    Respected Sir,
    Our College Student Forum has decided to arrange Gathering in our College on …………...
    There is lots of Hidden Artistic minds in our College, To ignite the hidden talents we planned
    to organize a gathering in our college. The main reason of this event is to give the platform to our
    students to show their extracurricular skills and talents.
    In this events we are going to take inter-college competition of singing, dance, drama, poem
    like audio visual plays. Our students and all staff will enjoy this event. We also planned to invite
    few Professional Artists.
    We would like to hold the event on ………… .from 5:00PM 9:00PM. We seek your permission
    to host this event for following. (agenda is attached with this letter)

    Agenda:

    1) At the end of the December we will notify all our students about gathering, so they will start
    preparation.
    2) One week before participants will begin their final rehearsals.
    3) Two day before the gathering day we will carry auditions in one of our seminar hall to verify
    the content of our participants.
    4) One day before stage building and sitting arrangement team will begin to their work.
    5) Inauguration of the gathering on 5:00 to 5:10 PM on the day of gathering.
    6) Sports Price distribution from 5:10 to 5:25PM.
    7) Main part of the gathering (dance, drama, singing, poems) will start on 5:25PM
    8) Gathering Price Distribution From 8:40 to 9:00 PM.
    9) Thanks giving and end of the program 9:00 PM

    We would like to inform you that since it is a Entertainment and talent show program there
    will be loud music but we assure you of full decorum by our Students and well disciplined.. We
    understand that there would be a cost attached to this event and will be used with your advice. We
    hope you will give us the permission requested.

     College Ground/Public School’s Ground
     1000 Chairs (Outsourcing if unavailable in college)
     Stage and Stage lightning,
     External Sound system/DJ
     Permission for use of any of the Seminar Hall and Sound system for Rehearsals of
    participants.
     Permission for boys and girls From their respective hostel to do the rehearsals. (Participants
    will not disturb their hostel friends as they will practice without music system in hostel)
     Permission for building temporary stage in college campus.
