The Problem and Its Scope

Introduction

Libraries have long served as beacons of knowledge, offering sanctuary to the

curious, the ambitious, and the seekers of wisdom. In today’s digital age, where

information is at our fingertips, the role of libraries may seem diminished to some.

However, for students of all ages, libraries remain invaluable resources that play a

crucial role in academic success, personal growth, and lifelong learning. Let’s explore

the profound importance of libraries for students in our modern world. By providing

access to a wide selection of books and reading materials, libraries encourage students

to explore different genres, authors, and topics, expanding their horizons and

nurturing their imaginations (Open Minds Campus 2024). Libraries promote equity

and inclusivity by offering resources and services that are accessible to everyone,

regardless of socioeconomic status, age, ethnicity or ability. They strive to create

welcoming and inclusive environments where all members of the community feel

valued and respected. Libraries play a crucial role in promoting information literacy

by teaching people how to find, evaluate, and use information effectively and

ethically.

According to Klinnenberg, (2022) during my research, I learned that libraries

are not only important for providing books, films, internet access, and other vital

information, but also for ensuring a neighborhood’s vitality and promoting stronger

social ties. According to the American Library Association website, "As champions of

lifelong learning, libraries are a place to quench curiosity, access technology and
explore new ideas, hobbies and careers.” Libraries support formal education by

providing resources, research assistance and study spaces for students of all ages.

Some branches may also offer tutoring, homework help and educational programs to

supplement classroom learning. For students to grow into functioning adults, they

must have as much access to learnable resources as possible. Books, computers,

encyclopedias—they all provide the information they need to learn and build their

intelligence. If a school facility lacks space for these necessary resources, students

won’t learn anything. Spending time in a school library helps children develop life-

long skills they can apply to any situation. For example, they can continuously

challenge their reading skills and take the time to learn new words in dictionaries or a

thesaurus. (Marten Public Seating, 2023).

According to Slimkm Blog (2024) School libraries are fundamental to

developing engaged readers who have the capability and inclination to read and learn

beyond their years at school. School libraries help students learn to find and use the

information they need, to succeed now and in their future life and work.

Rationale

This study aims to develop a management system in Metro Dumaguete

College library to enhance and improve the process of their operation in every aspects

of transactions. The MDC Library Management system is a web-based software that

will handle basic and systematic organization of fuction in the library. This system

will provise basic features in adding and updating the status of every books

information, easing the inventory of each books, monitoring users information,

organizing books places, manage log in and log out.


In this library management system can reduce the hassle of scattered books

in every cabinets, can inhance the process of finding books location, authors and

date published, can ease management inventory, can records borrowed books and

to determine the number of books availability.

Statements of the Problem

The study aims to develop a Web-Based Library Management System to

digitalize the process of current system of Metro Dumaguete College Library.

It especially sought the following questions:

1. What are the current library process of Metro Dumaguete College?

2. How is the current library system of Metro Dumaguete College doing in terms of:

2.1.Students borrowing and returning books

2.2.Cataloging

2.3.Students Logbook

2.4.Library Inventory Management

3. What issues does the current library system have in terms of:

4. What data requirements are necessary in the development of Web-Based: Metro

Dumaguete College Library Management System in terms of:

5. How well-liked is the Web-Based: Metro Dumaguete College Library

Management System in terms of usability among Librarian , instructors and students :

Significance of the study

The researchers finds this study helpful mainly for the following:

Student - This study will benefit the students to lessen their time in searching books

with the use of MDC Library Management System.

Librarian - This system will help them generate all the reports in minimum amount

of time and minimizes the used of paper such as log books, library cards and other

forms that the library used at the current system.

School - This study will Benefit the school in improving the school library in Metro

Dumaguete college. This system will be a tool that can be used by learners and

enchancing the library process of the said school.


Future researchers - This study will benefit the future researchers to have more idea

about the Library Management System on how to improve this system when the year

counts.

Scope and Limitation

• This study is focused in the design and development of Library Management

System for Metro Dumaguete College that shall help in improving the processes in

the library through a more organized and better platform.

• The proposed system covers the major processes in Metro Dumaguete College

namely searching of books, viewing the books details, organizing Library catalog and

monitoring the records of log in and log out.

However, the Web-Based MDC Library Management System has some limitations

including:

• Provide transactions of borrowing books for take home.

• Offline viewing of books.

• Use of different emails/gmails.

Definition of Terms

Operational Definition
1. Management System. The way in which companies organize themselves in their

structures and processes in order to act systematically, ensure smooth processes and

achieve planned results.

2. Educational Tool. Employed by educators to facilitate more engaging and

interactive lessons, catering to diverse learning styles.

3. Function. Helps librarian to maintain the database of new books and the books that

are borrowed by members along with their due dates.

4. Cataloging. the process of creating and maintaining bibliographic and authority

records in the library catalog.

1.6. Theoretical Framework of the Study

This study is anchored on the Information System Theory proposed by Alan

Hevner and Samir Chatterjee 2010.

Information System Theory has the following essential components: 1) User-

Centered Design 2) Data Management and Resource Discovery

and 3) Impact of Technology on Library Services.

Information Systems Theory provides a foundational basis for understanding

how LMS can be structured and implemented. It posits that the effectiveness of a
system depends on the integration of technology with human activities and

organizational processes. This theory suggests that successful library management

relies on aligning technological capabilities with user needs and institutional goals

(Davenport & Prusak, 1998). Thus, the design of an LMS must consider user

experience and the workflow of library staff to ensure optimal performance and user

satisfaction.

User-Centered Design

User-centered design is a critical aspect of LMS development, focusing on the

needs and behaviors of library users. This approach posits that systems should be

designed with the user in mind to enhance usability and accessibility. Research by

Norman (2013) emphasizes the importance of understanding user interactions with

technology, which can inform the design of more intuitive and effective LMS

interfaces. By applying user-centered design principles, libraries can improve

engagement and satisfaction, ultimately leading to more effective resource utilization.

Data Management and Resource Discovery

The role of data management in LMS is vital for effective resource discovery

and information retrieval. According to Chowdhury and Chowdhury (2003), an

effective LMS must implement robust metadata standards and indexing techniques to

facilitate efficient searching and retrieval of information. This theoretical perspective


highlights the necessity of organizing library resources in a manner that enhances

discoverability, allowing users to easily find the information they seek.

Impact of Technology on Library Services

The evolution of technology has significantly impacted library services and the

development of LMS. As digital resources become more prevalent, libraries must

adapt to these changes by incorporating digital content management and access

systems (Liu, 2010). This adaptation aligns with the Technology Acceptance Model,

which posits that perceived ease of use and usefulness significantly influence users'

acceptance of new technologies (Davis, 1989). Thus, integrating advanced

technologies in LMS is essential for maintaining relevance in an increasingly digital

information landscape.

I. Conceptual Framework

Figure 1. shows the conceptual framework of the proposed system. The input of the

system is Students information,Master list of books, Borrowing of books and

Returning of books. Thw process is create add, edit, delete and save to students info

and book info and viewing master list of books and the output of the library

management syatem for Metro Dumaguete College.
