Key Responsibilities

Administration Duties

 As the first point of contact for KETSA members and clients, he oversees the front

office replying to general correspondence and dealing with enquiries.

 He manages all office administrative duties, ensure the smooth running of the office

and provide quality service to all KETSA members and clients.

 He monitors and oversees the general cleanliness of the office.

 He provides support to the manager in office administration and management

 Maintain and file all business records in a systematic manner.

 Responsible for drafting memos, letters and emails to member Saccos and other

clients while ensuring timely responses.

 Offering support to the manager in planning and executing board meetings and CEOs

meetings
 Ensuring the board, CEOs and any other guests are comfortable when they visit the

office.

Observation

 The staff has mastered all the roles as above and is acquitted with everything that
entails office administration.
 His expertise in this field has improved the outlook of the association
 He has demonstrated ability to see potential challenges and address them in advance

Areas of improvement

 Be more confident and bold especially when speaking before a group.

Other Roles actively undertaken

Education and Training

Has been involved in preparation of the training calendar

Has been involved in marketing of the training programs

Has participated in the training programs giving him an opportunity to interact with different
members of staff.

Has actively contributed and given ideas on how the staff trainings can be improved.

Has been trained and coached on how to plan and market board programs.

He has been involved in documentation of travel documents, arranging them according to


embassy standards and filling online visa forms. As well as arranging documents for check in
ensuring all airline requirements are met.

He has been involved in conversion of money to different currencies like the dollar and Euro
and arranging the money for each person travelling.

He has also attended briefing programs for international trips.


Has been exposed to the workshops by attending and taking key roles in the workshops.

Some of the board programs attended in the last 2 years are the

 2023 ADM in Murang’a


 2nd Annual Leaders workshop in Mombasa
 3rd Annual Leaders’ Summit in Naivasha in 2024
 12th Annual Conference Meeting in Kasarani

In these board programs some of the responsibilities have included

 Contacting and booking hotels for the board members


 Ensuring that the board members are well received and checked into the hotels.
 Registration of the board members as they arrive
 Contacting trainers and facilitators and ensuring they are well aligned with the
program
 Looking for partners and sponsors for the workshops and ensuring they are well taken
care of.
 Contacting service providers and ensuring the hall and all other logistics are in place
in good time.
 Being involved in purchasing of merchandise and any other gifts approved by the
board.
 Helping in issuing the gifts to the participants according to the attendance register.

Observation

The staff has mastered all the roles as above and is acquitted with everything that entails
training.

They have largely contributed to the success of the KETSA education and training calendar.

The staff has even learnt how to design posters, the booklet, banners which has saved cost
for the association.

Recommendation to the board.

The board to consider restructuring his position from Office Admin Assistant to Business
Development officer as his abilities and qualifications match the role.

His interest, passion also align better in that position.
