Memorandum

Subject: Training new employees
Date: March 1, 2024

This memo demonstrates our team's interest to train/familiarize a new set of employees on a collaborative
project.

Choose a project manager/leader:

Choosing the leader for the group is one of the most vital parts of the project. The group should first
agree on who will be the project manager. The leader is usually responsible for assigning tasks to each
member and announcing any updates regarding the project/task. They are usually the ones taking all the
responsibilities for the team and the first ones to contact if there is any issue regarding the team or tasks.
A project manager/leader is the one who keeps the team together, makes them all work accordingly,
navigates project challenges, and, most importantly, is the one who sets specific milestones for particular
tasks of the project that should be met on time. One of the most critical factors for a leader is to have
leadership skills, navigate some challenges that occur in tasks, and also provide a collaborative
environment.

Team Charter:

When working on a large-scale project with new people it may be best to draft a team-contract so that all
team members know their roles and responsibilities. This action will greatly increase team efficiency and
will also motivate each member to complete his work/responsibilities earlier on. Furthermore in the case
of internal conflict the team charter can be used to solve and can be modified to set boundaries and roles
of each team member.

Task Schedule :

Task schedule is planning what event will take place at what time. Most projects have tight deadlines and therefore
require strategic planning to avoid exceeding the deadline. Exceeding the deadline not only ruins a company's
reputation but also its service ranking. Therefore the task schedule should be written that specifies the deadlines of
smaller works in the project and who is responsible for performing it. In addition it should be sent to the whole team
so that they are well aware of deadlines needed to meet in order to complete the project on time. Another advantage
of a task schedule is that team members will not leave work till the last moment and then rush it to complete it as the
dates specified will motivate them to finish it earlier. This will highly reduce the chance of human error.

Meet weekly to discuss progress of project :

If all team-members decide to meet on a weekly basis to discuss progress of the project, not only does the team feel
more motivated to work but also the project may finish earlier than expected as the chance of slack/delay is
significantly reduced. This greatly improves a team's efficiency as team-members communicate effectively with
each other. Furthermore, if a particular team member is struggling he/she can also ask for assistance or report any
unforeseen circumstances/problems.
