INTODUCTION
Student enrollment system enables students to enroll in their subjects before the
commencement of their semesters. This enrollment system not only allows international students
to enroll through the Internet without traveling to the campus but also incorporates the business
rules. It allows prospective students to submit their applications online, providing a user-friendly
interface for data entry and document uploads. It often includes features for tracking application
status.
Millions of students every year are often asked questions about their majors, courses, and
learning methods, and they hope to receive responses from the university. The enrollment staff of
each learning center not only needs to answer relevant consultation questions during the student
registration period but also needs to review the student registration application to confirm
whether it meets the registration qualifications, usually requiring a significant investment of
manpower costs. The large number of enrollment groups conflicts with the prescribed enrollment
process and requirements, as well as limited staff and working hours. There is an urgent need to
improve work efficiency and service quality through new technologies and applications. By
building an intelligent enrollment system and developing applications such as intelligent
question answering and intelligent push to modern enrollment systems, students can achieve
online self-service registration, personalized professional selection, intelligent review of student
qualifications, and automatic circulation, while improving efficiency and standardizing the
process to improve enrollment quality. Most of the higher academic institutions in the world are
accustomed to automating manual application and registration processes to stay abreast with
increasingly advancing information technology. While the paper-based application would
normally require a lot of work and time, the
online process (paperless) speeds up the enrollment and registration process. This paper
evaluates the usage and impact of online application and registration process in the enrolment of
potential students in the College of Arts and Science of Asia and the Pacific (CASAP), Bacolod
City. The study revealed that the current online process is satisfactory. Ease of use, reduction in
time and cost, no loss of documents, and accessibility of the process remotely anytime from
anywhere were reported to be the major benefits of the online process. The study reported the
positive impact of the current online process; however, the process requires continuous
improvement in the future to address the issues raised by the respondents.
STATEMENT OF THE PROBLEM
The student enrollment process at the College of Arts and Science of Asia and the Pacific
currently relies on outdated manual methods, resulting in significant delays and errors that
frustrate prospective students and burden administrative staff. This statement applies to all
incoming and returning students seeking enrollment in the institution's program.
The current student enrollment system at our institution is facing several challenges that
hinder its effectiveness and efficiency. These issues include:
1. Inefficient enrollment process: The existing enrollment process is heavy and time-consuming,
leading to delays and frustration for students and administrative staff alike. Manual processes
and outdated technology contribute to longer processing times and increased likelihood of errors.
1.1 Data management issues: Managing student data can be challenging, especially if it is stored
in multiple locations or formats. This can lead to data duplication, loss of information, or
difficulties in accessing and updating student records.
1.2 Lack of real time updated: Without a centralized system, it can be difficult for administrators
to provide real-time updates regarding enrollment status, course availability, and other critical
information. This can lead to miscommunication and confusion among students and staff.
1.3 Limited access to information: Students may face difficulties in accessing necessary
information about courses, schedules, and requirements. A lack of a user-friendly interface can
hinder students from making informed decisions about their enrollment.
1.4 Inadequate reporting and analysis: Existing systems may lack robust reporting tools, making
it difficult for administrators to analyze enrollment trends, student demographics, and other key
metrics.
OBJECTIVES
1. The objective of the student enrollment system at CASAP serves as the backbone of
educational institutions, facilitating the seamless integration of students into academic programs.
2. The system aims to enhance the experience of prospective students by providing clear
guidance throughout the enrollment journey, from application submission to course selection.
3. Additionally, this system is to streamline the enrollment process, ensuring that it is user-
friendly, efficient, and accessible for both students and administrative staff.
4. This objective not only enhances operational efficiency but also contributes to a more
personalized enrollment experience, aligning with the institution's commitment to student
success.
5. Furthermore, the enrollment system can identify trends, address pain points, and implement
targeted interventions that support student retention and satisfaction.
6. This system also aiming to identify key factors that influence enrollment processes.
SCOPE AND DELIMITATION
This study will be a Student Enrollment System for CASAP Bacolod, a portal type that covers
the major processes in the student's enrollment of freshmen, old, and transferee students. This
system can accept input from a student, it includes the basic information, contacts, and address,
and the student's course and year that will be the enrollment form. It can only give access or
permission to the administrators to confirm the students who are currently registering, and
enrolling through the system. It can only be used by the students to enroll and to download or
print the registration form. It can also give further information about the enrollment process as to
know how many students enrolled in CASAP Bacolod.
The main proposed Online Enrollment System in CASAP BACOLOD is the concern of each
student. It is limited only for the administrators and students who registered. Also, only
authorized personnel can use the system. Payment of fees and management of student alumni
records will not be included in the said system.
