO you accepted.

The ACCEPT/DECLINE will have


disappeared, and the UPLOAD
functions will have appeared instead.
Deliver a PO
To deliver the PO, make sure to:
1. proofread the translation
2. fully understand the original
3. translate at the top of your game
Check the boxes, add any useful
comments in the box and select the
final files before clicking on "upload".
Deliver a PO
Once the upload is complete, the page will automatically reload into a
confirmation message.
If you need any extra time to go over the file and
run final checks, or if you need an extension,
send an email to the PM, making sure you
include the job ID.

Replying to the original PM email is always the


safest idea.

Remember that unless you agreed on new terms


with the PM, you are asked to commit to the
original PO request and deadline.
