LESSON 10

What is MS Word?
MS Word is a widely used word processing software developed by Microsoft. It offers a range of
tools and features that enable users to create, edit, and format documents with ease. It provides a
user-friendly interface and is part of the Microsoft Office suite, making it compatible with other
Microsoft Office applications.

Features of Word Processing:

Word processing in MS Word comes with several powerful features that enhance document
creation and editing. Some key features include:

Text Formatting: MS Word allows users to format text in various ways, such as changing the
font, size, color, and style. It provides options for bold, italic, underline, and strikethrough, among
others.
Page Layout: Users can control the layout of their documents by adjusting margins, setting up
headers and footers, adding page numbers, and applying different page orientations (portrait or
landscape).
Spell and Grammar Check: MS Word includes a built-in spell checker that automatically
highlights misspelled words and suggests corrections. It also offers grammar checking to help users
maintain proper language usage.
Tables and Charts: Users can create tables to organize data and present it in a structured format.
Additionally, MS Word allows the insertion of charts and graphs to visually represent data.
Collaboration and Sharing: MS Word facilitates collaboration by allowing multiple users to
work on a document simultaneously. It also supports document sharing and version control
features.
Templates: MS Word offers a wide range of pre-designed templates for various document types,
such as resumes, letters, reports, and newsletters. These templates provide a starting point and save
time when creating new documents.
Automation: MS Word provides automation features like mail merge, which enables the
generation of personalized documents from a database or spreadsheet.
How Word Processing Works Using MS Word:
Word processing in MS Word follows a straightforward workflow. Here is a general overview of
the process:

Creating a New Document: Users can start by creating a new document from scratch or using a
pre-designed template.
Adding Text: Users can enter and edit text using the keyboard or by copying and pasting from
other sources. Text can be formatted using various options available in the toolbar or the Format
menu.
Formatting and Styling: MS Word offers a wide range of formatting options to style the text,
including font selection, size adjustment, alignment, indentation, and paragraph spacing.
Inserting Elements: Users can insert various elements like images, shapes, tables, charts, and
symbols into their documents. These elements can be positioned and resized as needed.
Saving and Printing: MS Word provides the option to save documents in various formats (e.g.,
.docx, .pdf, .txt) and allows users to set printing preferences, such as paper size, orientation, and
page range.
Collaboration and Sharing: MS Word enables users to collaborate with others by sharing
documents via email or cloud storage platforms. Users can track changes made by different
collaborators and accept or reject modifications.
Review and Finalizing: Before finalizing the document, users can review it for spelling and
grammar errors using the built-in checking tools. They can also adjust the layout, add headers and
footers, insert page numbers, and apply other finishing touches.

Changing Word Views:

MS Word offers different views to cater to various user preferences and document requirements.
Some common views include:

Print Layout View: This view displays the document as it would appear when printed, including
headers, footers, and margins.
Full-Screen Reading View: In this view, the document occupies the entire screen, making it easier
to read and review without distractions.
Web Layout View: This view is optimized for viewing documents as web pages, with a layout
similar to what would be seen in a web browser.
Outline View: The outline view presents a structured outline of the document, allowing users to
organize and navigate through headings and subheadings.
Draft View: This view displays the document without showing page formatting, allowing users to
focus solely on the content.
Users can switch between these views by selecting the desired view option from the View tab on
the MS Word ribbon.
