Writing an Effective Proposal

What is a Proposal?

• Proposals initiates new projects, provide fresh ideas,


solve problem, prompt innovative strategies and uplift
and update the situation.

• Proposals are written offers to initiate a proposed course of


action.

• what makes a proposal a proposal is that it asks the


audience to approve, fund, or grant permission to do the
proposed project.
Definition

• The word Proposal is derived from the verb Propose that


means ‘To Offer or to put forward for consideration, as a
suggestion, plan or purpose.’

• The proposal is a suggestive plan of future task where


the proposer aims at getting the acceptance or the
approval of the authorities.
PROPOSAL
• “A Proposal is a written offer to solve a
technical problem or to undertake a
project of practical or theoretical
nature.”
• “Proposals serve to review and improve
existing products and services to meet
the ever increasing and complex
demands of day to day competitive
business environment.”
Importance of Proposals
• Proposals like reports are valuable records of
information in an organization.
• They act a an index of the company’s growth or
progress.
• Successful proposals give financial returns to
the organization.
• They help promote various research activities
that are vital for the individual, organization or
government.

• Proposals attempt to win contracts for the


company undertaking the project.
• Proposal writing develops certain
favorable and useful skills such as
communicative, persuasive and
organizational skills.
• It also enhances the power of estimation,
judgment and discrimination in a writer.
Types of Proposals
The basic types of Proposals are:
• Sales – They are also known as business proposals.
They are sent outside the company to potential clients
or customers.
• Research- They are usually academic in nature and
mostly solicited. Sent by academicians in response to
vacant research positions. The language varies
according to country to which it is sent.
• Technical- Proposal related to the technical
knowledge, skills, technique, machine and machinery
is known to be a technical proposal.

It can be :
(kinds)
• Internal- (within an organization). If you
write a proposal to someone within your
organization, it is an internal proposal.
Writer prepares the proposal with this
motive to convince the person or authority
to allow him to implement his ideas.
These are submitted within the company.

• External proposal: is one written from one


separate, independent organization or
individual to another such entity. A
proposal written by a firm in order to win
contracts for work is known as the
external Proposal.
• Solicited proposal: If a proposal is solicited, the recipient
of the proposal in some way requested the proposal.
Typically, a company will send out requests for
proposals (public announcements requesting proposals
for a specific project ) through the mail or publish them
in some news source.

• Unsolicited proposals: This type of proposal is


developed by an individual without being asked or
without any external encouragement. Here proposer
tries hard to rouse the interest of the people to whom he
has sent his proposal.
PURPOSES OF WRITING A PROPOSAL

• To construct –
(parking lots, buildings, bridges, highways- development.
• To Modernize
• To buy/ sell (idea/property.)
• To survey areas of possible resources.
• To include Technology and enhance procedures of an
organization.
• To provide services.
• To conduct research.
• To enhance/ bring change in systems.(for
improvement)
Characteristics

AIDA
 The proposer highlights the benefits and advantages that
can attracts the attention of the authority.
 It should have interesting ideas, innovative plans,
schemes so that it can be read thoroughly.
 It should generated a desire to accept the proposal
immediately.
 It should be action oriented to convince the man concern
and provoke to take a action as soon as possible on it.
 Always make sure that your proposal meets the
expectations of the funder.
Characteristics of Proposal

• Appropriate Decision Maker


• It is more creative than other forms of professional
writing
• Client oriented
• Neat and attractive
• Anticipates probable problems and reasons and then
gives solution
• Plain , direct and unambiguous
Structure/ lay out of a Proposal

• Cover page

• List of tables / figures
• Executive
summary(Abstract/summary)
2. Body of Proposal

Introduction/ Technical section :

 Statement of the Problem


 Need
 Background
 Objectives and purposes
 Scope and limitation
 Methodology /plan of attack
Management section:
It describes the project team or the personnel who
will work directly on the project. All details
should be mentioned in this section.
 Sequence of Activities in detail.
 Equipment, facilities, products available and
required as per need.
 Personnel qualifications (education,
experience, achievement, other relevant
information)
 Time required for the completion.
• This section is managed by 3 main units-
i. DESIGN UNIT
ii. MATERIAL UNIT
iii.CO-ORDINATION UNIT

Management unit also looks after-

i. FACILITIES AVAILABLE
ii. FACILITIES REQUIRED
Cost estimate/ Finance section:

 It includes a chart of anticipated expenditure.


 It provides a detailed account of the amount
required for several items such as equipment,
lab testing, salaries of personnel, wages of the
labors, or project team.
 It also gives the details of the expenditure on
infrastructural facilities like building, water,
electricity, machines and so on.
 It helps the reader and ensure one about the
success of the project
COST ESTIMATE

Conclusion:

• The last section provides a final


opportunity for the provider to re-
emphasize and persuade the recipient that

material, expertise and enthusiasm to
accomplish the project.
