Routine Tasks

A secretary might be the first person a client meets upon entering an office, so she must
create a positive impression. To do that portion of her job, she must have good
communication skills. Those skills are also essential as she answers the telephone and
directs customer calls to the appropriate person. Handling incoming mail, both paper and
electronic, is often part of the secretary’s job. The secretary might need to take dictation,
either with shorthand or by machine, and transcribe the information. She routinely stocks
supplies used in the office and is responsible for ordering new materials as needed. In
addition to these general duties, the secretary often has specific tasks that she must
complete on a daily basis.

Technology
Technology plays an important role in the life of a 21st century secretary. She must
master computer word processing and spreadsheet programs. She must be familiar with
search programs on the Internet, as well as any software her company routinely uses.
Fax machines, photocopiers and phone systems are just a few of the other technological
tools a secretary uses to perform her duties.

Multitasking Skills
A secretary must have excellent organizational skills and multitasking capabilities. For
example, she might be working on a project for her boss when a client calls or stops by
the office. She must immediately stop what she’s doing so she can give the client her
undivided attention. During that time, she might have to produce documents the client
asks for or supply information he requests. In another scenario, the secretary might be
performing routine filing tasks when she’s asked to generate a particular report for her
boss. The secretary must be able to pick up the other project where she left it when she
was interrupted so she can complete that task as well.

Types of Secretaries
Secretarial job objectives change as the tasks become more specific. Executive
secretaries have supervisory responsibilities over other secretarial staff as well as more
challenging tasks to perform. An executive secretary might conduct research, prepare
reports and arrange meetings. Legal secretaries must be familiar with legal terminology
and procedures and help their supervisors research and review legal journals for cases.
Additionally, a legal secretary prepares motions, subpoenas, complaints and other legal
documents under the guidance of a paralegal or a lawyer. Medical secretaries handle
medical reports, take simple medical histories and arrange hospitalization for patients.
They need a thorough knowledge of medical terminology, billing practices, insurance
rules and procedures
