Task 3 Part A&C Implementation Plan

The implementation plan outlines steps to successfully complete implementation activities for an IT project at Amazonia, including acquiring necessary resources like staff and hardware/software. Key performance measures include tracking the project's budget, hours worked, and milestone completion against estimates to monitor progress and address underperformance. The monthly budget report for May 2020 shows several line items under budget like advertising and delivery costs, but over budget expenses like cash discounts, resulting in a $6,000 net loss for the month.

ASSESSMENT TASK 3

Implement and Monitor Performance

Part A: Planning for Implementation

Implementation plan is the act of carrying out or executing a plan, process or method. It’s the
action that must follow any thinking on a review or set of recommendations to ensure it
happens. An implementation plan, therefore, is the documented steps we need to take to
successfully complete our implementation activities.

BUDGET PERFORMANCE AND PROFIT
The Profit and Loss by Budget Performance Report lines up the forecasted budget alongside the
actual numbers over a specific financial period. This allows you to easily see what ‘budget
items’ went as expected, which outperformed expectations and which did not meet
expectations.
By looking at this report with our management team, we can quickly see where we missed the
mark and understand how we deviated from the original plan.

MONITORING AND MEASURING OPERATIONAL PERFORMANCE

Monitoring helps us to measure progress towards our goals and compare actual results with
planned performance. We must be able to use control techniques to identify potential
problems and take corrective action to keep operations on target.
According to Monthly Budget May 2020 in Budget Plan Table below, we can see that there are
still many minus amounts caused by the expenses, for example, sales expenses and cash
discount. To achieve efficiency of the budget, we actually can reduce the operational expenses
for sales staff and cut the discount, as the Net Sales was minus up to $6.000,00. All sales activity
will be monitored and measured by Finance Controller and a pointed Manager.

DATA AND RECORD KEEPING PROCESSES

Record management is an organizational function devoted to the management of information
in an organization throughout its life cycle, from the time creation to its eventual disposition.
There are five steps to help in creating a simple financial record-keeping system:
1. Capture the information: keeping track of every amount we spend on our business and
every amount we take in as sales.
2. Check: to make sure the information is complete and correct.
3. Record: means putting all the financial information into a usable form or input it into an
accounting software.
4. Consolidate and review the information.
5. Act based on what we know.
