First Steps
1. Open theTank Inspection sheet.
2. Open View Menu. Then open header and footer view. Add zone id to top of spreadsheet. Save the
changes.
3. Save the spreadsheet file as Tank Inspection - blank form .xls. Each month, open Blank Drum
Inspection.xls and save as a new file as Tank Inspections - date of inspections as month year. Repeat this step
each month to create a new set of inventory inspection sheets by zone.
Second Steps
1. Open the "Blank Form" tab.
2. Print out and complete the date of inspection and name of inspector before heading out.
3. Fill in the column with information requested. Open the "Example Instruction Form" tab if you are unsure
of what to fill in and look at during your inspection.
4. Tank ID number is the unique number assigned to the tank or associated generator by Asset
Management. It is included on all work and purchase orders.
5. Describe where the tank is located. Be accurate. Examples include outside west wall of food services
building or west of F&S complex..
6. List what the tank holds such as diesel, kerosene, used cooking oil, used motor oil, virgin oil or diesel.
7. Circle the correct answer to each questions. A 'NO" answer means some is wrong and must be noted in
the comment section along with a solution. A "yes" answer means nothing is wrong.
8. When the "NO" answer has been corrected, note the date and action in the 'Resolution" column. Do not
allow the resolution column to remain blank for more than 30 days. The statement "No action is planned
until 10/2/2013 is better than a blank space.
9. Fax a copy of the completed signed Inspection Form and pictures to the EHS Department using
fax number 407-823-1291 or e-mail jennifer.hill@ucf.edu

Notes:
1. Record the asset management id number in the upper right hand corner of the page.
2. Tank contents and fire safety diamond must be visible at least 3 feet away so fire department can respond safety.
3. Use extended reach wand to check underneath or behind tanks with limited clearance.
4. If applicable, print interstitial probe test receipt.
5. Circle the answer to each questions that most accurately reflects what you see. Notes at the bottom of the inspection form
discuss what to look for and how to describe what you see. A "yes" answer means nothing is wrong with the item in question.
A "NO" answer means sometime is wrong with the item in question and the details must be noted in the Comment column of
the Inspection form.
6. When the "NO" answer has been corrected, the date and solution description goes into the 'Resolution" column. Do not
allow the resolution column to remain blank for more than 30 days. The statement "No action is planned until 10/2/2013." is
better than a blank space.
7. Fax a copy of the completed signed Inspection Form and pictures to the EHS Department using fax number 407-823-1291 or
