Assumptions
 An improvement regarding the inventory system and purchasing method is needed.
 The management is not equipped to take-in large number of buses in a short span of time.

Problems
General: Flawed System
Specific: The maintenance department of motorbus company is implementing an old way of
purchasing materials by sending a request and waiting for a period of time to avail, this system
causes delay of works and piling of requests.

Objective
 To make the operations within the Maintenance Department as efficient and effective as
possible.
 To implement a systematized method of purchasing various supplies of different materials and
parts.
 To minimize the financial losses of the company due to malfunctioning motorbuses.

SWOT Analysis
Strength:
 Engineer Ancheta being a newly fresh grad, he probably have new strategies or ideas.
 Quantity of bus units operating.
Weakness:
 Mismanaged maintenance department.
 Lack of maintenance personal as well as mechanics and assistants.
 Method of purchasing items.
 Delays in the delivery of the items.
 Mismanaged inventory.
Opportunity:
 Adopting a more improved maintenance system thru new technologies.
 Accessories on bus units like TV, air conditioners, comfortable seats, and electrical outlets
Threat:
 Other companies might have more manpower in their department that handles each problem
accordingly.
 Other companies with high technology systems on maintenance department.
 Other companies with well-organized systems.

Summary of Findings
Engr. Ancheta needs to make the operation of the maintenance department more efficient and
effective. But due to numerous problems encountered by Engr. Ancheta such as improper
management of stocking system of materials, the delay of the delivery causes by the method of
purchasing, and unstable ratio of mechanics and assistants to number of buses gives
complication on the operation. In that case, an improvement regarding the inventory system is
needed and Engr. Ancheta must change the purchasing method due to the fact that the
management is not equipped to take-in large number of buses in a short span of time.

Recommendations
1. Consider the capabilities and commitment of the in-charge personnel on his duty under any
circumstances.
2. Involve other people in the planning process, for they will provide more information and
multiple recommendations regarding various conflicts at work.
3. Ensure the firmness of the established strategy about the potential improvements and
additional modifications regarding the operations of the company.
4. Parts that are usually the utmost needed should be purchased and recorded properly,
specifying enough details with regards to the quantity in order to prevent having an excessive
amount of stocks.
5. Indicate the period of time a machine part will be out of stock in order to avoid an interruption
of filing requests in maintaining the supplies.
