1. What is Microsoft PowerPoint? What are its basic features.

It is a software package used to create slideshow presentations. The slide show presentation is used in
conference, seminar, meeting and lecture.
The extension of Microsoft PowerPoint document is .pptx.

Starting Microsoft PowerPoint


Click Start → all programs → MS Office → MS Powerpoint

2. What is a presentation slide? Explain its features.


Slide layout
It is used to arrange text and objects on a slide. It contains place holders to hold text, objects such as charts,
picture, table, shape, image etc.
Microsoft PowerPoint has several in built slide layouts.
Title slide, title and content, two content, comparison, title only, blank.

Steps for changing slide layout


1. On the Home tab select layout from the slides group.
2. Select any one of the standard layouts from the list of layout displayed.

Inserting a new slide to the presentation

1. On the Home tab click on new slide button of the slides group.
2. Select the layout of the slide to be inserted from the list of layouts displayed.

Deleting a slide from the presentation

1. Select the slide Thumbnail from the slide View.


2. Click on delete button of the slides group on Home tab.

Designing slides
We can specify font style, colors, slide background, effects etc using the design tab.
We can use also themes for the quick designing of slides.
Select a slide theme
1. On the design tab click on desired theme for the slides from themes group.
2. After selecting the theme we can change color, fonts, and background styles of the current theme.

MS PowerPoint provides the following animation effects:
1. Slide transition
2. Object animation

Slide transition
It is the animation effect that occurs in slide show view when we move from one slide to the next slide.
We can control the speed of each slide transition effect and also add sound effects like thunder, drum,
trumpet, whistle, clap sound etc during slide transition.
Microsoft PowerPoint has many different types of slide transition effects such as blinds horizontal, fade,
dissolve etc.

Steps for adding slide transition effect

1. On the animations tab select the desired slide transition effect from transition to this slide group.
2. To view more affects click on the more button.
3. Specify transition sound, speed.
4. Click on apply to all button if the slide transition effect is to be applied to all slides in the PowerPoint
presentation.
5. Select advance slide on Mouse click or automatically after a certain number of seconds.
6. Preview the slide transition effect.

Object animation
We can add animation effect to an object in Microsoft PowerPoint.
Adding an animation effect to an object

1. Click custom animation on the animation tab to open custom animation task pane.
2. Select object to add animation effect.
3. Click add effect button on custom animation task pane and select animation effect from the following
animation effect categories.

Entrance - This kind of animation effect brings the object on the PowerPoint presentation slide.
Emphasis - Once the object is on the slide, we can give it some emphasis with this kind of animation effect.
Exit - This animation effect removes the object from a slide.
Motion path - Applying this kind of Animation effect allows us to plot a path for the object to follow in a slide.

Removing an animation effect from an object


1. Click custom animation on the animation tab to open custom animation task pane.
2. Select object to remove animation effect.
3. Select animation effect to remove and click remove button on custom animation task pane.

4. What are different Views of PowerPoint? Explain briefly.

There are six different views to look at PowerPoint presentation.


1. Slides view - It is used to view the slides in presentation as thumbnail sized images. It makes navigation
to PowerPoint presentation slides easy and see effect of design changes. We can easily arrange, add or
delete slides in this View.
2. Outline view - It shows slide text in the outline form. This view is good for editing slides.
3. Normal view - It is the main editing view where we write and design PowerPoint presentation slides. It
is the default view of Microsoft PowerPoint.
4. Slide sorter view - It gives a view of slides in thumbnail form. This view makes it easy to sort and
organize the sequence of slides in the PowerPoint presentation.
5. Notes page view - It is used to view the notes page to edit the speaker notes.
6. Slideshow view - This view is used to deliver PowerPoint presentation to the audience. It occupies the
full computer screen. We can see how Graphics, timing, movies, animation effects and transition effects
will look during the actual PowerPoint presentation. The keyboard shortcut for slideshow is F5.

Changing view of PowerPoint

1. On the view tab click on desired view in the PowerPoint views group.

A PowerPoint template is a pattern or blueprint of a slide or group of slides. The extension of Microsoft
PowerPoint template is .potx.
It saves time and effort of creating PowerPoint presentation. A template defines the background, font Styles,
colors and size for placeholders.
Microsoft PowerPoint comes with a number of the stylish templates built-in that can be used immediately. We
can also download additional templates from Microsoft website.

Steps for creating PowerPoint presentation using a template

1. Click on Microsoft Office button and select new option to display new presentation dialog box.
2. Click on installed templates and select the required template from the list and then click create button
to create PowerPoint presentation based on the selected template.
3. In the PowerPoint presentation slides just click placeholder and edit it to design PowerPoint
presentation.

Task - Create a photo album in Microsoft PowerPoint using templates


A photo album is a presentation that we can create to display the photographs.

Slide Master
A slide master is a part of template that store information including placements of text and objects on a slide,
text and object placeholder sizes, text styles, background, color themes, effects and animations.
We can save one or more slide Masters as a single template file.

Steps for adding a slide master

1. On the view tab click slide master in the presentation views group.
2. Do the following
3. Resize and place the place holders.
4. Add Styles two different slide layouts.

6.Discuss Hyperlink and action button.


A hyperlink is a connection from one slide to another in the same presentation or to a slide in another
presentation, an email address, a web page or a file.
Steps for adding a hyperlink in a slide

1. Select the text or object on which hyperlink is to be added.


2. On the insert tab click hyperlink in the links group.
3. In the link tab of insert hyperlink dialog box, select place in this document, create new document, email
address, existing file or web page as needed.

Action button
An action button is a ready-made button that can be inserted into the PowerPoint presentation and define
hyperlinks for Next, previous, first, last slide and for playing movies, running a program etc.

Steps for adding action button

1. On the insert tab click the arrow under shapes (more button) in the illustrations group.
2. Under action buttons click the button that is to be added such as next, previous.
3. Click and drag the action button on the slide.
4. In the actions setting dialog box specify the behavior of the action button when clicked or mouse over.
5. Specify any one of the following behavior hyperlink, run program, play movies, run macro.

7.Erite short notes on Record Narration, rehearse timing and handout feature.
We can add a narration to slide using the microphone attached to the computer with the help of record
narration feature of Microsoft PowerPoint.
Steps for adding a narration to PowerPoint presentation slide

1. On the slide show tab click record narration button of the set up group.
2. Set microphone level
3. Click the record button and start recording the narration.
4. Click stop recording button to finish recording of narration and finally click OK button.

Rehearse Timing
It launches a full screen slide show in which we can rehearse out PowerPoint presentation.

1. On the slide show tab click rehearse timing button of the set up group.
2. Click close button to finish rehearsing.

Handout
We can print PowerPoint presentation in the form of handouts with 1, 2, 3, 4, 6 slides on a page for the
audience.
Steps for printing handouts
1. Click Microsoft Office button and select print preview.
2. Specify print what slide or handouts.
3. Click print button
