Project Report Guidelines

1. Selection of Title
Should be appropriate.
Should not be more than 12 words.

2. Suggested Project Report Structure


The list of chapters given below is appropriate in most of the cases. However, in few cases,
depending upon project, one or more chapters could be irrelevant.

The following order must be adhered to.

• Cover Page (Please see Format / Specimen attached).


• Title Page (Please see Format / Specimen attached).
• Declaration (Please see Format / Specimen attached).
• Certificate from Company Guide / Company (Please see Format / Specimen attached).
• Certificate by Faculty Guide (Please see Format / Specimen attached).
• Acknowledgement
o A statement expressing the student’s gratitude. Usually, thanks are expressed towards.

▪ Company Guide,
▪ Faculty Guide and
▪ Others.
o Many students like to acknowledge the help they received with their Reports and if so,
list of acknowledgements is often included just before the start of the first chapter.

• Abstract / Summary / Executive Summary


o This should provide a synopsis of key aspects of the report. The objective of the
summary is to provide an overview of the content.
o The writing of a good abstract is a literary skill and before starting of your own; you
may find it useful to refer to number of abstracts from other Reports / Theses
available with our library.

• Table of Contents
• List of Tables & Illustrations
• List of Diagrams
• Abbreviations
• Chapters
3. Chapter Plan and The Content
Chapter 1: Profile of the Firm/Company

This chapter is to include the following aspects:

1. Name of the firm/company, its complete address along with telephone numbers, email address,
website name. Mention whether local, national, or multinational. If national/multinational, give
location & address of the registered office and geographical areas of operation of the company.
2. Explain the nature of the organization and its business (service/production/trading etc.), i.e., type of
industry and business in which the company is operating. Mention any specific functional area, if
any such as marketing, finance, HR, logistics etc., in which the company is operating.
3. Company’s vision & mission.
4. Product range of the company.
5. Size (in terms of manpower and turnover) of the organization.
6. Organization structure.
7. Market share and position of the company in the industry.
8. Present leadership. Mention the people and their level with whom you have interacted during the
summer training.
Source of data: Provide sources of the information for each.

Chapter 2: Industry Analysis

This chapter must include details of but not limited to the following aspects (You may use any suitable
model to carry out competitive analysis of the organization):

1. Strengths & Weaknesses of the company.


2. Opportunities & Threats that the company faces.
3. Product Portfolios and PLC
4. Best practices that the company follows in different functional areas such as marketing, HR, finance,
inventory management, CRM, logistics, use of ITeS etc.
5. The variations/deviations in practices followed by the company vis-à-vis the concepts taught to you
in the classroom.
6. The Business Model, Sources of Revenue, POPs and PODs.
7. Major Competitors and the nature of Competition in the Industry.
8. Forces acting upon the Industry as a whole and the Macro and Micro factors influencing decision
making.

Chapter 3: Data Collection & Presentation

Inevitably you would end up working with some data. However, the data might be in any form or shape. In
this chapter you are advised to present the data in a meaningful way. Please always seek active inputs from
your faculty mentors. Some guidelines below might help.

Raw data (primary or secondary) collected must be reduced to standard formats such as tables, charts,
graphs, diagrams etc. and is to be presented in this chapter. The tool for data presentation should be suitably
selected so that interpretation and inferences could be drawn easily and become self-explanatory.
Proper titles, legends, scales, source (s) etc. must be mentioned along with each diagram.

Depending on the nature of the responsibilities you are provided by the company and the kind of project you
are undertaking data can be from either of these indicative functional areas such as Marketing, Human
Resource Management, Finance, IT etc. Some detailed aspects of the data are mentioned below for easy
reference. This is purely suggestive and not restrictive; and would vary depending on the nature of your
project.

1. Marketing: Product Planning Process; Pricing Policies/Strategies; Channel Planning & Management;
Promotional Policies & their effect on sales; CRM Policies; Advertisement Process etc.

2. HRM: HR Planning; Recruitment, Selection & Induction Processes; Training, Performance


Appraisal & Recognition Systems; Industrial Relations, Welfare, Career Development & Griev ance
Handling Policies; Safety Policies & Practices etc.

3. Production & Operations: Production & Procurement Planning; Supply Chain Management such as
Vendor Development, Logistics, Inventory Management; Quality Assurance & Quality Control;
Maintenance Practices etc.

4. Finance: Analysis of Balance Sheet, Trading, Profit & Loss Statements, Cash Flow Statements of
the company and comments of at least two years; capital structure of firm, various aspects of
financial management of company such as Capital Budgeting, Working Capital Management, etc.

5. Use of ITeS: Use of information technology in the organizational processes such as ERP systems,
Web based technologies and degree of automation & transparency.

Chapter 4: Responsibilities, Deliverables, Analysis and Findings

One of the most important chapters in your report. In this chapter, you are expected to elaborate the work
that you have done. Outline the project/s, the team that you were working with and the exact nature of the
work that you carried out. Do highlight the key deliverables, your contributions, and achievements if any.
Mention how you drew inferences from the data outlined in the previous chapters and how you fulfilled the
responsibilities that were assigned. Once again seek active help from your faculty mentor as required. Focus
on the presentation of the inferences supported by facts and figures in narrative form and make sure that the
sequence of the results be consistent with the analysis presented.

Chapter 5: Conclusions, Overall Learning and Recommendations

Chapter 5 is essentially a self-reflection of your association with your internship company. An indicative
(suggestive but not exhaustive) guide to the lessons learnt is provided below.

1. Comment on your experience about the working environment in the company.

2. Briefly explain the practical knowledge you gained during your summer training in terms of
practices followed by the company in different functional areas of management.

3. Uniqueness (positive or negative) of practices which you have observed, and it is going to help in
your career in future.
4. Conclusions should be substantiated by the study done during the project period through analysis and
interpretation of the data collected. It would be helpful to the reader / Company if alternatives are
suggested. Remember, conclusions are and not limited to drawing the threads together of the
arguments, do also examine whether the aims have been achieved.

5. Recommendations are normally directed to those individuals / organizations, who are in position to
consider them for implementation purpose.

4. Additional Information

2. List of Tables & Illustrations

Tables, Figures, Diagrams included in the Report should be listed in the beginning and should be numbered
clearly using numbering system adopted in the main body / text of the Report. For specimen on ‘List of Tables &
Illustrations’ – Please see ‘List of Tables & Illustrations – specimen’ attached.

3. Abbreviations

The abbreviations should be listed in an alphabetical order with respective expanded forms, e.g.
FAQ : Frequently Asked Questions
GPS : Global Positioning System
HOD : Head of Department
MOD : Ministry of Defense

4. Appendices

The contents of the appendix are essentially those which support or elaborate the matter in the main report. The
matter which is not essential to the main findings but related is generally presented in the Appendix. For
example, Questionnaire, Flow Charts, Computations etc. Add in an appendix with roper referencing to the text if
necessary.

5. References

Important Note
The quality of work and conduct during the internship both would have weightage. Mentor faculty would have the
authority to award marks beyond 10 for exceptional students, basis their conduct and also have similar authority to
penalize students in case they conduct themselves in an unprofessional manner.
