bout half (52%) of small business owners would describe their business economic situation as worse now compared to 12 months ago, according to a previous survey by Pitney Bowes Inc. (NYSE: PBI). However, despite financial struggles, almost three quarters (73%) are optimistic about the future of their business. Such hopefulness will carry them through what some analysts are calling the toughest economy in decades. The survey, commissioned by Pitney Bowes, was conducted by International Communications Research, which polled 504 small businesses across the U.S. about the financial state of their business. The survey revealed that some of the top financial stressors for small business owners in todays economy include: decreased sales (74%); health care costs (52%); late payments from customers (42%); and greater restrictions on financing (42%). About eight-in-ten small business owners say they are very worried about cash flow. In spite of financial pressures, many small business owners still feel they have levers to pull before they would be forced to close. If their financial situation does not improve, 34% would resort to either layoffs or changing their mix of products or services, according to the survey. About a third would barter with customers, suppliers, and employees to minimize the use of cash, while 31% would reduce operating hours. Twenty-nine percent would purchase a technology to increase the efficiency of their business. As many American entrepreneurs attempt to overcome financial challenges in a tough economy, their resiliency is undeniable. Not surprisingly, if forced to close, the survey revealed that more than a quarter (28%) would start a new business. About a third would either start a new career (34%) or retire (32%).

ames P. Hilton is a paramedic, karate instructor, and Eagle Scout, that spends his days introducing himself to truck drivers by striking up conversations and handing out business cards. An upbeat mental attitude is contagious and, unless taken to an extreme, builds rapport and creates a very positive first impression. Keep in mind that a smile can be heard over the phone. The best way to build trust and rapport during a phone conversation is to match your prospects energy level. This is accomplished by subtly matching his rate of speech and tone of voice. You need to know the Four Forces of Cash Flow to stay out of trouble managing your cash. If you are not profitable, cash flow is just a calculation of days until death. Fix profitability first and now we deal with the 4 Forces: Taxes Set aside your tax liability as you go. If you are taking draws as a sole proprietor or an LLC partner, you are setting aside selfemployment taxes each time you take a draw. Once a quarter, you are setting aside income taxes and paying in based on IRS rules. Get Out Of Debt If you borrowed money to start your business, pay it off as soon as you can. Core Capital Target You need to have at least 2 months of operating expenses in cash with nothing in debt, to be a fully capitalized business.

Track Financial Numbers that Will Keep You Out of a Cash Crunch
Weakness This is a number moving in the wrong direction or not moving at all. For example, sales staying at breakeven, low return on assets, or poor inventory accuracy. Moving those weak numbers forward means eliminating weakness. Opportunity Can you sell more by increasing speed-to-market? Can you land a key client by reducing defect rates? Can you reduce your own prices by increasing operating efficiency? In this case, operational shifts translate into opportunity. The scenarios above can help you develop an objective, or objectives, based on the numbers you need to track. But setting any goal also means watching associated numbers. If, for example, you want to increase sales, it will affect other numbers as well. A 10% sales increase (sales volume) may mean increases in cost of goods sold (increased productivity required to meet sales needs), an uptick in overall labor costs if you need to add staff even on a project basis, and greater inventory turnover.

Typically, according to the National Federation of Independent Business, only about 5% of business owners spend most of their time on finances. When youre trying to grow, youre focused on sales and just keeping afloat, but if you can track your trends using a few key numbers or metrics, you can look at historical trends in context and, to some degree, predict certain life-cycle events. Most people who start businesses are not experts in finance, says Len Pytlak, CPA. You may not be an expert, but you can determine the numbers that make a difference for your business and use them to make it more predictable. For any company, the numbers that matter to you depend on what you do and how you do it. Theyre also associated with how your business is doing at any given time. John Case, an Inc. Senior Writer who coined the phrase Open-Book Management in his book of the same name, defines numbers-as-drivers-based scenarios as follows:

Dont be shy about working with your accountant or financial advisor to get help working with the numbers that are most important to your business. Once you understand those numbers and how they affect your business, and begin tracking them, you can begin to see the peaks and valleys in your business.
