Introduction
This document is intended for the STW dealer shop mechanic, field
mechanic or other service personnel required to complete and submit a service
report. Other dealer personnel can use this document to understand the
functionality included in the service report.
Two service reports are available with STW. The service report that runs within
STW allows other applications running within STW to send parts and service
information to the service report. The standalone service report is used to edit
information and add information to the service report. Other applications
cannot send information to the standalone service report. The service report
must be opened within STW using File >Session > From Report to add
application data or SIS data to the service report. A New Session Report started
within STW also permits communication with other applications running in
STW.
This document does not inform a user how to write a repair background or
what sections to complete. The dealer will make this decision. Use preferences
to view or hide service report sections.
Start STW or the Standalone Service Report

a single sign-on for all Workbench applications.

Press Esc on the keyboard to skip this screen.


Use the STW Administration tool to setup
users.
Starting the STW Service Report

Serial number, arrangement, and work order number may be entered into the
Product Identification window. The Prefix/Serial Number determines which
applications are displayed on the Launch Pad. This window populates Current
Session information, Service Report header and Feedback information.

A serial number prefix, or full serial number, must be


entered to use CBT, TA I & II, Challenger Technician,
M300 Technician or to troubleshoot diagnostic codes
using Electronic Technician.
Starting STW and the Service Report

If the serial number information is unavailable, click on


the Models button to view a list of available models.
Starting the STW Service Report

The Model Selection window displays. This window is used to locate


model and S/N. Select a Family, then select a Model’s serial number.
Click OK to populate the S/N prefix or Cancel to close.

the activities performed within
STW applications. To view a
Workbench report select the
Service Report icon on the
Launch Pad.

the launch pad on the left side.

Service Report Icons

• Feedback – Use feedback to contact the Cat STW team and share
ideas (Requires connection to internet to send).
• Bookmarks – Permits saving a service report to the hard drive of
the computer. Save and Session from Report is recommended.
• Search – Search for service reports using various information
contained in the service report.
• Add to Service Report – Available in other applications and
permits adding application data. (Demonstrated later)
• Print Preview – Preview the printed pages.

• Print – Print the service report.


Service Report Icons - Continued

• Open Language Template Dialog – Permits editing of the titles within


the service report.
• Open Report – Opens Report in Standalone Report outside of STW.
No Application information or parts can be added to this report.
• Save Report – Save Report as XML file to any drive.
• Export the Report as PDF – Creates a PDF file of the Service Report.
A default Export Folder can be setup in Service Report Preferences.
• Email Report as PDF – Automatically attaches the service report to an
email. Notes 6.0 or Outlook 2000 or later required.
• Email Report as XML file - Same as above. XML version of service
report is attached to an email.

set SIS preferences and

Once in the Service Report, click View and then


Report Preferences to edit your preferences with
regards to the service report. A Cat dealer or user
can determine which sections of the service report
are viewable within preferences.

You must select OK or Apply for any


preference changes to occur. If the user
selects cancel, the settings will remain as
set previously.

entered in the service and component codes in this section. The codes are
report automatically. downloaded from DBS and retained in this section
after the download.
Report Preferences – Preferences.

The language template


permits altering the service
report titles. Example: Some
prefer the name Additional
Service Requests in place of
Additional Opportunities.
Default Report Location is
used to set the Save folder
location to the same folder
each time Save As is selected.

The stand-alone
service report will
open when the
filename with the
STW extension is
opened. Previously,
the XML service
report file would
open in Internet
explorer (default
application for an
XML file).

is the default type. The 2007A Service Report is backward
compatible starting with 2004B reports.
Start a New Service Report (New Session)

Be sure to Save the previous service report before starting a new


session / service report.
Start a New Service Report (New Session)

From the File drop down menu,


select Session, New Session
to start a new service report.
Remember to save any work in
the previous report before
beginning a new session. This
operation is performed after a
previous service report is
complete and a cleared service
report with a different serial
number is needed. The user
will be prompted for the Product
ID or Serial Number, Work
Order and Employee ID.
New Session – Lower left corner also starts a new session.
Open a Saved Service Report within STW

From the File drop down menu,


select Session, From Report to
open a previously saved service
report. Remember to save any
work in the current report before
opening an old report. This method
permits opening a service report
from any storage device available
to the computer. Examples are
network drives (shop users), USB
drives, local hard drive etc. This
method is better than Bookmarks
and can be stored on a network
drive. Bookmarks are local to the
machine and difficult to export and
import.
Save the Service Report (As STW (2007A) / XML)

From the File drop


down menu,
select Save As to
save the report in
.XML file format in
a different location
than the default
location. The file
can be shared
with administrative
personnel or
uploading .XML

* These sections of the service report contain information that
applies to each segment of the work order and is specific
information for that segment. The sections without the asterisk
contain information that applies to the entire work order. The
information does not change with a different segment.

Report Header Information

The work order serial number and employee ID can be filled in


during the new session or login step. Complete the remaining
fields if applicable.

Select the correct unit (Hours, Miles, or Kilometers) from the


drop down box and enter the value. Hours, Miles or Kilometers, is
required if the upload utility is used and SMU is checked. A value
of 0.0, 0 and blank is ignored by the upload utility and will not
alter the DBS SMU value - 0.0 is the default value. Units must be
entered, Hours Miles etc. or the upload utility will error.

In Date, Promise Date and Out Date

Truck Information

Truck Make, Model, Delivery Date, VIN, Cab Type and


Vehicle Configuration information is completed in this section.
This information does not upload.
Segment Info

Segment Information can be added


to the service report to help the user
identify the active segment,
segment number and purpose.

functionality. The Start Date and End Date can be selected from the
drop down window. Enter special instructions for the segment in the
instructions text box.
Part Causing Failure

Expand the PCF section and select Add New Line. Incomplete information will cause
the upload utility to fail. Do not add a line if there is no Part Causing failure for this
segment.

Secondary cause, Product Inoperable and
optional comments.

Comments are limited to 20 characters.

Misc. Costs and Mileage sections. The sections are split to make it
simpler to complete mileage or miscellaneous costs. Use Preferences to
hide either service report section. The specific charge codes at each
dealer may be different. Each dealer will share the specific codes with
the user

Select New to add a line to the Miscellaneous Costs section. The Employee ID is
inserted if the STW Login was used. Today’s Date is inserted, correct if
necessary. Enter the Charge Code. Complete the Qty field. The description and
Comments fields do not upload to DBS.. The cost field may or may not need to
be completed depending upon the charge code entered. A list of charge codes and
fields required for charge codes is helpful. The correct charge code and sell
rate must be set up in DBS and used in the service report. The OIL charge
code may not work for all users.
Miscellaneous Costs – Sell at Cost

Select New to add a line to the Miscellaneous Costs section. The Employee ID is
inserted if the STW Login was used or type Empl. ID. Today’s Date is inserted,
correct if necessary. Enter the Charge Code. Complete the Qty field and the cost
field. The description and Comments fields do not upload to DBS. Cost is
computed by DBS. This type of miscellaneous cost entry allows the user to enter
the exact cost of an item into the service report. The correct charge code and
sell rate must be set up in DBS and used in the service report. The *TL
charge code may not work for all users.
Mileage

Enter Charge Codes in


Preferences to select
them from the Charge
Codes drop down box.
Select New to add a line to the Mileage section. The Employee ID is inserted
automatically if the STW Login was used. Today’s Date is inserted, correct if
necessary. Complete the Vehicle ID if desired. Enter the Charge Code and
distance value (kilometers or mileage). The correct charge code and sell rate
must be set up in DBS and used in the service report. The TRK charge code
may not work for all users.
Repair Background

Select the gray bar to Expand the


Repair Background section. Data
is entered into the expanded
section. Data can be copied and
pasted from previous service
reports, SIS service literature or
typed. This information uploads to
DBS.
Workorder Closing

This section does not upload to DBS. Fill in the appropriate


information by selecting the answer in drop down text box.
Additional Opportunities

This section can be used to identify additional


service required or additional service requests by
the repair person or customer. The service report is
printed and delivered to the appropriate person or
starting with 2006A, select the email as PDF or
email service report icon on the tool bar.
Add Parts to the Service Report

Parts are added to the SIS parts list. Select send to STW Service Report to send the
parts list to the service report. It is possible to integrate parts with DBS and send
the parts to the service report. Go to DBS and follow the steps to process a parts list
in SIS. When Option 1 in DBS is selected, the STW program icon in the task bar
might blink or become active in place of maximizing. Select the STW icon to
integrate parts to DBS and the STW report. The user will be prompted if the parts
list should be sent to the service report.

STW application, that information is created and represented
individually in the application data section. Select the information to
be deleted and select delete to remove the data from the service
report.

Files are added to the service report. When files are attached to
the service report, the size of the service report file will
increase. The report may be saved or emailed and the
attachments will be a part of the service report file.
File Attachments - View

Select the file to be viewed. Select View. The file will be


launched by the appropriate application provided the
application is installed on the PC. Example: To view a PDF
file, Acrobat Reader must be installed. Word must be
installed to view documents created in Word etc.
Export Service Report As PDF

Send Report by Email

The user selects the Send Report by Email icon or selects File,
Send To and Mail Recipient as Report.

The default email program is launched and a new message is started


with the Service Report file (XML Type) attached. The text
“Service Report WO#####_EMPID_DATE (Filename without
extension) is inserted into the Subject. The sender enters/selects the
recipient and sends the email.
Send Report by Email - Detach

The recipient can view or detach the service report. Note: The size
of the two attached files and the service report is 2.39 Megabyte due
to the large size of the attachments.
Send Report by Email as PDF (Adobe Reader)

The user selects the Send Report by Email as PDF icon or


selects File, Send To and Mail Recipient as PDF.
Send Report by Email as PDF (Adobe Reader)

The default email program is launched and a new message is started with the Service
Report file (PDF Type) attached. The text “Service Report WO#####_EMPID_DATE
(Filename without extension) is inserted into the Subject. The sender enters/selects the
recipient and sends the email. The recipient views or detaches the email.
Spell Check

Launch the Spell Checker. A suggestion for a possible misspelled


word will be displayed. To accept the suggestion, select Change.
Open the Service Report – Standalone Report

Select Open within STW and then select a Service Report XML file. The file will
open the report in the report Utility - standalone. The service report can be
opened from the SMS DBS Upload utility by selecting a report file and then
selecting view. Both methods will open the report in the standalone utility.
Service Report - Standalone

The standalone Service Report is the same as the service report running within
STW except no other applications can send data, parts cannot be added or ET data
cannot be added to the report. All data can be edited within the standalone report
including the serial number. Launch the standalone service report with File >
Open
