ABSTRACT

This research focused on the Design and Implementation of Automated


Students School Fees Payment using Abdu Gusau State Polytechnic,
T/Mafara as a case study. It aims at creating a system whereby student’s
school fees can be logged into the school’s bank account electronically.
The manual system of paying school fees had to do with physical handing
over of cash or money paid by students to the school which was
dangerous and prone to armed banditry. The new system enables cash to
be transferred from the bank to the school bank account which is faster
and safer than doing it manually. With this method, the bursary
department/school management is being relieved from some financial
antagonisms and having the total satisfaction to acumen. Data for this
research were both from primary and secondary sources, which include,
books, journals, internet, school vouchers and of course the interviews.

CHAPTER ONE
INTRODUCTION
1.1 BACKGROUND OF THE STUDY
The essence for one going to school is for better survival tomorrow wherein becoming
what he or she is capable of becoming what he or she wants in life. And the desire of
knowledge is the natural feeling of mankind and every human being whose mind is not
debauched will be willing to give all that is required of him or her to get knowledge.
It is on this basic idea that knowledge oriented organization (school) has been set up as a
ground for people to go in and learn in respond to paying for their acquired – knowledge
for tomorrow’s success.
According to Oxford Dictionary of Current (6 th Edition), fee is defined as an amount of
money that one pay for professional services.
Simply put, school fee is that fixed interval payment made by a student or students to the
school he or she attends.
From the definition, one can outline that school fee payment supposed to be in a regular
interval that is timely, although sometime may not be that ready by the student due to
some financial lapses.
Financial lapses poses a lot of problems to school management because of some pressing
needs. However, when students refuse to pay their school fees on time the school
management seems to lack money in the purse which at this render the management
ineffective.
Apart from the management being ineffective financially, students also face barriers by
not being allowed to write their examinations which is one of the academic frustration or
setback. Using computer – based system for fees payment necessitated this research in
order to help solve this problems of either delayed fee payment, or the student not paying
at all or the fee being misused/mismanaged or entangled with criminal attack either on
the side of student at the course of payment or the side of bursary department/school
management.

Using Abdu Gusau Polytechnic, T/Mafara as a case study, the research has the intention
of creating a software that could process students school fees payment to Abdu Gusau
Polytechnic bank accounts and electronically lodging individual students fees indicating
name, department, registration number, level/class, date of payment, amount of money
paid, academic session/semester/ bank’s name, account number, phone number, school
name and other personal records etc. This will enhance prompt payment and safe delivery
and automatically stop the management and students from being frustrated financially
and otherwise.
Before, now, people/students often embraced technological changes with the fear of the
unknown and as such decided to carryout activities their usual way (manually).
However, the 21st century came with a lot of challenges that only the use of computer can
solve problem effectively. Electronic/Automated payment of student school fees in any
school would boost the school management morale and therefore increase productivity.
However, this supports the mash low’s theory of management which is of the view that
metrication of an organization financially will bring increase in productivity.
1.2 PROBLEM OF THE EXISTING SYSTEM
The problems encountered with the manual method of school fees payment is viewed

manual uses of keeping student payment record some book record files could

time information may not even be located. Due to in ability of central database
and updating of files.

1.3 AIM AND OBJECTIVES OF THE STUDY
The aim of this study is to determine the relationship between the manual and automated
student school fees payment system in Abdu Gusau Polytechnic. The objective of this
study is to create an automated-based system for students school fee payment
 To determine the conversion of manual system of school fees payment to
computerized/automated method to ease the stress of students information
processing during payment.
1.4 SCOPE AND LIMITATIONS
The project covers only the automated student’s school fees payment for Abdu Gusau
polytechnic.
1.5 SIGNIFICANCE 0F THE STUDY
This research work would help the management and students of Abdu Gusau Polytechnic
to have a crucial step for school payment to improve the school management to
understand the value of automated system and keep looking for successful turnaround
education solutions that put them on a course for success. This smart software enable
administrators to streamline fee collection including creating fee structures based on
based on various combinations and departments for every student, collecting payments,
generating receipts, and tracking these records in real-time. Innovative fee software
reduces staff workload and help educational institutions to operate at the highest level of
efficiency. This hop school management to take the important step that is beneficial to
student and Management.

1.6 DEFINITION OF TERMS

To do away with ambiguity, the following terms are hereby defined for easy
comprehension.
i. Design: In this context, it has to do with the coding of the program (software).
ii. Fee: A fixed regular amount of money made by the school
organization/management to a student.
iii. Automated Payment: This is also known as electronic/computerized payment.
It is the introduction of computer for easy disbursement of student fee payment
to the school management/organization.
iv. Basic Fee: It is fixed payment by students based on their level/class or
programme offers.
v. Sum Total Pay: This is the amount gotten by summing all the fees paid
together.
vi. Total/Grand Total: This is the overall amount of money which a student or
students has to pay before official clearance for graduation. It is also the total
fee-based analysis/report which must be made at the bursary department to the
school management and that of bank to justify student’s fees total inflow for
decision making.
vii. File: This can be defined as complete collection of related records or
information.
viii. Data Base: This is a collection of data organized to service many application at
the same time by storing and managing data so that they appears to be in one
location.
ix. Computer: This is an electronic device or programmable machine that is
capable of accepting data as input, process the data, store them and sent out the
result of the processing as output according to logical instruction given by the
user.

2.1 INTRODUCTION
This aims at reviewing the relevant literature on this research topic, it intends to consider
the suggestion, ideas, citations and comments of various authors and professionals on the
concept and implementation of Automated Students School Fees Payment System. The

2.1.1 Automated Students School Fees Payment: An Overview
Change is inevitable especially in a rapid evolving world but as the growth, pace and the
structure of an economy changes so does the payment systems required to facilitate
transactions in that economy. This is in line with Nigeria push to keep its payment system
with international practices and standards by leveraging the modern technology.
(Tamuno, 2003).

In order to meet up with developed nations, automated payment becomes the answer.
According to Nwankpa (2009), automated or electronic payment defined as a subset of an
e-commerce or computerized transaction to include machine payment for buying and
selling of goods and services offered through the internet.
Generally, people think of automated payment as referring to online transactions on the
internet, these are actually forms of e-payments. As technology is developing the range of
devices and processes for electronic transaction continues to increase while the
percentage of cash and cheque continue to decrease.

Andrian (2008) posits that in the US, for example, cheque have declined from 85% of
non – cash payment in 1979 to 59% in 2002, and automated or e- payments have grown
to 41%. The internet has the potentials to become the most active trade intermediary
within a disable. Also internet shopping revolutionizes by allowing customers to sit in
their homes and buy enormous variety of products and services from all over the world.
Commenting on automated payment system; (Adeyinka, 2008) postulates that automated
payment system intermediation in Nigeria has continued to make steady progress towards
ensuring full banking transaction automation with the value of automated payment
system rising to N 360 million in 2008. He noted that the increase in the adoption of the
electronic model is not only driven by the need for electronic services but also by the core
and speedy update of new technologies by Nigeria.
Experts says that with the mass market in Nigeria constituting about 70 percent of the
nation’s gross domestic product (GDP) the impact of deploying cards and other electronic
mode of banking operation in the country has led to increased reach, as customers can
now have access to their bank account even at the location where banks are not located
through electronic banking models.
According to Eboh (2009), the introduction of various electronic models has led to low
operational costs, increased operation efficiency, removing cost of cash transactions,
multi-card and multiplication availability reduced congestions in banking halls amongst
others.
Speaking to business day in an interview Mitchel Elegbe, managing director, inters-
witch, a payment solution platform provider with Nigerian banks on its platform
confirmed that, the network has witnessed increased transactions with the high level of
adoption of technology by Nigerians.
In payment of school fees, automated system has also been one of the immense benefits
in that through the school’s bank account, money (student fees paid) are automatically
transferred irrespective of the school bank. Here, there is no physical involvement of cash
which makes it safer and dependable.

According to Oduyemi (2009), automated payment of students school fees showcase the
joy over the trends in that the student have been relieved of the stress of having to visit
bursary and queue to pay their school fees. Now, the trends are just the transport to the
bank location to pay their fees and taking the teller to the bursary to exchange for receipt
which will properly indicate an evident that fee has been paid by the particular student
2.2 COMPUTERIZED SYSTEM
Computerized systems are automated, and calculations are handled by software,
eliminating possible errors and saving time. For example, automatic processing of
invoices makes accounting less time-consuming. Computerized systems are designed for
accuracy to the smallest detail. Once the data is entered into the system, calculations for
functions such as payroll and billing are performed quickly and efficiently by accounting
software programs.

Computerized systems make it easier for different individuals to access data even outside
the office. One can access accounting records quickly without having to sift through
stacks of files. Accuracy of calculations of computerized system ensures reliability of
financial statements prepared by computers. Computerized system store data in off-site
locations, ensuring safety from natural and man-made disasters such as fires.

2.3 TYPES OF AUTOMATED PAYMENT


1. Mobile Payment: According to Nwankpa (2009), Mobile payment also referred
to as mobile money, mobile money transfer generally refer to payment services operated
under financial regulation and perform from or via mobile device.
2. Financial Service Kiosks: Companies and service providers in several countries
including Singapore and US, have set up kiosks to enable financial and non – financial
transactions. These kiosks are fixed stations with phone connection where the customer
usually uses a keyboard and television like screen to transact or to assess information.

3. Biometric Payments: Automated payment using biometrics are still largely in
their infancy trials are underway in the United States, Australia and a limited number of
other countries. Most biometric payments involves using finger prints as the
identification and assess tool, companies like visa international are piloting voice
recognition technology and retina scans are also under consideration.
Essentially, a biometric identifiers such as a finger print or voice could replace the plastic
card and more securely identifies the person undertaking the transaction. The automated
payment is still changed to a credit card of other account, with the biometric identifier
replacing the card, check for other transaction mechanism.
4. Automated Payment Networks: Various countries have automated payments
networks that consumer can use to make payments electronically. ACH (Automated
Clearing House) in the US, domestic networks enable automated payment between
business and between individuals. The consumer can go online, to a financial service
kiosk or use other front end devices to assess their account and make payment to business
or other individuals.
2.4 CHALLENGES OF AUTOMATED STUDENTS’ SCHOOL FEES PAYMENT
IN ABDU GUSAU POLYTECHNIC
Automated school fees payment system, has come to stay. However, there are some
challenges attracted to it, even though most to these challenges are peculiar to the school
management.
Some of these challenges are analyzed below:
1. Transportation/Due Process: At the course of a student to get his or her school fee
paid it is required of him or her to get to the bank location through paying an extra
money for the transportation. Also, students are expected to pass through due
process (normal way/criteria) while paying their fees or before getting their fees
receipts from the school bursary department.
2. Financial Fraud/Error in Operation: Automated fees payment, like any other
electronic –based system, is prone to fraud and error in operation. This implies that

computer operators in the banks who collects these fees from students should be
very careful in their transactions while keying in the students identities in order to
avoid mistakes or wrong coding or money divert to another one else’s account.
3. System Breakdown/Network Fluctuation: Automated payment systems are
usually networked. When there is network failure or breakdown, the system would
not function and as such its aims is not achieved.
4. Late Returning of Teller by the Student/Unavailability of Bursary Attendant:
Evidence of school fee payment is the indication of school fee receipt of the current
academic year. The failure of the student to produce the receipt on demand shows
that the student has not paid the required fee and as such the student may be
disallowed from taking examination.
2.5 IMPACTS OF AUTOMATED STUDENTS SCHOOL FEES PAYMENT
SYSTEM IN ABDU GUSAU POLYTECHNIC
The major advantages of automated student school fees payment are as follows:
1. Conveniences: The convenience of using automated fees payment system is the
major advantage derived by both students and management.
2. Speed: Using automated payment system is very fast because most of its steps
involve the use of computers, which has advantage of speed over manual method.
3. Security: Security has to do with the ability of automated systems to safeguard
financial transaction and customer’s information/data.
4. Productivity: The advantage of automated fees payment system is that it will to
speed up the school management duties for the effective progress and development
in the school system. It also provide job opportunity for computer literates.
5. Storage: Records of transaction are safe since all transactions are stored in a
database of the automated system for reference in terms of any illegalities.

CHAPTER THREE
RESEARCH METHODOLOGY
3.1 METHODOLOGY
In this research project, the software development used is a waterfall model, which states
that the phases are organized in a linear order. The project begins with feasibility analysis
on the successful demonstration of the feasibility analysis, the requirements analysis and
project planning begins. The design starts after the requirements analysis is done. And
coding begins after the design is done. Once the programming is completed, the code is
integrated and testing is done. On successful completion of testing, the system is
installed. After this, the regular operation and maintenance of the system takes place the
following figure demonstrates the steps involved in waterfall life cycle model.

However, with the waterfall model, the activities performed in a software development of
this project are requirements analysis, project planning, system design, detailed designs,
coding and unit testing, system integration and testing. Linear ordering of activities has
some important consequences. First, to clearly identify the end of a phase and beginning
employed at the end of each phase. This is usually by some verification and validation.
Verification means confirming the output of a phase is consistent with its input (which is
the output of the previous phase) and that the output of the phase is consistent with
overall requirements of the system.

Therefore, as a matter of fact, the output of this research project employed the waterfall
model as it is not just the final program along with documentation to use it. But also
number of intermediate outputs, which must be produced in order to produce a successful
project meeting the efficiency, stages and activities well defined and easy in operation.
3.2 METHODS OF DATA COLLECTION
The research work is centered on one technique which is.
Observation Method
Observation method is way of gathering data by watching behaviour, events, and physical
characteristics in their natural setting, observations can be convert (if any one knows they
are being observed and the observer is concealed) the benefit of concert observation is
that people are more likely to behave naturally if they know they are being observed.
However, you will typically need to conduct covert observations because of ethical
problems related to concealing your observation. Observation can either be direct or
indirect. Direct observation is when you watch interactions processes, or behaviours as
they occur, for example when you look vividly on the process of manual payment of
school fees, the stress involve can be detect and you can suggest the possible solution to
it. I used direct and indirect observations. Indirect observations are when you watch the
results of interactions, processes, or behavours, e.g. measuring the amount of line waste
during student school fees payment.

i. This can be occur when you are trying to understand an ongoing process or
situation. Through observation or situation that you are evaluating as it occur.
ii. When you are gathering data on individual behaviours or interactions between
people.
iii. When you need to know about a physical setting. Seeing the place or
environment where something takes place can help increase your
understanding of the event, activity, or situation you are evaluating.

FINDINGS
Some of the problems identified in the present system include:
(a) The speed of processing data manually is low and prone to errors.

(b) So many files, papers, drawers, filing cabinets are many. These occupy space
and makes data transfer cumbersome.
(c) There are no adequate security measures employed in any manual system of
data processing and storage. As a result of this, some confidential files and
documents could consciously or unconsciously be exposed and these files are
not properly checked and restricted.
(d) Slow and inefficient database system which lacks cohesion and
Consistency.
(e) The lack of a central database that is directly accessible by staff and
management in its decision-making procedures.

3.5 SYSTEM REQUIREMENT


This has to do with that which is required for the system for the effective functioning of
the system, this requirement can be viewed from a software and hardware perspective,
the hardware requirement has to do with the physical component that are required and the
software requirement has to do with all that is required from a software level.

MySQL

SQL stands for Structured Query Language. It is the most common language used for

accessing a database. It has been in use for many years by many database vendors. Many

consider it the best database language to use. Without going into the technical details,

SQL is a language which consists of a set of commands that you issue to create, make

changes to, and retrieve data from a database. Commands can be issued through a

Graphical User Interface or by embedding them in a computer program that you write.

MySQL is an implementation of the SQL language developed by TcX. It is robust, quick,

and very flexible. It provides all of the standard SQL datatypes and commands. M

MySQL is the database construct that enables Apache to work together to access and

display data in a readable format to a browser. It is a Structured Query Language server

designed for heavy loads and processing of complex queries. As a relational database

system, MySQL allows many different tables to be joined together for maximum

efficiency and speed. For this project we uses version 4.0.15a. Some of the more popular

features of MySQL are as follows:

i. Multiple CPUs usable through kernel threads.

ii. Multi-platform operation.

iii. Numerous column types cover virtually every type of data.

iv. Group functions for mathematical calculations and sorting.

v. Commands that allow information about the databases to be easily and succinctly

shown to the administrator.

vi. Function names that do not affect table or column names.

vii. A password and user verification system for added security.

viii. Up to 32 indexes per table permitted; this feature has been successfully

implemented at levels of 60,000 tables and 5,000,000,000 rows.

ix. International error reporting usable in many different countries.

MySQL is the perfect choice for providing data via the Internet because of its ability to

handle heavy loads and its advanced security measures.

REASONS WHY THIS SOFTWARE IS REQUIRED:

 It is fast, easy to use, and used for many database on website. My SQL handles

database up to 50 million rows or more.

 It is customizable: the open source GPL license allow programmers to modify

my SQL software to fit their own specific environment.

 Its secure : My SQLs flexible system of authorization allow some or all database

privileges, ( for example privilege to create database or delete data).

C# (“C SHARP”) is one of many .NET programming languages.It is object-oriented and

allows you to build reusable components for a wide variety of application types

Microsoft. It is a multi-paradigm programming language encompassing strong

typing,imperative,declarative,functional,generic,object-oriented(class-based), and

component-oriented programming disciplines.

ANTIVIRUS SOFTWARE is required to protect the software against virus and

malware that cause popup and unwanted ads (files).Antivirus is a must for all PCs,

without it, you risk losing your personal information and files. It is a program or

computer software used to prevent, search for, detect, and remove malicious software.

3.5.2 HARDWARE REQUIREMENT

Personal Computer (PC):is a general-purpose computer whose size, capabilities, and

price make it feasible for individual use. PCs are intended to be operated directly by an

end user with only a general knowledge of computers, rather than by a computer expert

or technician. "Computers were invented to 'compute': to solve complex mathematical

problems and many other thing," but today, due to media dependency and the everyday

use of computers, it is seen that " ‘computing' is the least important thing computers do.

A range of software applications ("programs") are available for personal computers

4.1 SYSTEM DESIGN
This research work accepts input from the keyboard and displays the output on a report

This screen above is an environment in which students registration can be done all what
is needed is provided in this form for the students to fill their details, and it can also be
called registration form, after the information is properly filled then the students
information will be save and automatically save in the database.

4.2 SYSTEM DOCUMENTATION

Design and implementation of automated student school fees payment is very important;
therefore, documentation is a continuous process. It provides the installation with the
information needed to operate and maintain the system. It is the result of system
evaluation, an important thing in a project development which comprises of all input data
that are used in the program.
The following are the system documentation.

Login Menu

The login menu consists of username and password.


When you enter the correct user name and password then it will take you to the main
menu to choose the operation you want to perform.

The main menu consist of Register, Update, View, Logout and exit, then you can choose
any operation you wish to perform in above listed option.

The Register menu consist of fields to be inputted for registration, then when you input
the details of student and save then it will directly save in the database which you can be
view from database.

This is update menu in which you can update any information you input in registration
form here and it will effect in the database.

USER MANUAL

How the user interacts with the system and some of the results of interaction with the
system along with the response of the system are described. To use this design click on
‘Start button’ on your computer environment, go to ‘All program’ double click on my
project and click on Enter, it will then display all executable file Folder and you select
Project design software for the desired programming.
The main window displays menus and sub menus based on the role of the user that has
logged in. When the admin enter correct user name and password, the main menu will
display and will show the operations that can be done by the researcher (school fees

payment) inclusively, the exit and long out. Admin is the person who is responsible for
the manipulation and maintenance of the new system.

Testing: After the effective and proper coding of a program, testing is conducted. This
test checks for the correctness and functionality of the program. In some cases,
intentional erroneous data entries are supplied to verify whether the program will crash or
whether error handling capabilities are adequate in dealing with invalid data in the
Student’s Registration Interface above.

ANALYSIS: is a very important aspect of any software development. After the analysis
of the system, the design of the system takes place. Design is the development of the
actual system. The aim of the design is to specify how the new system will accomplish
the objective of the user specification. In our research work, the system design could be
classify into input and output requirement that tend to meet the objective of the system.
The first column is the ID number of the Registered Student, the second column is the
integer field that takes the registration number of the student, the third column takes the
name of the registered student and the remaining columns also take the rest data about the
registered student.

CHAPTER FIVE

SUMMARY, CONCLUSION AND RECOMMENDATIONS


5.1 SUMMARY
Automated school fees payment system is a research work that helps building an
effective information management system for Abdu Gusau polytechnic in the bursary
department. The designed software will serve as a more reliable and effective means of
paying school fees and removing all forms of delay and stress that is involved in the
manual system of school fees processing. This project work made use of data collected
from the Polytechnic library, and journals. The aim of this project work is to achieve the
following; to effectively and efficiently process student’s school fees payment and
clearance, to provide a reliable and transparent system devoid of personal inclinations
and interest and to provide borderless access to ensure prompt clearance. The
implementation of the computer-based system was carried out using C# Programming
Language. The result obtained from this work was to design an efficient system that will
help to enhance the payment system of school fees without any inch so as to give room
for accuracy and transparency. In conclusion, the work met most of the objectives
intended. It is, however, recommended for use by all tertiary institutions.

5.2 CONCLUSION
Research and development are continuous processes; this is same in computer and
software development. However the effectiveness and efficiency of this new system
provides room for further improvement. As early mentioned, some of the objectives of
this project were not actualized due to some limitations Such as Lack of Resource Centre,
Power Supply, Inadequate Research Materials, Financial Constraint. Sothis objectives
could be improved upon, the Automated Student School Fees Payment systemdeveloped
will offer greater opportunity in school management. Alltransaction or payment with
regards to student’s clearance can be carried out.

However, the benefits of using automated system in payment of school fees are rapidly
increasing. So, the use of automated machines should be implemented in Abdu Gusau
polytechnic to ease the stress students are facing during payment of school fees. To this
effect, the new system has more facilities and more advantages than the normal method
because of its speed, efficiency, accuracy, accountability, reliability, information storage
and its retrieval. Therefore, the management of Abdu Gusau Polytechnic should forfeit
the existing system for the new automated system.

5.3 RECOMMENDATIONS
The research work carried out is limited to Automated Student’s School Fees Payment
only. It would be better if a full portal is developed for effective and wholesome of
information management technology in our polytechnics. When this is done the following
modules are recommended to include in the portal.
1. It is however, recommended for use by all tertiary institutions.
2.Since this research work is limited to payment of school fees, future researchers should
improve this software to be able to handle all forms of payment for the case study like
Departmental fees, jamb fees, SUG fees etc.
3.The management of the case study should ensure they provide a conducive
environment by installing air conditioner in the computer rooms for the systems safety?
