housekeeping depart .This area in the department where all information is received and from where messages are dissipated to housekeeping and other staff present in various parts of hotel .Thus, the control desk may be considered the nerve centre for to-and-fro communication in the hk depart .One of the main function of control desk is ensuring smooth coordination between hk and other depart such as maintenance, front office, f&b , security, sales and marketing,and so on
Many important forms,format,records,and registers are maintained at the control desk. Some of the common ones ore outlined below :KEY CONTROL REGISTER : This is one of the most important registers maintained at the hk control desk.It is part of the the key-security system to be followed by the hk depart.
LOG BOOK : Another important register kept for reference at the hk control desk is the log book .The log book is used to record all messages that stuff from an earlier shift want to convey to the employees on the next shift.
KEY HISTORY REGISTER : This carries the records of all keys lost in the hk depart and those for which new keys or duplicates re being used .This is done in the interests of security. MAINTENANCE REGISTER : This register is used fir recording all the maintenance work required in rooms. Based on the information contained in register. After filling this register sent to maintenance depart.
MEMO BOOK : This contains of all the pending maintenance work for which the hk depart initaited work orders. The format is shown below :
ROOM STATUS REPORT FILE : This contains the previous hk room status reports field in order for refrence these reports are especially useful to the executive hk in evaluating the levels the levels of work load under different conditions.
SOPs BOOK :- A book containing all the standard operating procedures [SOPs] to be followed in the hk depart is ussally available for refrence at the control desk. DEPARTURE REGISTER : This resgisteris maintained at the control desk to record departures from guestrooms. The format is below
CARPET SHAMPOO REGISTER : This records the carpet cleaning schedule that has been followed recording each such project as it is completed
ACCIDENT BOOK : This records all the accidents of any sort that employees or guests have met with at the hotel.
COORDINATON WITH FRONT OFFICE : The control desk attendant receives the night report, the arrivals and depatures lists, the VIP list and the list of crews and groups in the houses from the font office. based on these documents , the hk depart schedules the workers for cleaning , maintenance, and servicing of guest and related areas.
ALL maintenace requirments needed on the floors are entered in the maintenance register kept at the control desk . The control desk attendant notes down the room no. ,maintenance work required, and the name of the GRA or the supervisor who called attention to the problem . From here on , the role of the control desk in initiating the scheduled maintenance is crucial .the moment any hk presonnel detects a problem that requires attention from maintenance, he\she calls the hk control desk, stating the nature of repair needed, kind of assitance requried, and the location in which it is requried
